Send Medical Communications Page

Use this option to notify people that students are out of compliance with immunization schedules as determined by the Validate Immunizations option. You can process letters to mail home, send staff notifications, or both process letters and staff notifications.
- If you select to send letters, then this option creates a data file that you will later merge with the appropriate form letter files to create immunization letters.
- If you select to send notifications, the notifications are sent to subscribed users who opt to receive notifications and optional email notifications.

Prerequisite
You must run the Validate Immunizations option (Medical > All > Utilities > Validate Immunizations) to determine which students are not up to date.
Send immunization communications
- Select Medical > All > Communications > Send Communications.
- Specify the calculation options.
- Click Run.

Prompts Panel
Field | Description |

Building | Select the enrollment building of the students for which you want to notify people of students who are out of compliance with immunization schedules. |
Calc (Calculation) Date | Select the Validate Immunization calculation date for which you want to generate the merge file. You can only select a date for which you have not previously run this option. The Medical Student Letter (med_stu_letter) record is updated when you run this option.

Communication Method | Select: Generate Letters - to create the notification letter file. The letter file can then be downloaded to your PC and merged with form letters created in Microsoft® Office Word. |
Include History | Check if you want to include immunization history for the immunization details included in the letter. If you do not include history, the merge file includes the immunization, requirement, reason, and notification information for each schedule for which the student has a letter record. |
Sort Panel
Use the Sort panel to specify how records should be ordered in a report. You enter lines of sort criteria; the system compares your sort criteria against the corresponding fields in the records being searched and displays records in either ascending or descending order based on the sort fields.
