Semester Schedule and Average Rule Scenario

The following rules apply when a building has semester-length courses and uses the average rule.

  • Credit is issued on a semester mark.
  • Each course in the Master Schedule that prints on a transcript must have this mark type.
  • Credit is calculated on the state course level and pushed down to the regular courses when you run the Assign Course Credit calculation.
  • Every course on the PEIMS Course page must have a single-digit course sequence code. Typically, the sequence will be 1, 2, or 0.
  • If you combine 2 or more local courses into a state course, the final mark type should be included in the course section which is the last part of the state course.

Mark Reporting Configuration

  1. Navigate to the MR Building Configuration page.
  2. Select Per Credit Marking Period for Assign Credit Overrides.

Mark Types

  1. Navigate to the Mark Types page.
  2. Define the semester mark type in the Multiple Times Per Year section.
  3. Define a final mark type for the average rule in the Once Per Year section.

Average Setup

Define an average setup for the final mark type for each marking period in which a state course is completed.  For example, if each semester is nine weeks, an average setup must exist at marking period 2 as well as marking period 4.

  1. From the Administration menu, choose Mark Reporting Setup, choose Calculation Setup, and then select Average Setup.
  2. Select Use Courses Not Ended.
  3. Select one of the following:
    • S – Use State Courses Only
    • B – Use State-defined and unlinked regular courses

Assign Course Credit Setup

  1. Navigate to the Course Credit Setup page.
  2. Select Use Courses Not Ended.
  3. Choose the semester mark type for Mark Types for Credit.
  4. Select Issue Partial Credit.
  5. Select Use Average Marks Rule.
  6. Choose the final mark type for Mark Type for Average Check.
  7. Configure the Absence Rules section as needed.

Course Equivalency Setup

  1. Navigate to the Course Equivalency Setup page.
  2. Complete the fields as follows.

Absence Types to Upload

Configure as needed. If the credit calculation must revoke credit due to excessive absences, this should match the absence type in the assign course credit setup.  If you revoke manually, leave this blank.

Course Equivalency View

Leave Full Year Courses and Combine Semester Courses selected. If applicable, select Combine Trimester and Combine 4-Part Courses.

Course Retake Rule

Configure as needed.

Copy Subject Areas to state courses

Select this field.

RC Data Warehouse

Select R – Use Regular Courses.

TRN Data Warehouse

Select B – Use State Courses and non-linked courses to calculate.

Assign Course Credit Calculation

Select A – Re-Assign Credit back to district courses.

Mark Types To Create

Select mark types for both of the criteria:

  • Semester mark types that print on Texas transcript.
  • Final mark types for Assign Course Credit calculation.

Course Equivalency Definition

  1. Navigate to the Course Equivalency Definitions page and verify courses to be combined and displayed in the applicable sections.
  2. Enter semester-only courses as full-year courses.
