Student Record Collection (SRC)

Implemented the following changes as part of the 2025–2026 DOE updates for SRC:

1. Retired Data Elements and their position in the extract

   • Advanced Placement Code (37), IB Code (78), Cambridge Programme Code (92), UCGS/Associates Degree Flag (104), Special Permission Locally Awarded Verified Credits (123), and Credit Accommodation Code (124).

   • A filler or tab has been inserted in their place.

2. Updates to Existing Data Elements

   • Night Time Residence validation table: Added new codes (5, 6, 7) for Initial Primary Nighttime Residence Code (Position 69).

   • SRC Extract Logic: Now reports a single value for Locally Awarded Verified Credits (Position 122), calculated as:

     • Number of Verified Credits (only if the Locally Awarded Verified Credits checkbox is selected), plus

     • Special Permission Locally Awarded Verified Credits value.

   • Added a security feature to hide/unhide the Uniform Cert. General Studies field.

3. New Data Elements

   • Foreign Exchange Program Participation Flag: Added on the VA Student Status page (checkbox) and included in the extract at Position 138.

   • CTE Credit Accommodation Flag: Added on the VA CTE Programs page (checkbox) and included in the extract at Position 139.

   • Post Secondary Attainment Code: Added on the VA Student Status page (dropdown with values 1, 2, 3) and supported by a new validation table.

   • These three fields are added to the Summary page.

4. New Warning

   • The Date of Entry into U.S. Schools is required when the Receiving EL Services Code is not blank.

Updated the SRC extract processing to handle multiple Entry/Withdrawal records within the same school year:

1. Records with Calendar Type = 'N' will be excluded from the extract when a student has multiple records in the same school year.

2. If a student has only one record in the school year and that record has Calendar Type = 'N', then that record will be included in the extract.
