Mark Reporting Rollover Page

Use this page to delete mark reporting records for students whose records were deleted by the registration rollover process. It can optionally purge mark reporting setup information and purge mark reporting and/or progress information for students that no longer need stored records, based on their graduation year. Gradebook setup and student scores can also be purged based on school year. You can select what information to purge and indicate the school year for which you want to purge records.

Run Mark Reporting Rollover

  1. Select Administration > Utilities > Year End > Mark Reporting Rollover.
  2. To run the rollover to complete only base processing, in the Building field, click
     (asterisk) to select all buildings, and leave the remaining fields blank. Skip to Step 5.
  3. Select the buildings for which you want to roll mark reporting information. Select codes from the field's drop-down list, or click
     (asterisk) to select all codes, then remove any that do not apply.
  4. Specify the purge options, and enter the school year to purge records.
  5. On the Run panel, select when to run the rollover.
  6. Click Run.
  7. Use the Tasks/Reports options on the Navigation bar to view task status and retrieve reports. Review the log file and spot check data to confirm that the rollover was successful. Make sure users know not to change data until you have verified that data does not need to be restored.
  8. If you are satisfied with your results, you are done, and you can continue to the next rollover.
  9. If the log file has errors, or if you are not satisfied with the results of the rollover, click Restore to change the page to its Restore mode, and select the rollover run(s) you want to restore. The restore will load data for the backup files created for all rollover runs that were run on and after the rollover run selected.
  10. On the Run panel, select when to run the restore.
  11. Click Run.
  12. Once data is restored, you can correct data errors and re-run the rollover.
  13. If you are satisfied with the rollover and you want to run the rollover for a different set of buildings, repeat Steps 1 - 12.

Fields

Rollover Mode

These panels display when Rollover is selected at the top of the page. When you run the rollover, mark reporting records are purged for students who were deleted from Registration, mark reporting records are purged for courses that were deleted from the Master Schedule, and mark reporting records are purged for courses where the Master Schedule records have the Marks Are field set to R - For report cards only. If you do not want to purge any other information, you can run this page and leave all purge options unchecked.

Building

Select the buildings to be processed by the rollover. For example, you might run once for middle schools that do not keep mark reporting information for prior years, and then run for high schools that do keep mark reporting information. Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

Options are selected in the Perform column. Enter the School Year when appropriate.

Description

Purge Building History

Select to delete all student and setup information for the specified year and earlier. If a building uses transcripts, building history information should only be deleted for school years for which you have deleted all students.

Information deleted includes student course equivalencies, student competencies, student honor roll, student GPA/rank information, graduation requirements, student comments, student competency teacher assignments, state courses, gradebook information, report card/transcript information, and progress information.

Setup information deleted includes credit calculation setups, graduation requirements, progress view setup, mark substitution setup, report card view setup, gradebook setup, and TAC information.

Purge MR Data for Students Who Graduated on or before Select if the buildings do not keep report card/transcript information for students with a graduation year equal to the specified year (or earlier). Report card, standards and competencies, and transcript information for the selected students is purged, but setups are not affected.

Purge Progress Data for Students Who Graduated on or before

Select if the buildings do not keep progress information for students with a graduation year equal to the specified year (or earlier). Progress information for the selected students is purged, but setups are not affected.

Purge Gradebook Assessment Data on or before

Select to delete gradebook setup information for course-sections for the specified year and earlier.

Do not delete the assessments for the current year if teachers should be able to copy the assessments when they define assessments for next year.

If you purge gradebook assessments for a school year, score information will also be deleted.

Purge Gradebook Score Data on or before

Select to delete gradebook student information for course-sections for the specified year and earlier.

Restore Mode

These panels display when Restore is selected at the top of the page. The Restore mode lists each rollover run, its status, and the rollover options used for that run. If you need to restore a rollover, select the appropriate row in the Restore column, and then click Run. The restore will delete all data and re-load the backup files made at the time of the rollover. If multiple rollovers have been performed, any rollovers done after the run you selected will also be restored to maintain data integrity.
