Troubleshooting Report Cards

This topic describes solutions for potential issues with student report cards.
Corrected Information is Not Printing
Calculations were run to correct data, but the report card is still printing the old values.
If you've run calculations or made corrections to student data that should be reflected in the report card and the changes are not printing on the report card, you need to refresh the data warehouse when you print report cards.
Incorrect Courses are Printing
Courses are listed that were completed in a previous marking period
If you are displaying attendance information for course absence types that are issued once per year, any course that has absence information for any marking period will be printed on the report card.
If you do not want to print year-to-date attendance totals for courses, you can change the Report Card View Setup so it prints absence types that are issued multiple times per year. Then only courses that meet in a marking period for which you are displaying grades, comments, or absences will print on the report.
State course information is printing on the report card instead of local course information.
The Course Equivalency Setup for the building is defined to print state courses on the report card. Change the Report Cards Data Warehouse Information field on the Course Equivalency Setup to R - Include Regular Courses Only.
Marks are Incorrect
The mark printed is different from the mark stored for the student.
Verify whether the mark was changed after the last time that the data warehouse was generated. If so, run the Print Report Card option and select to generate the data warehouse. For more information, refer to Print Report Cards Page.
If the mark was trailed from one course to another, run the Scheduling/RC Synchronization option. For more information, refer to Scheduling/RC Synchronization Page. After you make changes to the marks for a trailed course, you have to synchronize information so that the mark can also be updated in the course to which marks were trailed.
Numeric marks are printing, but the building reports alpha marks on report cards.
Use the Level Table option to verify that the alpha values are correctly defined for each mark in the Print Values RC column.
If you have made changes to the Level Table since you last generated the data warehouse, then you need to generate the data warehouse when you print report cards.
Earned Credit is Not Correct
Earned credit information for all courses is not correct.
Verify that the Course Credit Calculation was run for the current report card run to update the earned credit. If not, and credit should be earned for marks for the current marking period, run the Course Credit Calculation. For more information, refer to Course Credit Calculation Page.
If you run the Course Credit Calculation, you need to generate the data warehouse when you print report cards.
Earned credit for a course is not correct.
If the earned credit value for a course is not correct, use the Mark Reporting Detail page to verify credit information. For more information, refer to Mark Reporting Detail Page.
- If the Attempted Credit is incorrect and should be changed for all students taking the course, update the Master Schedule record for the course-section. Then run the Scheduling/RC Synchronization option to update the course records for students. If the attempted credit change impacts the earned credit, run the Course Credit Calculation option to recalculate earned credits. Finally, print the report card and select to generate the data warehouse.
- If the Attempted Credit value is incorrect and should be changed for this student only, enter the appropriate credit amount and select the Ovr checkbox on the Mark Reporting Detail page. You may enter an Override Reason as well. If the attempted credit change impacts the earned credit, run the Course Credit Calculation option to recalculate earned credits. Finally, print the report card and select to generate the data warehouse.
- If the Earned Credit value is incorrect and the Course Credit Calculation option was calculated for this report card run, verify that the course receives a mark for the report card run for the mark type on which credit is assigned based on the Course Credit Setup.
- If the Earned Credit value is incorrect, the Course Credit Calculation option was calculated for this report card run, and the student did get a mark for one of the mark types included in the Course Credit Setup, verify that the mark is a passing mark in the Level Table. If the mark is not a passing mark, the student will not earn credit for either the entire course or for the part of the course the student failed based on how you assign credits.
- If the Earned Credit value is incorrect because the student did not receive a passing mark for one of the report card runs and your building allows students who failed a semester to earn credit if they have an overall passing average for the course, verify that the Mark Average Calculation was run to calculate the mark for the mark type that stores the overall average prior to running the Course Credit Calculation.
Credit Totals and GPA Values on the Report Card are Incorrect
Values in the Credit Column of the Credit/GPA Grid are Incorrect.

In the Report Card View Setup, you can choose to include GPA and Credit values for Current, Semester, and Cumulative to print on the report card. You can also customize the labels in the Credit/GPA grid to suit your district requirements. For more information, refer to the General Panel on the Report Card View Setup Page.
0.0000 prints.
If 0.0000 prints for any of the credit fields, run the Course Credit Calculation option, then print the report card and select to refresh the data warehouse.

Dashes (------) are printed on the report card when the Report Card View Setup is defined to not include earned credit on the report card. If you want to include the credit on the report card, you must first update the Report Card View setup, and then run the Print Report Cards option and select to generate the data warehouse.
The credits printed do not match the values shown on the Student GPA Detail page.
The credits shown on the Student GPA Detail are attempted credits used for calculating the GPA. These credits are not printed on the report card. The report card prints earned credits assigned by the Course Credit Calculation. The total earned credit is not stored in the database.
The credit total does not reflect credits from one of the buildings for which the student has credit.
When the data warehouse is generated, you can select the building types for the buildings from which credit should be included in the cumulative earned credit. If the Master Schedule record for a course is defined for a building type other than one of the selected building types or is not defined for any building type, the credit for the course will not be included in the cumulative earned credit.
If building type(s) were selected when the data warehouse was generated, verify that courses were assigned the correct building type in the Master Schedule.
If no building type was selected, the total reflects credits from all courses that earn credit regardless of the building type of the course.
Current GPA Value is Incorrect
The Current GPA value is the honor roll GPA for the first honor roll type that is selected to print the honor message. The GPA for the selected report card run is printed.
In the Report Card View Setup, you can choose to include GPA and Credit values for Current, Semester, and Cumulative to print on the report card. You can also customize the labels in the Credit/GPA grid to suit your district requirements. For more information, refer to the General Panel on the Report Card View Setup Page.
0.0000 prints.
Run the Honor Roll Calculation for the student. If you run the calculation and the student is still not included, verify that the student is not excluded from the honor roll on the Academic page.

The GPA does not match the GPA shown on the Honor Roll Summary page.
The honor roll was calculated after the report card data warehouse was generated. Run the Print Report Cards option with the Refresh MR Data Before Print checkbox selected.
The GPA shown on report cards and the Honor Roll Summary page is not correct based on hand calculation. Other students are calculating correctly.
First, verify that the honor roll was calculated after any changes were made to the student's course information.
If the Honor GPA shown on the Honor Roll Summary is still not correct for the marking period, verify the following:
- Review the Honor Roll Setup, and make sure that you are calculating honor roll information correctly based on the setup. For example, if the honor roll setup is defined to only include ended courses, do not include any course that meets in a marking period after the current marking period.
- For the marking period, verify that the courses to be included in the calculation have at least one of the mark types that the honor roll is calculated based on.
- Review the Master Schedule, and verify that each course is assigned to the correct level table for the honor roll type.
- Use the Level Table option to review the level table assigned to a course, and verify that the correct honor points are entered for marks.
The GPA shown on report cards and on the Honor Roll Summary page are not correct based on hand calculation. All students have an incorrect GPA value.
First, verify that the honor roll was calculated after changes may have been made to course information.
If the Honor GPA shown on the Honor Roll Summary is still not correct for the marking period, verify the following:
- Review the Honor Roll Setup and make sure that you are calculating honor roll information correctly based on the setup. For example, if the honor roll setup is defined to only include ended courses, do not include any course that meets in a marking period after the current marking period.
- Make sure that the selected mark types for the honor roll type are issued within the marking period you are processing.
- Use the Level Table option to review the level table assigned to a course and verify that the correct honor points are entered for marks.
Semester GPA Value is Incorrect
Semester GPA is the GPA value for the GPA Type selected in the Report Card View Setup for the report card run. The GPA for the ranking period for the selected report card run is printed.
In the Report Card View Setup, you can choose to include GPA and Credit values for Current, Semester, and Cumulative to print on the report card. You can also customize the labels in the Credit/GPA grid to suit your district requirements. For more information, refer to the General Panel on the Report Card View Setup Page.

The student does not have a GPA record for the ranking period for the selected report card run.
- Review if the student is excluded from the GPA type on the Academic page. If the student is excluded from the GPA type, you cannot print a semester GPA for the student. If you need to print a semester GPA for all students, review the Report Card View Setup. You may need to select a GPA type that includes all students.
- Review if the student is enrolled in a grade which is not included in the Grade List field on the GPA Setup page for the GPA type that the report card prints. If the student is in a grade that is not in this list, you cannot print a semester GPA for the student.
- If the student is not excluded from the GPA type and is enrolled in a grade included in the GPA type, run the GPA Calculation. The GPA Calculation creates the GPA record for the current ranking period. Run the Print Report Cards option with the Refresh MR Data Before Print checkbox selected.
0.0000 displays.
If a GPA record exists for a student, but the student still has a GPA value of 0.0000, review your GPA setup. It may be correct for a GPA of 0.0000 to print if your district calculates the GPA yearly based on a final mark that is issued only at the end of marking period 4.

Cumulative GPA Value is Incorrect
Cumulative GPA is the cumulative GPA value on which rank was calculated (Refer to the Student GPA Detail page's Rank Based on GPA of field) for the GPA Type selected in the Report Card View Setup for the report card run. The GPA for the ranking period for the selected report card run is printed.
In the Report Card View Setup, you can choose to include GPA and Credit values for Current, Semester, and Cumulative to print on the report card. You can also customize the labels in the Credit/GPA grid to suit your district requirements. For more information, refer to the General Panel on the Report Card View Setup Page.

The student does not have a GPA record for the ranking period for the selected report card run.
- Review if the student is excluded from the GPA type on the Academic page. If the student is excluded from the GPA type, you cannot print a cumulative GPA for the student. If you need to print a cumulative GPA for all students, review the Report Card View Setup, and select a GPA type that includes all students.
- Review if the student is enrolled in a grade which is not included in the Grade List field on the GPA Setup page for the GPA type that the report card prints. If the student is in a grade that is not in this list, you cannot print a cumulative GPA for the student.
- If the student is not excluded from the GPA type and is enrolled in a grade included in the GPA type, run the GPA Calculation. The calculation creates the GPA record for the current ranking period. Then run the Rank Calculation to populate the Rank Based on GPA of field for the cumulative rank information. Finally, run the Print Report Cards option with the Refresh MR Data Before Print checkbox selected.
0.0000 displays.
The Rank Calculation was not run for the ranking period that includes the selected report card run so a value of 0.0000 is stored for the cumulative rank GPA. If you know that the GPA information is correct for students, run the Rank Calculation. Then, run the Print Report Cards option with the Refresh MR Data Before Print checkbox selected.
