RF Tracker Processing

This section describes how to process downloads and extracts for the Residential Facility (RF) Tracker collection. This collection gathers data for students with disabilities who reside in residential care and treatment facilities (RFs) within the geographic boundaries or jurisdiction of a district.

Prerequisites

  1. Verify the Residential Facility Tracker page data has been entered for applicable students.
  2. Verify Special Ed program data is has been entered for applicable students.

Download Processing

  1. Select Regulatory > Extracts > Downloads > TSDS Download.
  2. In the Download Options panel, specify the required fields from the following.

    Select All.

    Building ListSelect the buildings.
    School YearSelect the school year.
    Submission

    Select R - Residential Facility Tracker - RF.

    Clear All Existing Download DataCheck to clear the existing downloaded data in the application.
    Pre-ScanCheck to verify your district's data before creating download records. These pre-scan rules check for missing or incorrect data that is needed for a download to process correctly.
    Run DownloadCheck to run the download process and insert records into the selected download tables.
    Post-ScanCheck to verify the data inserted into a single download table and make sure it adheres to the state rules.
    Cross-ValidationCheck to cross-validate data across multiple download tables.
    Run DateSelect the run date for the download. The download will include all data as of the selected date.
    Task/Report NameEnter a name for the download.
    Select AllCheck to select all applicable Download Prompts for the Residential Facility Tracker submission.
  3. Specify the additional processing options in the Download Prompts panel. Refer to the Download/Extract Prompts for more information.
  4. Click Run.
  5. To view task status and retrieve reports, click Tasks/Reports on the Navigation bar.

Extract Processing

  1. Select Regulatory > Extracts > Extracts > TSDS Extract .
  2. In the Extract Options panel, specify the following required fields.

    Select All. You can select Student to filter only the Student information.

    Building ListSelect the buildings.
    School YearSelect the school year.
    Submission

    Select R - Residential Facility Tracker - RF.

    Task/Report NameEnter a name for the extract.
    Select AllCheck to select all applicable Extract Prompts for the Residential Facility Tracker submission.
  3. Specify the additional processing options in the Extract Prompts panel. Refer to the Download/Extract Prompts for more information.
  4. Click Run.
  5. To locate the file, click Tasks/Reports on the Navigation bar. The file will be listed on the Tasks and Reports page's Recent Reports panel. Save it to your local machine.

Download/Extract Prompts

This section describes the complex types used for RF Tracker submission, and any special conditions that apply.

ExtensionNotes
Local Education Agency (EDORG)Reports your main LEA's information; this is your district record that is not validation-only. For programs offered by the district, the download uses the following Texas State Reporting validation table: Student Program Type.
School (EDORG)Reports the buildings you choose from the Building List. To be reported, a building needs its State Equivalency Code defined (Building Definition).
Student (STUPARENT)The Run Date prompt on the TSDS Download/Extract will not be used when pulling records. Only students with an entry for the current school year on the Residential Facility Tracker (Registration > Entry & Reports > Student District Defined > Residential Facility Tracker) page will be included.
Student Special Ed Program Association (STUPROGRAM)

The Run Date on the TSDS Download/Extract will not be used. Only students with an entry for the current school year on the Residential Facility Tracker (Registration > Entry & Reports > Student District Defined > Residential Facility Tracker) page will be included.

In addition, the following conditions must be met:

  • Special Ed Program start date must be less than the RF record end date and the Special Ed Program end date must be greater than the RF record start date.
  • The student must have an active Primary Disability (Registration > Entry & Reports > Student Demographic > Programs > click 148 - PEIMS Special Education Program) value. The Primary Disability start date must be less than the RF record end date and the Primary Disability end date must be greater than the RF record start date.

Refer to the Special Ed Program section for more information on how special education data is reported.

Residential Facility (EDORG)Reports the distinct list of Residential Facility Campus values for the school year that is chosen. The Building prompt on the download/extract page will not be used when pulling records.
Student Residential Facility Association (STUENROLL)Reports data from the Residential Facility Tracker (Registration > Entry & Reports > Student District Defined > Residential Facility Tracker) page for the current school year with an entry date that is greater than or equal to the students E/W Entry date and less than the students E/W Withdrawal date.

Additional Download Processing

  • The extract will not output NULL fields such as Effective Date of RF Student, Campus ID of Enrollment, Attendance Zone Campus, and Prior Instructional Setting Code. The Residential Facility ID field in the download table is made nullable for the download table to accept these values.
  • The Residential Facility Complex type will output the LEA Reference number instead of the State Organization ID.
  • The Student Download Summary will include the count of Residential Facility (RF) days that a student was eligible, which is based on the data from the Attendance Contact Hours calculation.
