Attendance Contact Hours

This calculation creates attendance records (tx_stu_atnd) for each of the attendance reporting periods. These records are used in the following records and reports:

  • 400 Student Basic Attendance
  • 405 Student Special Education Attendance
  • 410 Student Career & Technology Education Attendance
  • 500 Student Flexible Attendance Data
  • 505 Student Special Education Flexible Attendance
  • 510 Student Career & Technical Education (CTE) Flexible Attendance

Use this page (menu path: select Regulatory from the main menu, select Calculations submenu, select View Calculated PEIMS Data, and then select View Attendance and Special Program Contact Hours) to view the calculated attendance records.

Prerequisites

  1. Run the Day Totals Calculation for the view used for state reporting for the attendance reporting periods you want to calculate. Menu path: select Attendance from the main menu, select All submenu, select Utilities, and then select Day Totals Calculation.
  2. Run the Career Tech/Contact Hours calculation to create the program tracking records for the Career Technical Contact Hours. Menu path: select Regulatory from the main menu, select Calculations submenu, select Calculations, and then select Career Tech/Contact Hours.
  3. If you need to manually set the Career Tech Contact Hours for a student, use the District-Defined PEIMS Career Tech page to enter the contact hours. Menu path: select Registration from the main menu, select Entry & Reports submenu, select Student Demographic, and then select Programs (click 149 - PEIMS Career and Technology (Program)).
  4. If your district has students participating in OFSDP, make sure that OFSDP records have been created for these students. You can either calculate attendance information or manually create OFSDP records.
    • To calculate attendance information, run the Day Totals Calculation for the OFSD view and run Build PEIMS OFSDP Records.
    • To manually create OFSDP records, use the menu path: select Regulatory from the main menu, select Calculations submenu, select View Calculated PEIMS Data, and then select OFSDP Maintenance.
  5. Verify that information for the PEIMS programs listed above is correct.

To run the Calculate Attendance Contact Hours

  1. Select Regulatory from the main menu, select Calculations submenu, select Calculations, and then select Attendance Contact Hours.
  2. Specify the calculation options. For more information, refer to the Fields section.
  3. Use the Filter panel to select students.
  4. Click Run.
  5. Use the Tasks/Reports options on the Navigation bar to view task status and retrieve reports.

Building

Select the building(s) for which you want to calculate the attendance records.

Reporting Periods

Select the reporting periods for which you want to calculate attendance records.

View Type

Select the View Type you want to use to calculate attendance records. This is the view type you use for state reporting.

Do not run this calculation for the OFSD view. The calculation will look for the OFSDP records when appropriate.

Use Positive Attendance

Select if you want to use the Positive Attendance views for the Attendance Contact Hours calculation.

The Positive Attendance view (applicable for 2020-21 PEIMS attendance reporting) requires Day Totals entries for every day in the reporting period indicating if the student was present or absent on a particular date. The PEIMS Attendance Contact Hours calculation will total the days present and days absent for the reporting period being processed.

Clear Existing RecordsSelect if you want to delete existing records before the calculation creates new records.
Process Homebound CTE Hours

Select if the CTE Contact Hours for students with an instructional setting of Homebound should include hours for the days that the student was homebound.

If this box is unchecked, then the student's total for CTE Contact Hours will not include hours for the days when the student's instructional setting was Homebound.

Use Legacy

Select if you want to run the legacy version of the Attendance Contact Hours calculation. The calculation was rewritten to improve performance, but you can select this checkbox to run the legacy version if needed.

Calculating Contact Hours for Bilingual/ESL Funding Code (e1651) - Valid Student Program Settings

To have Contact Hours calculated for Bilingual/ESL Funding Code (E1651), a student needs program values meeting one of the valid combinations (based on state documentation where there is a funding weight greater than 0) as follows. The seven program fields are available through the PEIMS Demographics student program (146) and on the District-Defined PEIMS Demographics student page.

Additional Information

The Attendance Contact Hours calculation is updated to calculate days present eligible and excess contact hours for In Person, Remote Synchronous (RS) and Remote Asynchronous (RA) attendance data fields that are part of the Basic Reporting Period Attendance and Special Reporting Period Attendance complex types. The Residential Facility complex type includes the In Person, RS, and RA counts.

The Attendance (TX_400) record will download the RS/RA fields similar to the existing fields (eligible days, bilingual, residential facility, pregnancy, and special ed).
The Special Ed Attendance (TX_405) record will download the RS/RA fields similar to the existing fields (eligible days v1,2,3, Excess contact hours 1,2,3).
The Vocational Attendance (TX_410) record will download the RS/RA fields similar to the existing fields (eligible days v1,2,3,4,5,6).

The Attendance Contact Hours calculation is updated to process Additional Day School Year (ADSY) attendance records under reporting period 9 - ADSY.

The Attendance Contact Hours calculation is updated to include TE125 (Alternative Language) attendance data in the calculation of the G0a. Biling/ESL ProgType Tot, G0b. Biling/ESL ProgType IP, G0c. Biling/ESL ProgType RS, and G0d. Biling/ESL ProgType RA rows in the report.

The Attendance Contact Hours calculation is updated to process the Service ID associated with Contact Hours (CTHRS) data. The Attendance Contact Hours calculation process Excess Hours based on the sum of Contact Hours from each Service ID per day.

The Attendance Contact Hours calculation is updated to generate an E1651 (Bilingual/ESL Funding) record when a student has a Parent Permission of K and an ESL Program of 2 or 3.

The Attendance Contact Hours calculation is updated to process Economic Disadvantage Program (145) and pull the state code of the program value from the Meal Status validation table where the state code is not 00.
