HAC Building Configuration Page

Use this page to set up the Home Access Center (HAC) options for a building. From this page, you can:

  • Enable and disable Home Access Center for your building.

  • Display your building's logo and set the colors for HAC's banner.

  • Select the information available to guardians and students in HAC.

  • Schedule email alerts that guardians and students can subscribe to.

  • Set up dynamic links for display on HAC's School Links page.

If your district uses the eSchoolPlus Family App, then these configuration settings also affect what information can be seen when a student or guardian uses the app. For more information on the eSchoolPlus Family App, refer to Supporting the eSchoolPlus Family App.

The eSchoolPlus Family App uses the current school year. It does not use the settings related to selecting the regular school year and summer school year.

Review a building's HAC Building Configuration

  1. Select Administration from the main menu, select HAC Setup submenu, select Setup, and then select HAC Building Configuration.

    • If a search page displays, select the building.

    • If the detail page displays for a building other than the one you want, use Search to select another building.

Set up a building's HAC Building Configuration

  1. Select Administration from the main menu, select HAC Setup submenu, select Setup, and then select HAC Building Configuration.

    • If a search page displays, select the building.

    • If the detail page displays for a building other than the one you want, use Search to select another building.

  2. Complete the page's panels.

  3. Click Save.

Change a building's HAC Building Configuration

  1. Select Administration from the main menu, select HAC Setup submenu, select Setup, and then select HAC Building Configuration.

    • If a search page displays, select the building.

    • If the detail page displays for a building other than the one you want, use Search to select another building.

  2. Change the desired values on the page's panels.

  3. Click Save.

Set the colors for a building's HAC banner

If your building uses the district's banner, then set up the banner and its colors using the HAC District Configuration.

  1. Select Administration from the main menu, select HAC Setup submenu, select Setup, and then select HAC Building Configuration.

    • If a search page displays, select the building.

    • If the detail page displays for a building other than the one you want, use Search to select another building.

  2. In the Configuration panel's General Section, enter a URL address in the Building Logo field. An address must be entered to enable access to the Coordinating Banner Color and Coordinating Text Color fields.

  3. Click the Preview box to the right of the Coordinating Banner Color field to display the Color Selection window. Select a color by clicking its box or click More to define a custom color. Click the color bar to select a color, then change the color's hue by using your pointer to move the black dot within the color box. A sample of the color you are defining displays in the field's Preview box.

  4. Click the Preview box to select the color.

  5. Select the text color for the HAC banner by repeating Steps 4-5 for the Coordinating Text Color field. The Preview box below the field shows how the text color displays against the banner color. For better legibility, select a dark banner color and a light text color.

  6. Click Save.

Add dynamic links to HAC

  1. Select Administration from the main menu, select HAC Setup submenu, select Setup, and then select HAC Building Configuration.

    • If a search page displays, select the building.

    • If the detail page displays for a building other than the one you want, use Search to select another building.

  2. If needed, in the Dynamic Links panel's Macros section, set up macros for your links by entering a Name and Value for each macro.


    The format for using a macro in a URL is ${XXXX} with XXXX representing the name from the Macro section's Name field. The Value field should contain the information you want to pass via the macro. For additional information, refer to Setting Up Dynamic Links for HAC and TAC.

  3. In the Links section, set up the links you want to add in HAC.

    • Select whether you want the link to display for Guardians, Students, or Both.

    • Select whether the link should display in HAC , the Family App, or All.

    • Enter the URL address for the site the dynamic link should link to.

    • Enter the description to display on HAC's School Links page as the link's name.

    • If you want the link to be designated as **New**, enter a date in the New Until field. After this date, the New designation will be removed.

  4. Repeat Steps 3-4 for each additional dynamic link.

  5. Click Save.

Fields

Configuration Panel

The fields in the panel's sections enable separate entries for Guardians and Students. For example, the Show Attendance field in the Days section has two checkboxes, one for guardians to view attendance and the other for students.

General Section

Field

Description

Enable Home Access Center

Checked if HAC is available for guardians or students for this building. Unchecked if HAC is not available.

HAC access is based on the student's enrollment building.

Disabling Home Access Center does not automatically stop email alert tasks from running. You must disable the building's alerts in the HAC Building Configuration page by clearing their Send to Guardians and Send to Students checkboxes and clicking Save. You also can impersonate the alert's task owner and remove the task from the Tasks and Reports page's Scheduled Tasks panel. You can access this page by clicking the Tasks/Reports button.


Building Logo

Identifies the URL of the building's logo. The logo displays in the upper left corner of the banner at the top of HAC pages. Character/255

When a URL is entered, the Coordinating Banner Color and Coordinating Text Color fields can be accessed.

Leave the logo field blank if the district logo and colors should be used for the current building, as defined in the HAC District Configuration.

Coordinating Banner Color

Determines the color of the banner in HAC pages. This field can be accessed only if a URL is entered in the Building Logo field. If not, N/A displays, and the banner color defaults from the HAC District Configuration.

The field displays the HTML code for the banner color currently selected and a preview box showing the color. Click the box to display a color picker window. Select a pre-defined color by clicking the appropriate box or select more to define a custom color using a color code picker.

Click Save to apply your selections to the current building's HAC banner. For more information, refer to Set the colors for a building's HAC banner.

If a banner color is selected in the HAC Building Configuration, the building-level color will override the district color. If a banner color is not selected at either level, the default color is the standard blue that displays when the District Logo field is blank.

Coordinating Text Color

Determines the color of text in the banner of HAC pages. This field can be accessed only if a URL is entered in the Building Logo field. If not, N/A displays.

The field displays the HTML code for the text color currently selected and a preview box showing the color. Click the box to display a color picker window. Select a pre-defined color by clicking the appropriate box, or select more to define a custom color using a color code picker.

Click Save to apply your selections to the current building's HAC banner. For more information, refer to Set the colors for a building's HAC banner.

The color from the HAC Building Configuration, if specified, overrides the district color. If a color is not selected at either level, white is used as the default text color.

Help URL

Identifies the URL of the server location where the building's online help system is stored.

To prevent online help from displaying, leave the field blank. Character/255

Starting Page

Select the page to display when a guardian or student first logs into HAC. Guardians for multiple students must select a student before the starting page displays.

Show Email Links

Select the regular school to display when a guardian or student first logs into HAC. Guardians for multiple students must select a student before the starting page displays.

Regular School Year To Display

Indicates how the student’s regular school year should display.

Select:

C - Current Regular School Year - to display the current school year as specified on the District Configuration page.
N - No Regular School Year Display - not to display the regular school year in HAC.
S - Specify Regular School Year - to display a particular school year.

Specify School Year

If S - Specify Regular School Year is selected in the Regular School Year To Display field, then the Specify School Year field is enabled. Select the school year from the list.

Summer School Year To Display

Indicates how the student’s summer school year should display.

Select:

C - Current Summer School Year - to display the current school year as specified on the District Configuration page.
N - No Summer School Year Display - not to display the summer school year in HAC.
S - Specify Summer School Year - to display a particular school year.

Specify School Year

If S - Specify Summer School Year is selected in the Summer School Year To Display field, then the Specify School Year field is enabled. Select the school year from the list.

Behavior Section

Field

Description

Show Behavior Incidents

Select if behavior incidents involving the student should display in HAC.

  • You can select the types of incidents to display.

  • You can limit incidents to the current year or allow previous years' incidents to be included. The incidents display on HAC's Discipline page.

The checkbox must be selected to access the Show Discipline Alert checkbox in the Week View section, which allows behavior alerts to display on HAC's Week View page.

Selecting the Show Behavior Incidents checkbox enables access to the following fields:

Limit Incident Codes to

The behavior incident codes that should display for students in HAC.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

Show Current Year Only

Select if the incident codes that display for a student in HAC should be limited to those from the current year. Unchecked if the codes from previous years also can display.

Classwork Section

Field

Description

Show Class Assignments

Select if assignments and scores from Gradebook should display on the following pages in HAC:

Classwork - displays the classwork for courses or competencies.

Week View - displays classwork for the current week.

Report Cards - displays marks as hyperlinks that can be clicked to display a pop-up window showing the assignments for the related course.

Teachers can chose whether to publish Gradebook assignments for display in HAC.

Selecting the Show Class Assignments checkbox enables access to the section's other fields.

Default Classwork View

Indicates how the default classwork view should display.

Select:

A - All Marking Period - to display classwork view for all marking periods.
C - Current Marking Period - to display classwork view for current marking period.

Overall Average Mark Type

Select the mark type for displaying the overall average on HAC's Classwork page.

Show Class Averages

Select if the average score for the class for every assignment should display on HAC's Classwork page.

Include Unpublished Scores in Student Averages

Select if the student's classwork average should include assignments that have not been published.

Show Attachments for Classes and Assignments

Select if guardians or students can download attachments teachers have attached for classes or assignments. For example, a teacher could attach a syllabus for guardians and students to download and print.

Hide the Percentage Column in the Classwork Course Grid

Select if the percentage column should be hidden when the Courses option is selected on HAC's Classwork page. The percentage column shows how the student's score compares with the total possible points. This value is calculated by dividing the weighted score by the weighted total.

Hide the Overall Average on the Course Classwork Page

Select if the student's overall average be hidden when the Courses option is selected on HAC's Classwork page. The overall average is calculated by dividing the total category points by the total weight.

Hide the Bottom Score on the Competency Classwork Page

Select if the calculated score should be hidden for the competency's accumulator type. The calculated score appears below a competency's assignments. For example, for a competency that has an accumulator type of Most Recent, the label Most Recent Score displays below the grid with the competency's percentage and report card value.

Show Classwork Average in Header

Select if the student's average for assignments should display in the course header on HAC's Classwork page.

If you select the checkbox, you must select a mark type for the Header Average Mark Type and enter a label in the Short Description of Average field.

Selecting the Show Classwork Average in Header checkbox enables access to the section's remaining fields. These fields affect how assignment information displays in HAC.

Header Average Mark Type

Select the mark type for displaying the average in the course header on HAC's Classwork page.

Display Percentage or Mark

Indicates how the student's average for assignments should display.

Select:

Mark - to display the average as a mark.
Percentage - to display the average as a percentage.

Short Description of Average

Enter the text to display in the course header as the label for the average you selected. Character/20

Short Description of Tooltip Narrative for Average

Enter the text for a tooltip describing the average. The tooltip can be displayed by moving the mouse pointer over the average. Character/255

Show Last Date Classwork Updated in Header

Select if the last date that the teacher entered an assignment score should be displayed in the course header on HAC's Classwork page.

Registration Section

In this section, select the Registration information to display in HAC.

Field

Description

Show Personal Student Information

Select if the student's Social Security number, ethnicity, meal status, and classification should display on HAC's Registration page.

To prevent this sensitive information from displaying, leave the checkbox blank.

Show Gender

Select if the student's gender identity should display on HAC's Registration page.

Can Update Email

Select if guardians, students, or neither can update email information on HAC's Registration page.

Students can change only their own email addresses, whereas guardians' access to the email information depends on the Living With checkbox on their Contact pages in eSchoolPlus:

  • If the checkbox is selected, guardians can view and change both their own and their students' email addresses.

  • If the checkbox is not selected, guardians cannot view or change any email addresses.

Can View Additional Email

Select if guardians and students can review additional emails.

Can Update Additional Email

Select if guardians, students, or neither can update additional email information on HAC's Registration page.

Students can change only their own email addresses, whereas guardians' access to the email information depends on the Living With checkbox on their Contact pages in eSchoolPlus:

  • If the checkbox is selected, guardians can view and change both their own and their students' email addresses.

  • If the checkbox is not selected, guardians cannot view or change any email addresses.

Can Update Phone

Select if guardians or students can update phone information on HAC's Registration page.

Students can change only their own phone numbers, whereas guardians' access to this information depends on the Living With checkbox on their Contact page in eSchoolPlus.

  • If the checkbox is selected, guardians can see and change both their own and their students' phone numbers.

  • If the checkbox is not selected, guardians can see and change only their own phone numbers.

Show FERPA Information

Select if the students' FERPA information should display on HAC's Registration page.

Selecting the Show FERPA Information checkbox enables access to the next two fields.

Update FERPA Information

Select if the guardian can update the student's FERPA information.

Show Emergency Medical Information

Select if the student's physician, hospital, and insurance information should display on HAC's Registration page.

Update Emergency Information

Select if guardians or students can update the emergency information.

Show Transportation

Select if the students' transportation information should display on HAC's Registration page.

Show Contact Information

Select if the student's contact information should display on HAC's Registration page. This includes the names, contact types, addresses, and phone numbers of all contacts (not just guardians), as well as the student's physical and mailing addresses. HAC displays phone numbers with a phone type of H.

The next three fields control which contacts the student or guardian the student lives with can view. Guardians can view the contact information for other contacts only if the Living With checkbox is selected on their Contact page in eSchoolPlus.

Show All Guardian Contacts

Select if all guardian contacts should display on HAC’s Registration page. Unchecked if only the contact's own information should display.

Show All Emergency Contacts

Select if all emergency contacts should display. Unchecked if emergency contact information only displays for the living with guardian if the person is also an emergency contact for the student.

Show All Other Contacts

Select if all other contacts should display. Unchecked if other contact information only displays for the living with guardian if the person is also an other contact for the student.

Show Enrollment

Select if guardians can access enrollment update forms from HAC. This option applies to forms from Unified Administration Enrollment or the eSchoolPlus Enrollment Online.

  • On the Students column, do not select the Show Enrollment checkbox. Enrollment access only applies to guardians who have the Living With checkbox selected on their Contact pages in eSchoolPlus.

  • To use this feature, your district will need to define update forms in your enrollment application so guardians can view and make changes to student information.

Show Student Data Exchange

Select if you want to create the dynamic link required for showing Student Data Exchange as a menu option. HAC uses the information entered on the Dynamic Links tab to log the guardian or student into Student Data Exchange for the student currently displayed in HAC.

  • To create the dynamic link and macro to pass the login information, select this checkbox and click Save.

  • To remove the menu option for users in HAC, you must clear this checkbox and delete the dynamic link on the Dynamic Links panel. Simply clearing the checkbox will not remove the menu option.

Show Student ID

Select if the students' ID should display on HAC's Registration page.

Show Student SSID

Select if the students' SSID should display on HAC's Registration page.

This field is displayed as per the configuration defined in each district.


Show Homeroom

Select if the students' Homeroom should display on HAC's Registration page.

Show Homeroom Teacher

Select if the students' Homeroom Teacher should display on HAC's Registration page.

Show Counselor

Select if the students' Counselor information should display on HAC's Registration page.

Show House Team

Select if the students' House Team should display on HAC's Registration page.

Show Locker Number

Select if the students' Locker Number should display on HAC's Registration page.

Show Locker Combination

Select if the students' Locker Combination should display on HAC's Registration page.

Show Learning Location

Select if the students' Learning Location should display on HAC's Registration page.

Request Entry Section

Field

Description

Show Request Entry

Select if guardians or students can enter requests for the next school year. The checkbox should be cleared before running the scheduler to prevent changes from being made to the requests.

Selecting the Show Request Entry checkbox enables access to the section's other fields.

Show Request Alternates

Select if HAC should display alternate requests, which are courses requested by a student that can be substituted when the regular course request cannot be scheduled.

Show Career Planner

Select if the Career Plan page should display (as a tab) in HAC. The page shows the student's year-by-year progress in completing subject area credit requirements for supplemental requirement groups.

The Career Plan page also can be used for entering course requests for future years. To enable this, select the Show Request Entry checkbox, which will then display Career Plan in the Request By field by default.

The District Course Catalog must be used to use Career Planner in HAC. For related information, refer to Scheduling District Configuration Page.

Show Digital Signature

Select if the Digital Signature field should display in the Career Plan page in HAC.

Accept Button Text

Enter the text to be displayed on the Accept button.

Digital Signature Text

Enter the text to be displayed for the Digital Signature field.

Request By

Indicates whether courses will be requested by department or subject area.

Select:

Department - Courses are requested based on the assigned department.
Subject Area - Courses are requested based on the assigned subject areas.
Career Planner - Courses are requested based on the assigned subject areas and the career planner courses suggested for each grade.

School Year

Select the school year for displaying request information.

Scheduling Interval

Select the scheduling interval for guardians and students to enter requests. This is the interval used in running the Student Scheduler to schedule the requests.

Request Credit Range Per Grade

Minimum and maximum number of credits the guardian or student can request in HAC. This range applies to both the Course Requests and Career Planner options. The system allows a Minimum as low as 1 and a Maximum as high as 99.999.

Prerequisite Processing

Determines whether prerequisites should be validated when a course is requested in HAC's Course Requests and Career Plan options and if so, how the guardian or student can proceed if the prerequisite for a requested course has not been met.

Select:

N - Do Not Check - to not have course requests validated for prerequisites.
E - Issue Error - to prevent a guardian or student from requesting a course that has a prerequisite that has not been scheduled or completed.
W - Warning Only - to display a warning message if a prerequisite has not been met for a course request. However, the guardian or student can choose to save the request as needed.

Days Section

Description

Show Attendance

Select if attendance information should display in HAC. The student's attendance appears in a month view on HAC's Attendance page.

To display attendance on the Week View page, you must select the Week View section's Show Week View and Show Attendance checkboxes.

Show Calendar

Select if the month-view Calendar should display in HAC. The page shows student's classes and assignments, as well as activities and events. The guardian or student can select which of these elements to include and also can change the display to view past and future months.

Limit Calendar Range

Select if the calendar is limited to the dates which fall in the calendar range of regular and summer school year. This checkbox is enabled after the Show Calendar checkbox is selected.

Fees Section

Field

Description

Show Fees

Select if the Student Fees page and related information should display in HAC. The page shows the fees charged to a student and current balances, as recorded in eSchoolPlus. HAC's Week View page also includes a link for displaying the Payment Information window, which shows the student's payment history.

Enable Online Payment

Select if guardians and students can enter online payments for student fees.

Special Ed Section

The following fields can only be accessed if the building uses IEPPLUS Integration.

Show Invitation Letters

Select if HAC's IEPPLUS page should display a View Meeting Invitation button when an invitation letter to an IEP session is available for the student. Clicking the button displays a PDF file of the letter. The button does not display if a letter is not available.

Show Evaluation Letters

Select if HAC's IEPPLUS page should display a View Evaluation Report button when an evaluation report is available for the student. Clicking the button displays a PDF file of the report. The button does not display if an evaluation is not available.

Show IEPs

Select if HAC's IEPPLUS page should display a View IEP button when an Individualized Education Plan is available for the student. Clicking the button displays a PDF file of the plan. The button does not display if an IEP is not available.

Show Gifted IEPs

Select if HAC's IEPPLUS page should display a View Gifted IEP button when a Gifted Individualized Education Plan is available for the student. Clicking the button displays a PDF file of the plan. The button does not display if a Gifted IEP is not available.

Show 504 Plans

Select if HAC's IEPPLUS page should display a View 504 Plan button when a 504 Plan is available for the student. Clicking the button displays a PDF file of the plan. The button does not display if a 504 Plan is not available.

Show Progress Reports

Select if HAC's IEPPLUS page should display a View Progress Report button when an IEP progress report is available for the student. Clicking the button displays a PDF file of the report. The button does not display if a progress report is not available.

Show Files to Living With Guardians Only

Select if access to IEPPLUS files should be limited to guardians who have the Living With checkbox selected in their Contact pages in eSchoolPlus.

Mark Reporting Section

Description

Show Report Cards

Select if the Report Cards page should display in HAC. The page shows the student's report card information.

The Report Card View Setup for a report card run determines the report card's mark and comment information. Additionally, to display the class rank and GPA information, the report card view for the Report Card Type must be defined. The data warehouse for the report card run must be generated for this information to display in HAC.

Selecting the Show Report Cards checkbox enables access to the next six fields (Show Student Competencies through Show Print Button).

Show Student Competencies

Select if student competencies for a student can display on HAC's Report Cards page.

Show Course Competencies

Select if course competencies for a student can display on HAC's Report Cards page.

Show Current, Semester, Cumulative Credit

Select if the student's current, semester, and cumulative credit values can display on HAC's Report Cards page.

Show Current, Semester, Cumulative GPAs

Select if the student's current, semester, and cumulative GPA values can display on HAC's Report Cards page.

Show Honor Roll Message

Select if honor roll messages can display on HAC's Report Cards page for students meeting honor roll requirements. The system includes honor roll messages based on this setting and the Print Honor Roll Messages checkbox from the appropriate Report Card View record.

Show Print Button

Select if a button should display on HAC's Report Cards page for printing the student's report card.

Show Progress

Select if HAC's Interim Progress page should display. The page shows the student's progress report information.

The Progress View Setup determines the progress mark and comment information that prints. The Generate Progress Data Warehouse option must be run for this information to display in HAC.

Show Transcript

Select if the Transcript page should display in HAC. The page shows the student's transcript information.

The Transcript View Setup determines the mark and comment information that prints. The Generate Transcript Data Warehouse option must be run for this information to display in HAC.

Scheduling Section

Show Schedule

Select if the student's schedule can display in HAC. The complete schedule will display on the Schedule page, while the weekly schedule will display on the Week View page, if Show Week View is also selected.

Selecting the Show Report Cards checkbox enables access to the section's other fields.

Show Dropped Courses

Select if dropped courses should display on HAC's Schedule page at the bottom of the course list. The Status field for the dropped courses displays the text Dropped.

Show Next Year Course Requests

Select if HAC's Schedule page should include a list of the student's requests for the next year. The requests are displayed below the student's schedule with a heading indicating next year's school year.

Success Plan Section

Description

Show Success Plan

Select if the Success Plan page can display in HAC. The page shows any success plans that have been created for the student. The Success Plan page shows a list of the students' plans. The guardian or student can click the plan date to display detailed plan information, including at risk reasons, interventions, goals, and objectives for the plan.

Selecting the Show Success Plan checkbox enables access to the section's other fields.

Show Sensitive Plans

Select if success plans that have been designated as sensitive can be displayed in HAC.

Show Sensitive Interventions

Select if interventions that have been designated as sensitive can display in HAC.

Show Sensitive Comments

Select if intervention comments that have been designated as sensitive can be displayed in HAC.

Update Parent Goals

Select if guardians or students can update parent goals from HAC's Success Plan page.

Update Student Goals

Select if guardians or students can update student goals from HAC's Success Plan page.

Show Intervention Progress Marks

Select if progress marks for each intervention can be displayed in HAC.

Show Intervention Progress Comments

Select if progress comments for each intervention can be displayed in HAC.

Tests Section

Field

Description

Show Test Score Information

Select if the Test Scores page should display in HAC. The page shows score information for all of the student's tests.

Show PerformancePlus Links

Select if PerformancePlus should display as a menu option. To use this feature, your district must use the PLUS 360 eSchoolPlus and PerformancePlus integration for single sign-on.

Accounts need to be created in PerformancePlus if you want to use this option. We recommend that users have the same login IDs for eSchoolPlus and PerformancePlus.

Show TX Student Portal Link

Select if you want to enable Texas Student Portal access from HAC for guardians and students.

Week View Section

Show Week View

Select if the Week View page should display in HAC.

Selecting the Show Week View checkbox enables access to the section's other fields.

Show Attendance

Select if the student's attendance information can be displayed in the page.

Show Discipline Alert

Select if a link can display on HAC's Week View page when an incident involving the student as an offender, victim, or witness is recorded for the current week.

Clicking the link displays HAC's Discipline page, which lists incidents from either the current year or all years, including the one that triggered the alert. These alerts should not be confused with discipline email alerts.

To access this field, the Behavior section's Show Discipline checkbox must be selected.

Show Fee Balance

Select if the balance due on the student's fees can be displayed in the page.

Show Scheduled Courses

Select if the student's courses and related scheduling information can be displayed in the page.

Show Student Competencies

Select if the student's competency information can be displayed in the page.

Show Average Mark Type in Week View

Select if the student's average for assignments should display on HAC's Week View page.

Show Meeting Link

Select if a Join Meeting link should display for the student if the teacher has defined a virtual meeting URL for their class in Teacher Access. This option is only applicable if your district uses the Zoom integration for Student Check-Ins.

Show Manual Check-In

Select if the student should have a checkbox available to check-in for classes from the Week View page of HAC.

This option should only be selected if the option for Teachers/Substitutes May Use Check-In Page is enabled in the Attendance Building Configuration. If that option is not enabled, teachers will not be able to see the check-ins.

File Upload Section

Use the fields on this panel to define links to configure whether Guardians or Students can upload files. If enabled, these files can then be approved or denied to be stored as student attachments.

Select if the Upload File tab on the HAC Registration page can be displayed for the Guardian or Student individually.

Upload Type

Enter the name of document upload type.

Allowable File Type

Enter the file types allowed for the document upload types to be uploaded from HAC. These should be entered in a comma-separated list only with the file type. For example, jpg,pdf,png

User Instruction

Enter the instructions if required for the document upload type.

Category

Select a category to which the document upload type belongs.

Action

Select to enable the listed document upload types for the Guardian or Student HAC document upload.

Email Alerts Panel

You can set up email alerts to send to guardians and students for attendance, discipline, Gradebook, progress reports, report cards, course averages, and file uploads. Each type of alert has its own section on the Email Alerts tab. The fields are used to schedule the task that sends the alert emails. For more information, refer to Using Email Alerts.

When you save the configuration with Home Access Center enabled, the system synchronizes scheduled task information for any email alerts that have their Send checkboxes selected. If a scheduled task does not exist, it will be created as defined.

Following are sections description of the specific types of email alerts:

Attendance Alerts Section

Use the fields in this section to schedule email alerts for attendance for guardians and students.

An email will be sent when the student has attendance entered for one of the days processed based on the alert date and number of prior days selected. In addition to the student's name and the date range, the attendance information includes the date, period, and attendance code and description for each entry.

Behavior Alerts Section

Use the fields in this section to schedule email alerts for behavior issues.

An email will be sent when the student has a behavior incident for a date that is one of the days processed based on the alert date and number of prior days selected. In addition to the student's name and the date range, the alert's information includes the date, behavior code, and description for each incident.

Gradebook Alerts Section

Use the fields in this section to schedule email alerts for Gradebook.

An email will be sent when the student has Gradebook assignments for the specified date range. If you leave the Include Prior Days field blank, all assignments for the report card run will be included. In addition to the student's name and the date range, the Gradebook information includes the due date, assignment date, assignment description, category, and score data.

Course Average Alerts Section

Use the fields in this section to send an email alert when a student's course average is above or below a percentage set by the guardian or student in HAC.

An email will be sent when the student has a course average within the limits specified in HAC and the course has one of the mark types selected in the Course Average Mark Type field. In addition to the student's name and the report card run, the alerts include the course code and description, as well as grading information, for each course listed.

Immunization Alerts Section

Use the fields in this section to schedule email alerts to notify guardians or students of overdue immunizations.

An email will be sent when the student has an overdue immunization series record. If your building's Medical Building Configuration is defined to use a grace period, the email will be sent if the date for the alert is after the student's grace period expiration date. The immunization information includes the student's name and notifications of vaccination series that are overdue.

Progress Alerts Section

Use the fields in this section to schedule email alerts for progress reports.

An email will be sent when the student has progress information in the Progress Reports Data Warehouse. The email information, which depends on how your Progress Report View, typically includes courses, periods, teachers, progress scores, and comments.

Report Card Alerts Section

Use the fields in this section to schedule email alerts for report cards.

An email will be sent when the student has report card information in the Report Card Data Warehouse. The email data, which depends on your Report Card View, typically includes the student's name, courses, teachers, interval scores, credits, and GPA information.

Following are the standard fields that appear in the email alerts sections, although other fields may display depending on the type of alert:

Send to Guardians

Select if the section's alerts should be sent to guardians.

Send to Students

Select if the section's alerts should be sent to students.

Send to Teachers

Select if the course average alerts should be sent to teachers.

An email with a report will be sent to teachers when course average alerts are sent to their students or guardians. In addition to the teacher’s name and date, the course average alert report includes the list of students for whom an alert was sent grouped by course section. For each student, it lists the student name, student ID, course average, guardian names, email addresses, and status of the alert email sent to the given email address. If the Success column displays Y, it does not indicate that the alert email was successfully sent to the recipient as technical issues may occur.

This field only applies to the Course Average Alerts section.

Task Owner

Login ID the system should use identifying the staff member responsible for this task. You can select from a list of all login IDs in the database.

Alert Date

Date the alert will use to select the data to process for the alert type. If you are scheduling the alert to run at specified intervals, leave this field blank to indicate that the alert should process the data for the current date.

This is not the date on which the alert will run; use the Run Section fields to specify when the alert should run.

Include Prior Days

Indicates the number of prior days to include in the alert. For example, if you schedule the behavior alert to run on Friday and you want to include any incidents that occurred during the week, enter 4 to include Monday, Tuesday, Wednesday, and Thursday.

For attendance and behavior alerts, if you leave this field blank, only the selected alert date is processed.

If you leave this field blank for Gradebook alerts, the alert will include all assignments for the report card run in which the alert date is included.

You cannot specify a number of prior days for the Course Average, Immunization, Progress Report, or Report Card alerts.

Course Average Mark Type

Indicates the mark types that should be used for sending Course Average alerts. If a course has one of the mark types selected in this field and the student's average for the course is above or below the limit set in HAC, then an email will be sent as scheduled.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

This field only applies to the Course Average Alerts section.

Subject Line

Text to use for the subject line for the email alert. Character/50

From Email Address

Email address to use as the From Address for the email. This will be the address to which guardians and students will reply. Character/255

Email Header Text

Text to print as the body of the email above the alert information.

Email Footer Text

Text to print as the body of the email below the alert information.

Run Section

Indicates how frequently the email alert is scheduled to run.

Select:

Once - to run the email alert at a scheduled date and time. Time and Date fields display when you select this option.
Daily - to schedule the email alert to run at a specified interval of days. Time and Interval (Every ___ Days) fields display. Enter the time of day for running the alert, and specify the interval of days. For example, to run the alert every day enter 1 or to run every other day, enter 2.
Weekly - to schedule the email alert to run on specified days of the week. A Time field and Days of Week checkboxes display. Enter the time of the day, and select the checkbox for each day you want to run the alert.
Monthly - to schedule the email alert to run on a set day of the month. Time and Day of the Month (DOM) fields display. Enter the time of the day when you want to run the alert and enter the day number for the day of the month you want to run the alert. For example, if you want to run the alert on the first day of the month, enter 1.

Dynamic Links Panel

Use the fields on this panel to define links to display in Home Access Center. Guardians or students can click the link to open a URL. You can use macros to pass information as part of the URL. For more information, refer to Setting Up Dynamic Links.

As part of the eSchoolPlus 3.0 Service Pack 1 release, Home Access Center was modified to take advantage of PLUS 360 single sign-on functionality between eSchoolPlus and PerformancePlus. You are no longer required to create a dynamic link to access PerformancePlus.

Macros Section

This section is used to define a macro to be used in a URL. Macros allow you to pass a value in place of the macro in the URL when a dynamic link is clicked.

Name

Name for the macro. This is the text that you will enter in place of the associated value.

To use the macro in a URL, you will enter the macro in the format ${XXXX} where XXXX represents the macro name. Refer to the URL field in the Links section for a list of pre-defined macros that you can include.

Value

Value to include in the URL when this macro is used.

Login Type

Indicates who a link should display for.

Select:

Both - to display the link for guardians and students.
Guardian - to display the link for guardians only.
Student - to display the link for students only.

Show In

Determines the application where the link can be displayed.

Select:

All - to allow the link to be used in both HAC and its Family App.
Family App - to allow the link to be used in only in the eSchoolPlus Family App, the mobile version of HAC.
Home Access Center - to allow the link to be used only in HAC.

URL

URL address of the site being linked to.

You can use macros in the URL to pass context-sensitive information to the site. Following is a list of pre-defined macros that can be used in a URL:
