Academic Page

Use this page to maintain general academic information for a student, such as graduation, promotion, and curriculum information. You can also set up exclusions for honor roll type, rank type, report card eligibility type, and Progress eligibility type.

Fields displaying as hyperlinks (underlined text) are program-tracked fields. Click a link to display the corresponding Programs window. If the field is linked to other program fields, the window will also display the related programs. For more information, refer to About Programs.

Update student information

  1. Select Registration > Entry & Reports > Student Demographic > Academic.
  2. If the Student Search Page displays, search for the appropriate student, then click the student's name link.
  3. Update information.
  4. Click Save.

Fields

Student Information Bar

The bar, which displays on all student pages just below the Home icon and Menu button, includes options to view the student's alerts, attachments, and notes and to email the student's teachers and guardians.

General Academic Panel

Field

Description

Diploma Type

Type of diploma that the student has earned or will earn at graduation.

Advisor

Select the student's advisor.

Disciplinarian

Select the student's disciplinarian.

Promotion

Checked if the student is to be promoted to the next grade.

The Registration Year-End Rollover program can be set up to automatically promote all students whose Promotion box is checked.

VoTec

Checked if the student is involved in a vocational/technical education program.

Curriculum

The student's program of study.

Scheduling Priority

A number identifying the student's priority level for scheduling. This value can be used to prioritize students so those who are more difficult to schedule are processed first. Typically, sites use a range from 1 to 100.

The lower the number, the higher the student's scheduling priority. For example, a student with a scheduling priority of 10 is scheduled before a student with one of 50. Small Integer

Graduation Panel

Description

Graduation Year

The year the student will or did graduate.

The system updates the graduation year if the student's grade is changed in Entry/Withdrawal. This works as expected for grades 1-8, for example, when a student needs to be held back a year. However, since Graduation Requirements are tied to high school students' graduation years, you may have to change the year back to the original year after creating a new Entry/Withdrawal record for a student. Otherwise, the wrong graduation requirements could be assigned.

For example, if a student entering grade 9 has a graduation year of 2013 and repeats a grade, you may need to change the graduation year back to 2013 if the student is expected to meet 2013 requirements.

Be sure to keep this in mind when using the Entry/Withdrawal option or before changing a student's graduation year here in the Academic page.

Requirement Group

The group of graduation requirements that the student must meet to graduate.

Supplemental Requirement Groups

Any additional groups of requirements that the student must meet to graduate. To select multiple groups, use Ctrl+click.

This field is for Career Planner.

Graduation Date

The date the student will or did graduate.

Expected Graduation Plan

Post-graduation plans tat the student is expected to pursue.

Actual Graduation Plan

Post-graduation plans that the student actually pursued.

Federal Graduation Rate Year or Cohort Year (Federal Graduation Year)

This field may display depending on state reporting requirements. For information about this field, refer to state reporting documentation.

Eligibility Panel

The fields in this panel are display only.

Field

Description

Birthdate

The student's date of birth.

Age

The student's calculated age.

Calculated Status

Indicates whether the student is eligible to participate in an activity.

This field displays as a link. Click the link to open the Activities page to view eligibility information for the student. For information on this page, refer to Activities Page.

Reason

Indicates the reason the student is not eligible to participate in an activity.

A student can be considered potentially ineligible for participation based on attendance, mark reporting, or behavior information.

To view the reasons why the student may be ineligible, click the Calculated Status link to open the Activities page.

Effective Date

Indicates the effective date that the student is not eligible to participate in the activity.

Restriction Expiration

Indicates the date the student will become eligible to participate in the activity.

Field

Description

Honor Roll

Honor roll type from which the student should be excluded. Add an honor roll type to this list if the student is not allowed to qualify for it.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

For example, a part-time student could be excluded from honor roll calculations.

Report Card Eligibility

Eligibility type from which the student should be excluded. Add an eligibility type to this list if the student is not allowed to qualify for the Report Card run.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

For example, students in Special Education Curriculum may never be included in Report Card Eligibility calculations if the students cannot be made ineligible based on report card grades.

Progress Eligibility

Eligibility type from which the student should be excluded. Add an eligibility type to this list if the student is not allowed to qualify for the Progress run.

Select codes from the field's drop-down list, or click

(asterisk) to select all codes, then remove any that do not apply.

For example, a part-time student could be excluded from Progress calculations.

Rank Section

Rank Type

GPA/Rank type from which the student should be excluded. Add a GPA/rank type to this list if the student is not allowed to qualify for the rank.

For example, a part-time student could be excluded from rank calculations.

If you exclude a student from a rank type:

    • The GPA Calculation option will create GPA records for the GPA/rank type for the student if the student is enrolled in a grade that is included in the GPA/rank type.
    • The Rank Calculation will not rank the student.
    • The But Include in Class Size box will determine whether the student is included in the class size for the GPA/rank type.

Include in Class Size

Checked if you want to include the student in the class size even though the student will not be ranked for the GPA/rank type.
Typically, districts would not include a student in the class size if the student is excluded from rank.

Report Card on Hold Panel

Description

Report Card On Hold

Checked if the student's report card should be put on hold. When report cards are generated or printed, use a filter to exclude students who have this field checked.

If this checkbox is checked, Home Access Center does not display report card data for the student for the current marking period. The report card that is withheld cannot be printed from HAC. The report card data for the previous marking periods can be viewed and printed.

Reason

Select the reason the student's report card is being held. You can enter multiple reasons for a report card being withheld. This field can only be accessed if the Report Card on Hold box is checked.
