Permanent Graduation Requirements Procedural Outline

This procedural outline provides an overview of the required setup, student data updates, and graduation requirement processes for the permanent requirements available to classes of 2021 and beyond high school graduates.

Ohio Graduation Requirements requires the students in the classes of 2021 and 2022: 

  • Earn a minimum total of 20 credits in the Ohio Graduation Tests (OGT)
    Classes of 202120222023 and beyond students must also receive instruction in economics and financial literacy and complete at least two semesters of fine arts. The OGT Alternative Pathway and OGT Substitutions do not apply for these class years. The district may require more than 20 credits to graduate.
  • Meet one of the original Three Pathways; or meet the Permanent Requirements by demonstrating competency and readiness to satisfy graduation requirements.
    The three pathways include Ohio course credit requirements, Industry Credentials and WorkKeys (Applied Mathematics, Graphic Literacy, and Workplace Documents) exam scores, and College and Career Readiness (ACT and SAT) tests. For information on setup, entry, processing, and review related to these factors, refer to the procedural outline for the standard Ohio graduation pathways.

Students in the classes of 2023 and beyond will be required to only cover the Ohio Graduation Tests (OGT) and meet the Permanent Requirements by demonstrating competency and readiness in order to graduate.

Required Setup

  1. Define the settings for the Ohio Graduation Requirements Setup's Other Setup panel (Regulatory > Setup > EMIS Setup > Ohio Graduation Requirements Setup).
  2. Assign AP Subject codes for Advanced Placement courses on the EMIS Course page, Master Schedule (Course Sections) level (Scheduling > Courses > Course Sections > EMIS Course).
  3. Assign IB Subject codes for International Baccalaureate courses on the EMIS Course page, Master Schedule (Course Sections) level (Scheduling > Courses > Course Sections > EMIS Course).
  4. Assign PS Curriculum codes for College Credit Plus courses on the EMIS Course page, Master Schedule (Course Sections) level (Scheduling > Courses > Course Sections > EMIS Course).
    Here, OH Grad Req Subject Area is the subject area in which the points from this course will be counted and End of Course Mark Type identifies the mark type from which the grade to be converted to points will be retrieved.
  5. For each AP Subject code you assign to a course-section, make sure you associate the same code as a State Code Equiv for the Test Definition subtest score used to track a student's AP subject test score (Administration > Test Scores Setup > Test Definition > Subtests and Scores panel > click appropriate subtest > Score Information section > click Edit for appropriate Score Code).
    • The Ohio Graduation Requirements Calculation uses the State Code Equiv to match the AP test score to the AP course when determining if a student meets the requirement of earning AP course credit and scoring at least a 3 on the AP exam.
    • For a procedure showing how to link a course with a Test Definition subtest score, refer to AP Subject and IB Subject Setup for Additional Pathway.
  6. For each IB Subject code you assign to a course-section, make sure you associate the same code as a State Code Equiv for the Test Definition subtest score used to track a student's IB subject test score (Administration > Test Scores Setup > Test Definition > Subtests and Scores panel > click appropriate subtest > Score Information section > click Edit for appropriate Score Code).
    • The Ohio Graduation Requirements Calculation uses the State Code Equiv to match the IB test score to the IB course when determining if a student meets the requirement of earning IB course credit and scoring at least a 4 on the IB exam.

  7. If you track Ohio Means Jobs Readiness Seal through student Activities, make sure to assign EMIS Programs code 510001 to the appropriate Activity Code on the Activity Setup page (Registration > Entry & Reports > Office > Activity Setup).

Update Student Data

  1. Update the following student-level pages as appropriate:
    • EMIS Capstone Project - This tracks the date the student completed a senior-year capstone project, if applicable.
    • OH Community Service - This tracks the student's community service hours, including the School Year when the hours were completed.
    • OH Workplace Experience - This tracks the student's workplace experience hours.
  2. If you need to track the Ohio Means Jobs Readiness Seal for an individual student, update the EMIS Programs page to include EMIS Program 510001 (Registration > Entry & Reports > Student Demographic > EMIS Programs).
  3. Import test scores into eSchoolPlus for the AP subject exams and International Baccalaureate exams. Use Import Definitions for the tests with Score Codes you updated in the Prerequisites (Test Scores > All > Utilities > Import Scores from File). To manually enter AP or IB exam scores for a student, use Test Scores > All > Student > Test History by Student.
  4. As student marks are reported throughout the year, run the GPA Calculation for the GPA Types you defined in the Ohio Graduation Requirements Setup (Mark Reporting > Utilities > Calculations > GPA Calculation).

Process Student Graduation Requirements

  1. Run the Ohio Graduation Requirement Calculation.
  2. Review student results on the Graduation Requirements Page - Ohio Graduation Requirements Panel.
    • Additional pathway settings show on the following panels: Full Year Courses, Community Service Hours, Workplace Experience Hours, Career-Technical Program, Advanced Placement and International Baccalaureate, Career Technical Exams, and Other Graduation Requirements.
    • You may override calculated values manually on this page for some fields if necessary.
  3. Make a note of students who did not meet any of the three standard graduation pathways. For these students, review and, where appropriate, update the following settings on the Graduation Requirements page, which are not automatically populated by the Ohio calculation: 
    • Student has taken all seven end-of-course exams (Ohio State Tests panel)
    • Completed a minimum of four full year courses in both 11th and 12th grade (Full Year Courses panel)
    • Career Technical Exams Requirements Met (Career Technical Exams panel)
  4. Re-run the Ohio Graduation Requirement Calculation so that it captures the additional pathways settings you manually updated.
  5. You can generate a complete Graduation Requirements Report running the option using the Requirements to Include setting Base and Ohio (Mark Reporting > Entry & Reports > Transcript Reports > Graduation Requirements).
