Mail Merge Letters

The pages in this section describe merging data files created in eSchoolPlus to create letters to send to parents. Letters can be sent for the following packages:

Attendance

You can send a form letter to guardians notifying them that students have met specified absence criteria. Use the Attendance Criteria Setup option to indicate when students should receive letters based on absences. Run the Attendance Criteria Calculation on a regular basis to create letter records for students who met the criteria. Then, use the Send Communication option to create the data file for merge letters.

Behavior

You can send a form letter to guardians regarding incidents related to specific types of offenses or actions. Use the Behavior Criteria Setup option to define the criteria for when students should receive letters based on incidents. Run the Behavior Criteria Calculation to create letter records for students who met the criteria. Then you can use the Send Communications option to create the data file for merge letters.

Home Access Center

You can generate login IDs and passwords for students and guardians and create a data file that includes the login ID and password in order to send a form letter to the guardians and contacts. Use the Generate HAC Login & Passwords to create the data file.

Medical

You can send a letter notifying guardians of students who are not compliant with immunization requirements. When you run the Immunization Validation option, a calculation evaluates student immunization data to determine if the student is compliant.

Success Plan

You can send a letter notifying guardians that students have been identified as at risk based on a test score for a standardized test. The criteria are defined Test Scores At-Risk Setup to identify students who need success plans based on test scores. Run the Tests Calculation for Success Plan Communications to create at risk reasons for students and generate a data file for students who meet the criteria.
