Programs And District-Defined Pages Necessary for California State Reporting that Are Not Pre-Defined

There are two programs and at least one district-defined page that are not currently pre-populated by PowerSchool. You may need to set up the programs if you have elementary grades in your district.
The following pages illustrate how the programs and pages should be configured.

Student Homeroom Tracking Setup

In order for the Attendance Detail report, the Class Size Reduction by Teacher Report, and the CALPADS Student Course Section extract/State File to work correctly for elementary grades, you need to set up a Program to date-track a student's homeroom. You also need to create a Staff Building District-Defined page to track Staff Homeroom changes (see the Staff Homeroom Tracking Page and Staff Room Tracking Example sections of this guide for more information on this).
These setups are also used if you do not schedule elementary students, but need to send a Student Course Section record to CALPADS. The system will use the data in the Homeroom tracking program and the Staff Room Tracking District-Defined page to create the CALPADS Student Course Section records "on the fly".

Student Homeroom Tracking Program

  • There is no requirement for the name of the program, although we recommend that it include the word Homeroom.
  • You only need to have one field on the Program. There is no naming requirement for this field, but we recommend that it include the word Homeroom.
  • The Link Type for the field must be an L (Completely link Start and End dates with no missing days, allowing changes).
  • The Source Table should be Demographic and the Source Field should be Homeroom_Primary.
  • You must have a value in the Default field and the value that you select must exist in each building.

Staff Homeroom Tracking Page

  • Go to Administration > General Setup > District > District-Defined.
  • There is no requirement for the name of the page, although we recommend that it include the words Room Tracking.
  • The page should be a list type (allow multiple field values to be entered as rows) with at least the following fields: Room, Start Date, and End Date.
  • The Room field should be set up as a required field, field type of Input, Data Type of Character, Field Size should be as large as your room numbers, the value in the Validation Table Name should be Rooms, Code Field should be Room ID and Description Field can either be the Room ID field again or if your rooms have meaning descriptions you can select Description.
  • Note: If you have a staff member that teaches two half day kindergarten classes, you should create two staff records with the same Teacher Access Center login.

Curriculum Tracking Program Setup

Some districts use Curriculums instead of Calendars to separate ADAs by group of students. If your district is using Curriculum, then you must set up a Curriculum Tracking program.

  • There is no requirement for the name of the program, but we recommend that it include Curriculum or Instructional Setting.
  • Only need one field, called Instructional Set or something similar.
  • The field should be linked to Entry/Withdrawal with an L link (completely link Start and End dates with no missing dates, allowing changes).
  • Source Table = Academic; Source Field = Curriculum
  • You may want to set a Default if a majority of your students are in a particular curriculum, like Regular.

CA Pre-ID Page(s)

If you are creating Physical Fitness Pre-ID files from eSchoolPlus, you will need to have a page or a field on a page to store Teacher Information for the file. The fields and their descriptsion are listed below. Your district may name the field differently.

If EDS is your Physical Fitness Testing vendor, create a field to store the name of the teacher for the period that the test wil be administered. (see the Running the Update Student District-Defined Field Utility for Physical Fitness Pre-ID for EDS for information on how to populate this field most efficiently).

Teacher ID

If Evalumetrics is your Physical Fitness Testing vendor, create a field to store the Staff ID of the teacher for the period that the test wil be administered. (see the Running the Update Student District-Defined Field Utility for Physical Fitness Pre-ID for EvaluMetrics for information on how to populate this field most efficiently).

Physical Fitness Pre-ID Field for EDS

You may choose to have a separate page for the Physical Fitness Pre-ID field needed to get the Teacher Name information for the file or add these fields to page 612 with the CAHSEE pre-id fields. If you choose to have a separate page, it does not matter what number you use.

To set up this page, go to Administration > General Setup > District > District-Defined and click Add to add a new page. Please refer to the eSchoolPlus Online Help for information on how to add District-Defined pages. The field should be a Character field large enough to store Teacher Names.

Physical Fitness Pre-ID Field for Evalumetrics

You may choose to have a separate page for the Physical Fitness Pre-ID field needed to get the Teacher Name information for the file or add these fields to page 612 with the CAHSEE pre-id fields. If you choose to have a separate page, it does not matter what number you use.

For EvaluMetrics, we recommend that you label the field Teacher ID. This will enable us to get the parsed name fields and the teacher's period into the file. To set up this page, go to Administration > General Setup > District > District-Defined and click Add to add a new page. Please refer to the eSchoolPlus Online Help for information on how to add District-Defined pages. The fields should be a character field long enough to store a Staff ID.

CA Recovery Exception Months

Administration > General Setup > District District Defined > CA Recovery Exception Months

The CA Recovery report's summary totals page provides up to ten months of attendance for students included in the detail section. The summary page considers each month to comprise four weeks, unless you set up exception months on this district-level page. 

Field

Description

School Year

Select the school year that the Recovery Month pertains to.

Total Month

Select the ordinal number for the month, using 1 for the first listed month for which the report provides totals, or 4 for the fourth listed month, etc. You are defining exception months only. This is any month for totaling purposes that is not four weeks long.

Number of Weeks

Select the number of weeks in the month for totaling purposes. This should never be 4 weeks since the Recovery report assumes a four-week month.
