PEIMS Extended Year Submission Checklist

The following procedure provides an overview of the extended year submission process. For a list of the complexes submitted in the submission, refer to TSDS Submissions.

The extension includes reporting period 9 for the 10-Extended Year First Submission submission period and excludes reporting period 9 for the 03-Fall Working Collection submission period. The calendar date extension includes day types with state code equivalent value ADSY for the 10-Extended Year First Submission submission period and excludes day types with state code equivalent value ADSY for the 03-Fall Working Collection submission period.

Procedure

1.

Run the Student Download error scan for the Extended Year Submission. Choose Error Scan for the Process Type, and run for the 100, 101, 105, and 408 record types.

Check the log file to identify errors and correct the appropriate student information.

Run the Student Download for the Extended Year Submission. Choose Download for the Process Type, and run for the 100, 101, 105, 408, 415, 500, 505, and 510 record types.

The School, Calendar Date, and Reporting Period extensions in the Education Organization interchange report whether or not a school (building) participated in the additional days program in the School Extension of the Extended Year submission. In the Registration Setup, to set up an ADSY Calendar Day, select Calendar T - Traditional with the Day Type set to ADSY - Additional Day School Year. The field for the additional days program (ADSY) indicator displays only when running the Extended Year submission. In the Extended Year submission, the additional days program indicator on the School complex type will be a 1 if there is at least one day type in at least one of the buildings' calendars with a State Code Equivalent value ADSY; otherwise, it will be a 0.

For a student to have a PRIOR YEAR Bilingual/ESL Summer Indicator, the student must have a Bilingual/ESL Summer Indicator (E1028) active during the Bilingual Summer date range in the Texas Configuration. The student must also have a PRIOR YEAR Bilingual/ESL Summer Indicator (E1708) active during the Bilingual Summer date range in the Texas Configuration.

Review the log file to identify errors, correct the data, and re-run the download.

Use the Student Download Search to look for specific groups of student download records where you can generate reports and verify your download records are correct.

Use the Student Download Summary to review download table records for specific students. You can view download table information for a particular PEIMS record type and view records for a specific reporting year and submission period.

You can also edit download table data directly using the Edit link, but it is recommended to update the source data, then re-run the download. This prevents saving a change in the download tables that does not also exist in your source student tables.

Run the TEDS Extract option.

Submit data by uploading the file to TSDS ODS and promote data to eDM.

Check for errors in the TSDS Log File.

Find errors that are at maximum and correct these first. Use verification reports and searches to identify issues. Correct issues in eSchoolPlus, and re-run calculations/downloads/edit file and submit again.

8.

Run the applicable TSDS Reports to verify data. Make corrections as needed, and then repeat the process.

The College Preparatory Course English Language Arts (Service ID - CP110100) and College Preparatory Course Mathematics (Service ID - CP111200) are not Dual Credit courses and report as Dual Credit = 0. If one or more students have manual entry stored grades records for these College Preparatory Courses for the 2019-20 year with Explanation Code of R, the interchanges output:

  • Report these Service IDs in Education Organization.
  • Report the Section records in the Master Schedule.
  • Report the Student in the Student Interchange.
  • Report the Student's School Association in Student Enrollment using the Campus ID in the stored grades record and output a student section records with Course Completion as 1.
  • Report the completed College Prep courses in the Student Transcript Interchange.
