Entering Non-Typical Students for ADM Reporting
The following sections will explain how to enter non-typical students to ensure that you report them properly for ADM.
By non-typical, we mean students requiring special Calendar assignment or program-entry to make sure they are reported properly in the ADM/Attendance reporting periods. For a complete grid showing how calendars and program assignment affect ADM reporting, refer to the ADM Quick Reference section.
Part-time students for ADM Collections
Make sure these students are enrolled in a part-time calendar (see the Registration Setup section for more information about Calendars) on the Entry/Withdrawal page.
Students enrolled in Instructional Hours programs, College Credit programs, or High School Credit Recovery programs for ADM Collections
Make sure that the student is in enrolled in the appropriate calendar on the Entry/Withdrawal page (see the Registration Setup section for more information about Calendars):
- If the student is ONLY enrolled in one of the above programs, he/she should be enrolled under an instructional-hours calendar.
- If the student is attending part-time AND enrolled in one of the above programs, he/she should be enrolled under a part-time calendar.
- If the student is attending a regular schedule for part of the year, and then attending one of the above programs the rest of the year, the student should have two Entry/Withdrawal records, one under a regular calendar for that period of time, and another under an instructional-hours calendar for the other period of time.
You also need to make sure that you update the program hours appropriately for these students on the OR Demographics page (Registration > Entry & Reports > Student District Defined > OR Demographics). The Large Group, Case Management, Intermediate, Small Group, Employed Minors, and Shared Time fields are reported by total instructional hours and the College Credit and HS Credit Recovery fields are reported by total credit hours.
- Click on the appropriate linked field to enter start and end dates.
- Enter the total number of instructional hours or credit hours in the Value column.
Students you do NOT want to include at all in your ADM report
These students should be enrolled with a non-membership calendar on the Entry/Withdrawal page.
Students who are non-resident And ADM Monies go to Resident District for ADM Collections
If you DO want to include them in your ADM Report even though the ADM monies will go to the student's resident district instead of your district
- These students can be on a regular Entry/Withdrawal calendar.
- On the Registration page, the District of Residence and State Building of Residence fields should be the student's resident district number. This is the district that will receive the ADM funds for this student.
Students who are non-resident and ADM Monies Will Go to Your District for ADM Collections
If you DO want to include them in your ADM Report and if the ADM monies WILL go to your district (typically a student enrolled under an inter-district transfer agreement):
- These students can be on a regular Entry/Withdrawal calendar.
- On the Registration page, the District of Residence and State Building of Residence should be entered as if the student was a resident of your district. (Optional: Use the Alternate District field for their actual resident district number)
The Alternate District field is used when the attending district is not the reporting district.
Kindergarten students for ADM Collections
- These students can be on a regular calendar. If you have a separate Kindergarten calendar make sure the membership value is set to 1.
Private tuition-paid students for ADM Collections
You will include them in your ADM report but no district will receive ADM monies for them.
- These students can be on a regular Entry/Withdrawal calendar.
- On the OR Demographics page, make sure that you update the Tuition Type Code field to P (Private Paid Tuition)
Pregnant or Parenting Students for ADM Collections
- These students can be on a regular Entry/Withdrawal calendar.
- On the OR Demographics page, make sure that you update the Pregnant and Parenting field by clicking on the hyperlink, entering a Start Date and checking the checkbox.
ESL students for ADM Collections
- These students can be on a regular Entry/Withdrawal calendar.
- On the Personal Page page, click the ESL hyperlink and make sure that the student has the correct Start Date and that the checkbox is checked.
