Attendance Building Configuration Page

Use this page to display, add, change, or delete the attendance configuration record for a building. The configuration indicates how attendance is taken, how attendance notifications are sent to parents, how attendance information is entered in the Teacher Access Center, and how the absences for the building are calculated for the Home page's Attendance cards.

View a building's attendance configuration

  1. Select Administration > Attendance Setup > Setup > Attendance Building Configuration.
  2. If a configuration displays for a building other than the one you want, click Search, then run a search and select another building.

Add a building's attendance configuration

  1. Select Administration > Attendance Setup > Setup > Attendance Building Configuration.
  2. If a configuration displays for a building other than the one you want, click Search, then run a search and select another building.
  3. Complete the page's fields as needed.
  4. Click Save.

Change a building's attendance configuration

  1. Select Administration > Attendance > Setup > Attendance Intervals.
  2. If a configuration displays for a building other than the one you want, click Search, then run a search and select another building.
  3. Change the values as needed.
  4. Click Save.

Delete a building's attendance configuration

  1. Select Administration > Attendance > Setup > Attendance Intervals.
  2. If a configuration displays for a building other than the one you want, click Search, then run a search and select another building.
  3. Click
    (Delete) at the page's upper right. A confirmation dialog displays.
  4. Click Yes.

Field

Description

Period Type

Period type used to take attendance.

Select:

Homeroom - to indicate that attendance is taken in the student's homeroom.
Period - to indicate that attendance is taken based on the scheduling periods; for example, to take attendance for the course that meets the second period.
Timeslot - to indicate that attendance is taken based on a specific timeslot, for example, to take attendance for the course that meets between 9:00 and 9:45. This option allows you to take attendance for a set period of time if you use a rolling timetable or if some periods do not meet on all days.

Use Timetable

Checked if the start and end times for attendance periods are based on the Scheduling Timetable. This field displays if the Period Type field is set to Period or Timeslot.

Unchecked if the attendance periods should have different start and end times than the scheduling periods. You can specify start and end times for the attendance periods on the Attendance Periods page. For example, if your timetable allows students five minutes to travel between classes, but for attendance information, you want to include the travel time as part of the total minutes of attendance for the day, you can set up your attendance periods to include this time.

Bottom Line Type

The absence entry is considered for the official absence code.

Select:

Office - to indicate that the entry made by the office staff is the official absence code.
Teacher - to indicate that the entry made by the teacher is the official absence code.

Audit Type

Indicates whether your building stores an audit trail of every change made to a student's attendance records.

If your district has an accountability policy that requires that students in certain grades or students over a specific age should never be reported as unlawfully absent, the Audit Type you select determines whether the system saves the original absence code and the Accountability Alternate Code (Full) or only the Accountability Alternate Code (Partial). For more information about Alternate Accountability, refer to About Alternate Accountability.

Select:

Full - to store an audit trail. If you store an audit trail, all changes that are made to a student's attendance records are stored. For example, if a student was initially marked unexcused absent by the office and was then marked excused because a doctor's note was provided, both the unexcused and the excused codes would be stored. The last change would be used as the official entry.
Partial - to store the most recent changes to the student's attendance record. The latest teacher and office entries are stored.

Attendance Lock Date

Date for locking attendance information for the current year. Attendance for dates on or before this date will be read-only unless the user has the security resource ATT-MAINT-LOCKOVER.

Default Absence Code

Default attendance code to use if a student is marked absent in Attendance Entry.

Default Tardy Code

Default attendance code to use if a student is marked tardy in Attendance Entry.

Default Present Code

Default attendance code to use if a student is marked present in Attendance Entry.

SIF Attendance View

If your district uses SIF to report attendance information for state reporting, select the attendance view defined to calculate attendance totals for state reporting.

Notifications Panel

Description

Use Language Templates

If the building sends notifications to parents, indicate the languages used.

Select:

Default Language - to send notifications in one language.
Multiple Language - to send notifications in various languages.
Not Sending Communications - to indicate notifications will not be sent to parents.

Mail Merge Data Source Filename

The name of the data source file used to create the form letter template name.

You must complete this field if you selected D - Default Language or M - Multiple Languages in the previous field.

Languages

The languages used for notifications. You can access this field only if your building prints notifications in multiple languages.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

Program ID

The program where you store additional information to print on the notification.

Registration District-Defined Screen

The district-defined screen where you store additional information to print on the notification.

Data Download Path

The path to where the data source file and templates should be downloaded.

Send Email Option

Checked if you send email as well as letter notifications.

Sender Email Address

Email address to use as the email sender. This email address will be used as the reply address for guardians sending replies. This email address will also receive messages about undeliverable addresses.

Description

Teachers/Substitutes May Take Attendance and View Morning Bulletin

Checked if teachers and substitutes can enter attendance and view the morning bulletin in the Teacher Access Center.

Default Teacher Access Absence Code

Default attendance code to use if a student is marked absent in the Teacher Access Center.

Default Teacher Access Tardy Code

Default attendance code to use if a student is marked tardy in the Teacher Access Center.

Default Teacher Access Present Code

Default attendance code to use if a student is marked present in the Teacher Access Center.

If an absence code should be stored when teachers check the P box or click the All Present button on the Home page, select the code that indicates present.

Typically, it is not necessary to create an attendance record for every present student so this field is left blank.

If this field is blank, selecting the P checkbox in the Teacher Access Center will remove any absence code previously entered. For example, if a teacher marks a student absent and saves attendance, but the student shows up for class a few minutes later, the teacher would check the P box to remove the absence code for that student. No attendance record is stored for the date of teacher entry. In this case, clicking All Present will not mark students as all present, but rather, will indicate that the teacher did not miss the submission of attendance.

Teachers/Substitutes May Enter Alternate Absence Codes

Checked if teachers and substitutes may enter specific absence codes for students. If this field is unchecked, teachers can only enter the default absence or tardy code for students.

Limited Absence Codes Teachers/Substitutes Can Enter

If teachers and substitutes may enter alternate absence codes, but you want to limit the list of attendance codes that they can enter, select the list of codes that teachers should be allowed to enter.

Number of Prior Days of Attendance That Can Be Viewed By Teachers/Substitutes

Enter the number of prior days of attendance that can be viewed in the Teacher Access Center.

Number of Prior Days of Attendance That Can Be Maintained By Teachers/Substitutes

Enter the number of prior days of attendance that can be maintained in the Teacher Access Center.

Teachers/Substitutes Can See Attendance Information on Student Summary Page

Checked if teachers and substitutes can view attendance information in the Student Details drawer.

Missing Submission Sender Email Address

Email address to use as the email sender when the missing submission report is sent to teachers. This email address will be used as the reply to the address. This email address will also receive messages about undeliverable addresses.

Email Missing Submissions Report To

The user IDs for the users to whom the attendance missing submissions report should be sent. If multiple users should receive the missing submission report, enter IDs in a comma-delimited list.

The missing submission report will be sent to the email address specified in the user profile for the selected user ID.

Teachers/Substitutes May Use Check-In Page

Checked if the Student Check-In page should be available in Teacher Access. From this page, teachers can monitor as student participants check into the class and then submit attendance based on the check-ins.

This option is used for schools that have implemented the Zoom integration for student check-in or schools that have selected to allow students to check into classes from the Week View page in Home Access. To enable students to manually check in to classes, enable the Manual Check-In option in the HAC Building Configuration.

The Student Check-In page includes options for teachers to associate a virtual meeting URL with a class and to start a meeting for the class. To avoid having teachers unsuccessfully attempt to set up virtual meetings in TAC, it is recommended that this page is only enabled after the Zoom integration has been set up.

Absences Calculated on Homepage Limited to the Following Attendance Codes

Specifies how the Administrator Dashboard should calculate the total number of absences for the building. Select the codes to include in the total.

Percentage Panel

To display attendance percentages on the Student Summary page, define rows specifying the interval totals to show. The attendance percentage rows display today's attendance on the Student Summary Page. For more information, refer to Student Summary Attendance Percentages.

Description

View Type

Select the attendance view type to display. The calculation for attendance percentage requires that the view type includes a criteria line to calculate day total records for days the student is present. Otherwise, the percentage will not accurately reflect attendance.

How do I know if an attendance view is set up to calculate totals on present days?

Interval Type

Select the attendance interval to display.

Title

Enter the attendance heading text to display. 50/Characters

Decimal Places

Indicates the precision of the displayed attendance percentage. The default value is 0.

Select:

0 - 0 Decimal Places (ex 4) - to display the attendance percentage as a whole number.
1- 1 Decimal Places (ex 4.0) - to display 1 decimal place for the attendance percentage.
2 - 2 Decimal Places (ex 4.00) - to display 2 decimal places for the attendance percentage.
3 - 3 Decimal Places (ex 4.000) - to display 3 decimal places for the attendance percentage.
4 - 4 Decimal Places (ex 4.0000) - to display 4 decimal places for the attendance percentage.

Display Detail

Checked if the values used to calculate the percentage should be displayed with the percentage. If checked, the values for the Attendance Units, Total Scheduled, Present, and Absent fields are displayed next to the percentage. Otherwise, those fields will display no value on the Student Summary.

Display Minutes as Hours

Select to display minute values in hours. When selected, the number of minutes is divided by 60 and displayed in hours with two decimal places.

This checkbox is only enabled if the Display Detail checkbox is selected. This setting only affects the output if the View Type’s Calculate Totals as selection is Minutes on the Attendance View Setup page.

Combine Buildings

Checked to combine attendance if a student has attendance in multiple buildings during the school year.

To calculate a percentage value, all combined buildings must use the same View Type and Calculate Totals as set on the Attendance View Setup page.

Delete

Checked to mark the row for deletion.
