Registration Page

Use this page to update registration and building information for a student. You can change information for the current year, summer school, or next year.

Fields displaying as hyperlinks (blue text) are program-tracked fields. Clicking a link displays the corresponding Programs window. If the field is linked to other program fields, the window will also display the related programs. For more information, refer to About Programs.

  1. Select Registration > Entry & Reports > Student Demographic > Registration.
  2. If the Student Search Page displays, search for the appropriate student, then click the student's name link.

Change student's Registration information

  1. Select Registration > Entry & Reports > Student Demographic > Registration.
  2. If the Student Search Page displays, search for the appropriate student, then click the student's name link.
  3. Add or change information on any of the page's panels.
    • If you need to enter summer school information and the panel's fields are read-only, the student is not registered for summer school.
    • To enroll a student in summer school, click the Additional Options icon on the Summer School panel, and select Enroll in Summer School to display the Entry/Withdraw details page. Enter the summer school entry information, save your changes, and then return to the Registration page.
  4. Click Save.

Reactivate an inactive student

If the student's Current Year Status is I- Inactive on the Building panel, you can change their status to A - Active with the following procedure.

  1. Select Registration > Entry & Reports > Student Demographic > Registration.
  2. If the Student Search Page displays, search for the appropriate student, then click the student's name link.
  3. Click the Additional Options icon at the top right of the page and select Reactivate to display the Entry/Withdrawal details page.
  4. Enter the appropriate values on the Enrollment panel.
  5. Click Save.
  6. If desired, select Registration > Entry & Reports > Student Demographic > Registration. and return to the Registration page.

Upload a student's photo

Student photos can only be added after the path, directory, and the photo filename extension are specified on the Registration Building Configuration page.

  1. Verify that the photo's filename is the student's ID.
    Caution
    If the photo's filename is not the student's ID, the photo will not display in the eSchoolPlus system.
  2. Select Registration > Entry & Reports > Student Demographic > Registration.
  3. If the Student Search Page displays, search for the appropriate student, then click the student's name link.
  4. Click the Additional Options icon at the top right of the page and select Upload Student Photo.
  5. Click Add on the Upload Student Photo window.
  6. Select the student's photo using your web browser.
  7. Click Save.
  8. Click OK.

Fields

Student Information Bar

The bar, which displays on all student pages just below the Home icon and Menu button, includes options to view the student's alerts, attachments, and notes and to email the student's teachers and guardians.

Student Panel

The student name fields do not allow the " (double quote) character.

Field

Description

First Name

The student's first name. Character/30

Middle Name

The student's middle name. Character/30

Last Name

The student's last name. Character/30

Generation

The student's generation, such as JR for junior.

Nickname

The student's nickname. Character/30

Home Language

The language spoken at the student's home. Your district may designate this as a required field in the District Configuration.

Native Language

The language the student speaks as their native language.

Gender

The student's gender.

Gender Identity

If this field is available, you can select the gender identity if a student identifies with a gender identity that is different from the Gender selected.

Birth Date

The student's date of birth.

The calculated age of the student displays below the Birth Date.

Summer School Panel

Field

Description

Building

The building the student will attend for summer school. To change this value, use the Entry/Withdrawal page.

Grade

The student's grade for summer school. To change this value, use the Entry/Withdrawal page.

Calendar

The student's calendar for summer school. To change this value, use the Entry/Withdrawal page.

Summer School Status

Indicates whether the student is Active or Inactive for the summer school session.

To change a student's status from Active to Inactive or vice versa, use the Entry/Withdrawal page.

Counselor

The student's counselor for summer school.

Primary Homeroom

The student's primary homeroom for summer school. Typically, the primary homeroom is the morning homeroom if your building takes attendance based on homeroom twice a day. This field is only active if the student is enrolled in summer school.

Secondary Homeroom

The student's secondary homeroom for summer school. Typically, the secondary homeroom is the afternoon homeroom if your building takes attendance based on homeroom twice a day. This field is only active if the student is enrolled in summer school.

House/Team

The student's school house/team for summer school. House/teams are used to select students when scheduling courses. This field is only active if the student is enrolled in summer school.

The multiple bell schedules feature of the Scheduling system allows a building to have different timetables to accommodate the scheduling needs for house/teams of students. For more information about how to use this feature, refer to About Multiple Bell Schedules.

Building Panel

Field

Description

Building

This field displays the number of the building in which the student is enrolled.

To withdraw or transfer a student, use the Entry/Withdrawal page.

Building of Residence (GeoCode Building Assignment only)

This field displays the default building assignment for the student for the current year, based on the GeoCode plan area and grade level of the student.

If your district uses GeoCode for assigning buildings, you are required to enter a plan area for the student. You can use the No Plan Area option on the Plan Area Search window if no address information is available or if you know the student's address is outside your district boundaries.

Override Building of Residence (GeoCode Building Assignment only)

This field displays information pertaining to the Building of Residence. This information is entered on the New Student Information page during the enrollment process or on the Entry/Withdrawal page.

If you update a student's address and the change results in a change in building assignment, the Building Override window displays. For information on this window, refer to Change a student's address information when using GeoCode.

L - Locked - indicates the student is assigned to a building other than the building of residence and the override was set by a user.
R - Needs review - indicates the student is assigned to a building other than the building of residence and user review is necessary.
N - No override - indicates there is no override. The student is in the building of residence.

When running the Building Assignment option (Registration > Entry & Reports > Reports > Building Assignment), you can choose to include only students with specific overrides. For example, you might assign buildings for students whose assignment needs review, but not for students who have a locked override.

Override Reason (GeoCode Building Assignment only)

The reason for overriding the default assignment, such as Parent Request. Your district defines the reasons why you may override the building of residence assignment.

Calendar

The student's calendar, which indicates the days that the student should attend school. To change a student's calendar, use the Entry/Withdrawal page.

Current Year Status

Indicates whether the student is active or inactive for the current year.

  • If the student is active, you can change the student's status to P-Preregistered to indicate that the student is preregistered for the next school year and is not actively enrolled this year.
  • If the student is inactive, you can change the student's status to G - Graduated to indicate that the student is inactive because she graduated.

To change a student's status from active to inactive or vice versa, use the Entry/Withdrawal page.

Counselor

Student's guidance counselor. The selections include all active staff members who are designated as a counselors at the building level.

Primary Homeroom

The student's primary homeroom. Typically, the primary homeroom is the morning homeroom if your building takes attendance based on homeroom twice a day.

Secondary Homeroom

The student's secondary homeroom. Typically, the secondary homeroom is the afternoon homeroom if your building takes attendance based on homeroom twice a day.

House/Team

The student's school house/team. House/teams are used to select students when scheduling courses.

If the building uses the multiple bell schedules feature of the Scheduling system, then the student's house/team determines the bell schedule the student follows. This features allows a building to have different timetables to accommodate the scheduling needs for teams of students. If your building uses multiple bell schedules, refer to Effect of Multiple Bell Schedules on Registration and Attendance for information regarding how Registration and Attendance processes will change.

Family/Census Number

The student's family ID number, if any. This ID number must be used for all students who are members of the same family.

You can use this number to create labels that print one label per family. Character/8

Field

Description

Building

The building the student will attend next year.

Building of Residence (GeoCode Building Assignment only)

Displays the student's default building assignment for the next year, based on the GeoCode plan area and grade level.

Override Building of Residence (GeoCode Building Assignment only)

If you want to place the student in a different building, select the appropriate override in this field.

Select:

L - Locked - to indicate the student is assigned to a building other than the building of residence and the override was set by a user.
R - Needs Review - to indicate the student is assigned to a building other than the building of residence and user review is necessary.
N - No Override - to indicate there is no override. The student is enrolled in the building of residence.

When running the Building Assignment option (Registration > Entry & Reports > Reports > Building Assignment), you can choose to include only students with specific overrides.

If you selected a different building in the Building field, select the appropriate reason for overriding the default assignment, such as Parent Request. You are required to select an override reason, if you selected L - Locked in the Override Building of Residence field. Your district defines the reasons why you may override the building of residence assignment.

Grade

The student's grade next year.

Counselor

The student's counselor next year.

Other Enrollment Panel

Field

Description

County of Residence

County where the student resides.

District of Residence

The student's resident district, if different from your district.

If your district uses Geo Code for assigning buildings, this field displays the district of residence defined for the student's plan area. If no plan area matches the student's address, you can select the district.

For districts that use Geo Code and program track the district of residence, building changes automatically updated by Geo Code will not automatically update the program tracking records. If a student's address change affects the district of residence, update the student's program tracking record to reflect the appropriate district.

Alternate District

Additional district where student attends courses, such as a Vocational Education district.

Attending District

If a student lives in your district, but attends in another district, enter the other district here.

Alternate Building

Building number for an additional building where the student takes courses. This building may be in another district.

Alt (Alternate) Accountability Building

For state reporting purposes. If a student attended in your building, but state accountability is assigned to another building, select the building.

District Enrollment Date

The first date the student attended this district.

State Enrollment Date

The first date the student attended school in this state.

US Enrollment Date

The first date the student attended school in the United States. The Add Student page saves the entry date for the student here, but it can be modified if needed.

Date Entered Grade 9

Enter the date that the student started grade 9. This field helps you identify all students who entered grade 9 in the same year.

State Building of Residence

For state reporting purposes. The state building code to report as the building of residence for state reporting purposes. The display of this field depends on your District Configuration.
