Create Student Download Records

This option will create the student download records for the selected submission. You can also use this option to run an error scan.

Due to COVID-19, TEA has extended the window to update the following elements until the PEIMS Fall Resubmission closes on January 14, 2021. This is applicable only for the 2020-2021 School Year.

Values for elements E0790, E0896, E0785, E1042, E1043 and TE125 (E1642) with effective dates after October 30, 2020 through January 14, 2021 are only reported for students who were enrolled with the district on or before October 30, 2020.

  • E0790 – PEIMS Demographics: LEP Indicator (TX_110)
  • E0896 – PEIMS Demographics: Parental Permission (TX_110)
  • E0785 – PEIMS Economically Disadvantaged: Economically Disadvantaged (TX_101)
  • E1042 – PEIMS Demographics: Bilingual Program Type Code (TX_110)
  • E1043 – PEIMS Demographics: ESL Program Type Code (TX_110)
  • TE125 (E1642) – PEIMS Demographics: Alternative Language Code (TX_110)

To Run the Student Download

Refer to the appropriate submission checklist in this documentation for a list of the options that should be run prior to creating download records.

  1. Select Regulatory from the main menu, select Extracts submenu, select Downloads, and then select Course/Staff/Student Download.
  2. On the PEIMS Student Downloads page, specify how you want to process the download. Refer to the Processing Prompts section for more information.
  3. Click Run.
  4. Check the log file for errors.
FieldsDescription
Download TypeSelect Student to create the student download records.
Submission PeriodSelect the submission (1 - Fall, 3 - Summer, or 4 - Extended Year) you want to process. The selected submission determines the record types to process.
School YearEnter the last year of the school year you want to process.
Run Date

As of date to select records for the submission.

  • Fall Submission: Snapshot Date entered in the Texas Configuration validation table will be used.
  • Summer Submission: Last School Date entered in the Texas Configuration validation table defaults, but you can select another date.
  • Extended Year Submission: Last School Date entered in the Texas Configuration validation table is used.
Process Type

Select whether you want to create download records or scan for errors.

  • To create download records, select Download.
  • To scan student data for errors, select Error Scan.
Skip Error LoggingCheck this box if you want to download data without logging errors.
Clear Existing Records

Check this box if you want to purge the student download records and create new records for students. If this box is not checked, the program will not generate a new download record for a student with an existing record.

This field is inaccessible if the Process Type is set to Error Scan.

Task/Report NameIf you want to rename the task and report file, change the text that displays in this field. If you use the / (slash) character, _ (underscore) will be used in the task and report name.
Record Types to ProcessSeries of checkboxes to select the download records you want to process. When you select a submission, the system defaults to process all record types for that are reported for a submission. For a list of the records reported for a submission, refer to PEIMS Records by Submission.

Additional Information

The Student download process will pull a student's E1651 TX Bilingual/ESL Funding Code in the Attendance (400) and OFSDP Attendance (500) downloads for Summer submission and in the OFSDP Attendance (500) download for Extended Year submission.

The Prior Bilingual/ESL Summer Indicator will process without dependency on the student having the Bilingual Summer Indicator.

The Attendance (400) download will generate correct ELIG_BILINGUAL_DAYS values for students who have two or all of E1042 (ESL Program Type Code), E1043 (Bilingual Program Type Code) and E1651 (Bilingual/ESL Funding Code) programs. The eligible days are pulled for only one of these programs.

The Student download will process industry certifications in the Demographic (101) record based on date ranges of 6/1 through 8/31 for Fall and 9/1 through 5/31 for Summer. Also, only certifications for grades 9 through 12 will be sent.

The Student download will process multiple Crisis Codes into the TX_100_CRISIS_IMPACTS download table, and the StudentExtension extract will generate multiple Crisis Codes with the correct XML format for Fall, Summer and Extended Year submissions. The Student Crisis Impacts table will be available on the Download Summary and Search screens.

The Student Program Extension interchange is updated for PEIMS Fall (Submission 1) and Summer (Submission 3) submissions to conform to the 2020-2021 TEA reporting requirements by removing TX-CareerAndTechnologyEd under StudentProgramExtension from report output and UI for Submission 1 and Submission 3. The StudentCTEProgramAssociationExtension complex type is removed or disabled from the report output or UI for PEIMS Submission 1 and added or enabled to the report output or UI for Submission 3.

The Student download for PEIMS with the 4-Extended Year submission period will include students that were enrolled in the ADSY program on the run date.
The Attendance (400) download for the 4-Extended Year submission period and Student download type is enabled on the Course/Staff/Student download page.
The Special Ed Attendance (405) download for the 4-Extended Year submission period and Student download type is enabled on the Course/Staff/Student download page. The 405 download will now only produce reporting period 9 - ADSY records for Submission 4 and Submission 3 will continue to create records only for reporting periods 1 - 1st 6 Weeks ADA through 6 - 6th 6 Weeks ADA.
The OFSDP Attendance (500) download for the 4-Extended Year submission period and Student download type is enabled on the Course/Staff/Student download page. The 500 download will no longer create reporting period 9 - ADSY records for Submission 4.

The Parent Request Retention Indicator data element for the Fall PEIMS Submission will be reported when an enrolled student was retained at the request of the parent or guardian. For the 2021-2022 school year, this applies to students in grades PK through 12; for the 2022-2023 school year and beyond, this applies to students in grades PK through 3 only.

The Child Find records will be reported through the Interchanges (Education Organization Interchange - ReportingPeriodExtension, Student Interchange - StudentExtension, Student Enrollment Interchange - StudentSchoolAssociationExtension, and Student Program Interchange - StudentProgramExtension, StudentSpecialEdProgramAssociationExtension, and StudentChildFindAssociationExtension) using the applicable extension.

The PEIMS Summer Submission and PEIMS Discipline-related records can be downloaded for Bullying and Cyberbullying flagged incidents as follows:
The Bullying Incident count for Summer Submission is the count of:

  • All incidents with an incident/offense code that are assigned a State Code Equivalent value of 21 and a Severity of 99.
    Plus
  • All incidents with an incident/offense code that are assigned a State Code Equivalent value of 61.

The Cyberbullying count for Summer Submission is the count of:

  • All incidents with an incident/offense code that are assigned a State Code Equivalent value of 21 and a Severity of 99 and Cyberbully checkbox selected for the incident.

  • All incidents with an incident/offense code that are assigned a State Code Equivalent value of 61 and Cyberbully checkbox selected for the incident.

The Student download will report the General Education Homebound Indicator as part of the PEIMS Summer Submission showing that a student was provided services through the General Education Homebound program at any time during the current school year.

The Student - Truancy download processing will have increased time to run the Delete SQL query for truancy records.

The Student - Discipline (425) download will not recalculate the PEIMS Incident ID value saved as the INCIDENT_NUMBER, if the PEIMS Incident ID Override option is selected in the PEIMS Discipline Information section of the Behavior Incidents page.

The Student - Identification (100) and Student - Enrollment (110) downloads will include those who receive or do not receive a Dyslexia Indicator Code after the Fall submission, are accurately reported in the Summer submission.
