Add Student Page

Use this page to enroll a student in your district. When the student is registered, you can enter additional information for the student and schedule the student, if needed. The application navigates to the Duplicate Student Search page before displaying the Add Student page; this enables you to determine whether the student you are enrolling is already registered in your district or may have previously been registered.

Fields

The following descriptions are only for fields that require special attention.

Student Panel

Field

Description

Student ID

The student's identification number.

Your District Configuration settings determine:

  • The Student ID is assigned at the District or Building level

  • You manually enter an ID number or the system generates an ID number when you save the record

  • Your district allows you to override automatically assigned Student IDs.

The district can also specify the length of the ID number.

Home Language

Primary language spoken at home.

Your District Configuration determines whether this is a required field.

Gender

The student's gender. The gender defaults from the Duplicate Student Search page, if it was used in the search.

Gender Identity

If this field is available, you can select the gender identity if a student identifies with a gender identity that is different from the Gender selected.

Email and Login Panel

The Primary Email Address and Additional Email Addresses only display if your district enables multiple email addresses for students. Otherwise, only the Email Address field displays.

Description

Primary Email Address

The student's email address.

Combinations of the following characters are accepted:

  • Before the @ symbol, A-Z (upper or lower), 0-9, dot, underscore, percent, plus, and dash.

  • After the @ symbol, but before the last dot, A-Z (upper or lower), 0-9, and dash, each group ending with a dot and using as many groups as needed.

  • After the last dot, A-Z (upper or lower), using 2-4 characters.

Additional Email Addresses

Enter any additional emails for the student.

Use Email For Mailings

Select if mailings should be sent to the student's email address.

Login ID

The student's login ID for web access. The minimum length is four characters.

Global ID

The student's unique identifier from the external identity provider used for single sign on access.

Password

The student's password for web access. Enter a password if you are enabling the student's account. Only users with the proper security can review the password's text in the Student Addresses page.

Description

Social Security Number

The student's Social Security Number. Your District Configuration determines whether this field displays.

Hispanic/Latino Ethnicity

Indicates whether the student's ethnicity is Hispanic/Latino. If Yes is selected, 1 (one) displays in the Federal code field.

Select:

  • Yes - The student's ethnicity is Hispanic/Latino.

  • No - The student's ethnicity is not Hispanic/Latino.

  • Unanswered/Not Recollected - Information was not available regarding Hispanic/Latino ethnicity.

The Yes and No options are available for all districts. The Unanswered and Not Recollected options may not display for your district.

Race

The student's race information. The District Configuration determines if the fields in this section are required and if you must specify a percentage for each race code. You can enter as many races as needed.

To delete a race, select the Delete box for a race, then click Save on the page's toolbar.

Enter a number indicating the priority order of the student’s races, with 1 as primary, 2 as secondary, and so forth. The percentage field only displays if required by your district.

Federal Code

Indicates the equivalent federal code for the race entered in the Race field.

  • If multiple races are entered, this field displays a 7 (seven).

  • If the value selected in the Hispanic/Latino Ethnicity field is Yes, this field displays a 1 (one), even if multiple races are entered.

Student/Contact Relationship Panel

Access Section

Field

Description

HAC Access

Select if the contact can use Home Access Center (HAC). An email address is required on the Email and Login panel for the contact to register for a HAC account.

Update in Enrollment Online

Select if the student can submit an Enrollment Online update form to update demographic and contact information.

Print Flags Section

Determines the reports or letters the contact can receive.

Addresses and Contacts Panel

Student Section

If this section was populated by a copy from an existing student, such as a sibling, Copied from <Student Name> also displays in the title.

Mailing Addresses Section

The fields that display are based on whether your District Definition page has Simple Address Format checked and whether your Registration District Configuration page requires a street prefix or suffix.

For the mailing address, if there is a PO Box without a street address, enter the PO Box information in the Street field, for example, PO Box 1234. If the address does include a street name and number, enter the PO Box information in the apartment Complex field.

If the Physical Address section does not display, the student's physical and mailing address are the same. To enter a physical address different from the mailing address, select Additional options on the Student section and click Different Physical Address. If the addresses were previously different an are now the same, select Additional options and click Same as Mailing Address.

Transportation Section

Select if the student is transported to or from their listed address.

Geo Code Information Section

This section only displays if your district uses Geo Code.

After entering the student's grade, age, and address, you must click Additional options and select Search Plan Areas to assign the student to a building and determine their Building of Residence. You can select No Plan Area if you know the student lives outside the district.

Phone Section

Enter the student’s phone number information. Assign a Phone Priority to each phone number.

Parent/Guardian Sections

If this section was populated by a copy from an existing student, such as a sibling, Linked to Existing Student also displays in the title. Enter information for the guardians with whom the student lives. You can copy the student's mailing address to the contact information for the guardians entered in this section or vice versa, depending on how you choose to enter the address information.

To check if a contact record exists for a guardian, enter the First Name and Last Name of the guardian living with the student, then click Search Guardian. Select the matching contact, then click OK to link the contact to this student and display the corresponding contact's information in the fields.

  • If you have not yet entered the student's address information, the contact's address copies to the student's mailing address.

  • If no matches are found or if the contact is not listed in the search results, click Close, then enter the contact information for the guardians living with the student.

Contact Info Section

Fields

Description

Language of Correspondence

Language to use for correspondence with the student.

Attendance, behavior, and medical letters can be sent in the language of correspondence if:

  • Use Language For Mailing is selected for the student

  • The building has set up letters to print in multiple languages.

All information included in the letter from the merge prints in English.

If your district uses alternate languages in Home Access Center (HAC), the student's language of correspondence serves as the default language in HAC. If this field is left blank or the language selected is not designated as a HAC alternate language, one of the following is used:

  • The default language specified in the Home Access Center District Configuration page's Students tab

  • The English translation provided by PowerSchool if a default is not specified.

Use Language For Mailing

Select if the student's language should be used for mailings sent to the student.

  • If blank, mailings are sent in the default language defined for each mailing.

  • If mailings are not defined for the language, letters will be sent in the default language. For example, if a building only sends letters in English and Spanish and the default language is English, students whose language is Korean will be sent in English.

Email Address

The contact's email address.

Use Email For Mailings

Select if mailings should be sent to the contact's email address.

Copy to Student Mailing

Select to copy the contact's address to the student's mailing address. This field is enabled if you have selected an existing contact. Otherwise, the checkbox is cleared.

If no student address information was entered before you selected the contact, the contact's address automatically copies for the student and this checkbox is selected.

Phone Section

Enter the student’s phone number information. Assign a Phone Priority to each phone number.

Copied From Sibling Section

This section displays the sibling records that were used to copy information.


Enrollment Panel

Fields

Description

Building of Residence

Only displays if you district uses Geo Code. The student's default building assignment for the current year based on the Geo Code plan area and grade level.

Override Building of Residence

Only displays if you district uses Geo Code. If you want to place the student in a different building, select the appropriate override in this field.

Select:

  • N - No Override - Indicates there is no override. The student is enrolled in the building of residence.

  • R - Needs Review - Indicates the student is assigned to a building other than the building of residence and user review is necessary.

  • L - Locked - Indicates the student is assigned to a building other than the building of residence and the override was set by a user.

Override Reason

Only displays if you district uses Geo Code. If you select a different building in the Building field, select the appropriate reason for overriding the default assignment, for example, if your district has a code for Parent Request.

An override reason is required if you select L - Locked in the Override Building of Residence field, but not required if you select R - Needs Review.

Calendar

The calendar that determines the attendance and membership days when the student should be attending school. For summer school and next year enrollments, you must set your environment accordingly.

Entry Type

Indicates when the student is entering the district, such as current school year or summer school, or if the student is pre-registering for next year. For summer school and next year enrollments, you must set your environment accordingly.

Entry Code

The reason the student is entering the district.

Entry Date

The date the student entered district.

Based on your district’s configuration, validations check the Entry and Withdrawal Dates based on:

  • Entry/Withdrawal Cutoff Date – Your district may use a cutoff date to prevent enrollment and withdrawal of students up to and including the specified date. This feature protects enrollment figures in your state reports.

  • Entry/Withdrawal Membership Day Rule – Your district may require that all Entry and Withdrawal Dates occur on membership days. Membership days are dates when a student is supposed to be in school, as defined by the student’s calendar.

Additional Information Panel

Your district can set up an additional tab to display district-defined fields for new student information entry using the New Student Info option.
