Field | Description |
---|---|
Remote and Necessary | Checked if the building is considered Remote and Necessary in terms of FTE reporting. |
High Poverty | Checked if the building is considered a High Poverty School in terms of FTE reporting. |
Absence Value | Indicates how CEDARS Download determines a student's absence value when categorizing an absence as full-day or partial-day for the Student Absence (N) file. The CEDARS Download considers a value that is less than .5 to be a partial-day absence, while a value of .5 or above is a full-day absence in the Student Absence file. To determine which setting is right for a particular building, consider whether that building takes attendance based on periods or minutes, whether attendance is taken in a homeroom period or in each attendance period in a day, and whether multiple building students are tracked. The following section, Planning Student Absence File Setup, summarizes the scenarios to consider when preparing a building for processing Student Absence (N) file records. Attendance Value – Use the Attendance View setup Value field for the appropriate row of Criteria Detail. The Day Totals Calculation creates Student Day Totals records using the Attendance View values. Minute Calculation – Determine partial or full-day absence by dividing a student's Absent Minutes by Scheduled Minutes for a particular date and building. These numbers come from the Student Day Totals table. Period Calculation – Determine partial or full-day absence by dividing a student's Periods Absent by Periods Scheduled. These numbers come from the Student Day Totals table. |
Grad Hist Bld Type Exclusions | Enter the building type courses to be excluded from processing into the Student Grade History (H) download. For example, MS, HS, or ES. |
Head Start | Checked if the building accommodates a Federally-funded preschool program for children from low-income, at-risk families.. |
ECEAP | Checked if the building accommodates a State-funded preschool for low-income, at-risk children. |
Licensed Provider ID | Enter the provider ID for licensed centers and homes. |
Planning Student Absence File Setup
Before you begin tracking absences and running Day Totals Calculation for a building reporting CEDARS Student Absence file records, you need the following setup in place:
- Select how the building determines a partial or full-day absence using the WA Building Information page Absence Value field.
- Set up the building's Attendance View to determine whether absences are tracked based on minutes or attendance periods, and the method for converting bottom line absence codes into day totals values and absence codes.
Following is a table summarizing typical attendance-taking scenarios with the corresponding Absence Value setting for each situation, and a link to details on Attendance View setup.
Attendance-Taking Scenario for Building | Absence Value field setting (WA Building Information page) | Attendance View Setup (link to illustration showing setup requirements for this type of building) |
Building needs to track Multiple Building Scheduling Students* | Period Calculation | |
Elementary school taking Homeroom attendance and tracking full vs. partial-day absences using codes | Attendance Value | |
Elementary school taking Homeroom attendance and tracking full vs. partial-day absences using minutes | Attendance Value | |
Elementary school tracking absence time using the Scheduling Timetable | Minute Calculation | Elementary School Building View Setup – Timetable Attendance |
Middle school or high school where attendance is based on scheduling periods and full vs. partial-day absences are determined based on Attendance View conversion value | Attendance Value | |
Middle school or high school where attendance is based on scheduling periods and full vs. partial-day absences are determined based on a CEDARS Download calculation from Student Day Totals | Period Calculation | |
Middle school or high school tracking absence time using the Scheduling Time Table | Minute Calculation | Middle/High School Building View Setup – Timetable Attendance |
Multiple Building Scheduling (MBS{*}) Students are considered students who have scheduled courses and attendance information in more than one building (the Entry/Withdrawal building and at least one other). To create Student Absence records for all the student's buildings, you need to set up the Entry/Withdrawal building according to the rules described here. Only one of the scenarios shown above is valid for tracking Multiple Building Students.
You may also refer to this concept as dual enrollment, though in eSchoolPLUS, you can only have a student enrolled in one building at a time via Entry/Withdrawal. The MBS setup lets you create Student Absence and School Student records for buildings where the student is scheduled but not enrolled.
