Creating Form Letter Files

The letter files store the text and merge fields for the letters that will be sent to students and/or contacts. Text must be entered exactly as you want the text to print. Refer to the list of merge fields for each application for information about the merge fields that are available for a letter.

In Microsoft Word, you enter the merge field names, so that the data will be pulled into the file when you merge. For Attendance and Behavior, you also may need to create a primary letter file that allows you to switch between form letters. Refer to Sample Form Letter to see a sample letter for Discipline.

When you connect the data source, you must select the delimiters for the file. Enter | (pipe) as the field delimiter and # (pound sign) as the record delimiter.
