Scheduling Rollover Page

Use this page to delete scheduling records for students who were deleted during Registration Rollover Processing, delete scheduling information that does not need to be retained from year to year, and purge any additional scheduling information that you no longer need to store. You can select what information to purge, and indicate the school year for which you want to purge records.

Run Scheduling Rollover

  1. Select Administration > Utilities > Year End > Scheduling Rollover.
  2. To run the rollover to complete only base processing, in the Building field, click
     (asterisk) to select all buildings, and leave the remaining fields blank. Skip to Step 5.
  3. Select the buildings for which you want to roll scheduling information. Select codes from the field's drop-down list, or click
     (asterisk) to select all codes, then remove any that do not apply.
  4. Specify the purge options, and enter the school year to purge records.
  5. Click Run.
  6. Use the Tasks/Reports options on the Navigation bar to view task status and retrieve reports. Review the log file and spot check data to confirm that the rollover was successful. Make sure users know not to change data until you have verified that data does not need to be restored.
  7. If you are satisfied with your results, you are done, and you can continue to the next rollover.
  8. If the log file has errors, or if you are not satisfied with the results of the rollover, click Restore to change the page to its Restore mode, and select the rollover run(s) you want to restore. The restore will load data for the backup files created for all rollover runs that were run on and after the rollover run selected. For example, if the Restore mode displays rollover runs 1, 2, and 3, and you select to restore run 2, then the restore will load back up data for rollover runs 2 and 3.
  9. Select when to run the restore from the Run panel.
  10. Click Run.
  11. Once data is restored, you can correct data errors and re-run the rollover.
  12. If you are satisfied with the rollover and you want to run the rollover for a different set of buildings, repeat Steps 1 - 11.

Fields

Rollover Mode

These panels display when Rollover is selected at the top of the page. The first time you run Scheduling Rollover or when you run this page after restoring all data, the following processes occur regardless of how you select to run the page.

    • Deletes all scheduling information for students who have been deleted. This includes schedules, course requests, course recommendations, conflict information, and status.
    • Deletes conflict matrix information.
    • Deletes modeled courses.

Description

Building

Select the buildings to be processed by the rollover. For example, you might run once for middle schools that do not keep scheduling information for prior years, and then run for high schools that do keep scheduling information.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

Options are selected in the Perform column. Enter the School Year when appropriate.

Description

Purge Building History

Select to delete building setup information for the specified School Year and earlier. Information deleted includes the scheduling configuration, timetables, cycles, periods, and Master Schedule Builder information.

If a building uses transcripts, building history information should only be deleted for school years for which you have deleted all students.

If you select Purge Building History, all other options are automatically selected and set to the entered School Year

Purge Master Schedule

Select to delete master schedule, schedules, and transcript information for the specified year and earlier.

Caution

When Master Schedule records are deleted, student report card/transcript records are automatically deleted for the courses. If a building uses transcripts, master schedule information should only be deleted for school years for which you have deleted all students.

If Purge Building History is selected, Purge Master Schedule is automatically selected, since master schedule records will be invalid once you delete the Building History.

Purge Student Schedules

Select to delete student schedules for the specified year and earlier. If Purge Master Schedule is selected, Purge Student Schedules is automatically selected for the same school year.

After you have deleted schedules for a year, users should not run Scheduling/RC Synchronization for the year.

Purge Student Requests

Select to delete student requests and course recommendations for the specified year and earlier. If Purge Student Schedules is selected, Purge Student Requests is automatically selected for the same school year.

Restore Mode

These panels display when Restore is selected at the top of the page. The Restore mode lists each rollover run, its run date and status, and the rollover options used for the run. If you need to restore a rollover, select the appropriate row, select the run time, and then click Run. The restore will delete all data and re-load the backup files made at the time of the rollover. If multiple rollovers have been performed, any rollovers done after the run you selected will also be restored to maintain data integrity.
