Maryland Attendance, Enrollment, Promotion Report

This option produces the September Attendance, Early Attendance, and End of Year Attendance reports required by the State of Maryland. These data files are used by the State to calculate Adequate Yearly Progress (AYP) attendance rates for schools.

This report includes information on some Special Service Indicators. Depending on the indicator, the State has different guidelines as to which students should be marked as receiving services.  If a student was homeless or a migrant at any point in the year, they will get a Yes in these fields in the report. For students in Title I, Free/Reduced Price Meals, Foreign Exchange, Special Education, ELL, TAS and Immigrant programs, the State wants to know the student's status as of the student's last reportable day of enrollment.

Maryland Attendance Report Prerequisites

  1. Verify that students in the programs listed above have the correct start and end dates and values.
  2. Attendance Views must be setup according to the Attendance Views for Maryland State Reporting section of this documentation.
  3. The Day Totals Calculation (Attendance > All > Student > Day Totals) must be run prior to creating these reports.
  4. Make sure that your Entry and Withdrawals Validation Tables have the correct value in the State Code Equiv column so that the status is mapped properly. 
  5. If an EL student should be exempt from the ELA Assessment, verify the ELA Assessment Exempt Status field is checked on the Accommodations English Learners page (Registration > Entry & Reports > Student District Defined > Accommodations English Learners).
  6. If student has a Meal Status (Registration > Entry & Reports > Student Demographic > Personal) value with state code equiv = D, verify the Direction Certification field = Y. (Early Attendance Report only)

Maryland Attendance Report Screen Prompts

Field

Description

Building List

This prompt identifies which building(s) to be included in the data extract.  If you click Selected, you may enter or select more than one building.  If you want to run the report for all buildings, click All.

Run Type

Indicates which type of run you will produce. You can produce both the download and submission files, or you may produce either one individually.

View Type

This prompt identifies which Attendance View to be included in the data extract.  If you select more than one building, all buildings must have the same Attendance View to be included in the report.

Absence Codes

This prompt identifies which attendance codes will be counted as absences

Unlawful Absence Codes

This prompt identifies which attendance codes will be counted as unlawful absences.

Part Time Calendars

 

Start Date

This prompt identifies the start date for the selection of entry / withdrawal dates of the students to be included in the data extract.

End Date

This prompt identifies the end date for the selection of entry / withdrawal dates of the students to be included in the data extract.

Latest Summer Withdrawal Date

This prompt identifies the date to indicate a summer withdrawal, which includes students withdrawn on/before this date. Summer withdrawal date will be 7/1 of the current school year.

Exclude Summer Withdrawal Codes

Select one or more withdrawal codes which are to be excluded as a summer withdrawal.

Include Summer School Withdrawals

Checked if you wish to include summer withdrawals in the report (optional).

Report Type

This radio button selects which layout to follow for the data extract process:

  • September Attendance Report
  • Early Attendance Report
  • End-of-Year Report

File Type

Indicates which type of error/warning log file you will produce.  Selecting CSV will create the file in Excel format.  Selecting Text will create the file in Text format.

Clear Overridden Records

Checked if you wish to delete any records that were previously overridden.

Delete All Records

Checked if you wish to delete ALL existing records.
