SEBT Submission

Corrected a typo in the DistrictEnrollFile. It was previously shown as "DistrictEnrolFile" and has been corrected to "DistrictEnrollFile". Updated the same correction on the prompts screen, from "District Enrolment File" to "District Enrollment File". The Filter section for the SEBT File is also implemented.

Student/Course Download and Run EMIS Submission File Extract

As part of EMIS Update 26-67, added the Student Detailed Attendance (FM) record for download and extract options. There are no changes to the UI, as the data is already being collected in the FS record.

Validation Table - Sent Reason

As part of EMIS Update 26-111, added the code (OR) to the “Sent Reason” validation table. The description of OR is: "Parent placement into a home or facility in consultation with and upon recommendation of the OhioRISE Program."

Validation Table - Offense Actions

As part of EMIS Updates 25-166 and 26-115, added two Offense Actions to the validation table:

• Code: EBP
  Description: Expulsion under board policy to extend

• Code: PEBP
  Description: Prior expulsion extended under board policy to extend

The severity order for the existing Offense Actions is also updated as follows:

• Severity 1 → State Code Equiv 6

• Severity 2 → State Code Equiv 9

• Severity 3 → State Code Equiv 8

• Severity 4 → State Code Equiv 1

• Severity 5 → State Code Equiv 7

• Severity 6 → State Code Equiv 2

• Severity 7 → State Code Equiv 4

• Severity 8 → State Code Equiv 3

Student Download Summary  

As part of EMIS Update 26-48, when the Record Type is selected as "FW - Exiting Student Follow-Up", the label "EMISID" has been renamed to "SSID".

SEBT Submission (District Enrollment Report)

Column A in the District Enrollment Report file layout has been updated from "Data Collection" to "Free Reduced Eligible".

Valid values for Column A are:

• F – Free

• R – Reduced

• N – Not Eligible

The value for Column A will be retrieved from the existing "Meal Status" field in the OH617 EMIS Student Attribute Program.

EMIS Submission File [Student Program (GQ), Student Standing (FS), Student Attribute Date (FD)]

Corrected the following in the EMIS CSV file extract formatting:

• Student Attribute Date (FD)

  • Removed the unnecessary filler from Column K.

• Student Program (GQ)

  • In Column G (Employee ID), when no value was provided, the system was adding 10 blank spaces.

  • This was being treated as an invalid value by the EMIS Data Collector.

  • This has been fixed, and the field will be left null instead of blank spaces.

• Student Standing (FS)

  • The Attendance Hours and Excused/Unexcused Hours formatting have been corrected:

    • Missing leading zeros are now properly added.

    • Extra trailing zeros have been removed.

  • The values will follow the correct format as expected by EMIS.
