End of Course

Regulatory > Reports > Testing > End of Course

Use this report to create the data file to provide to Pearson for the End of Course (EOC) Assessments. The data file will include students who are scheduled for the state courses on the as of date. The data file will also include students who have mark reporting records with a status of Non-Scheduled and are receiving a mark for the marking period of the as of date. The as of date is also used to determine the value to include for demographic information that is program-tracked.

The file will be sorted by building, state course code, course-section, student last name.

The Data File Format for End of Course Assessments indicates that you must submit separate files for tests that will be taken online and tests that will be taken as a paper test.

To create the End of Course File

  1. Select Regulatory > Reports > Testing > End of Course.
  2. On the End of Course File page, specify how you want to create the file. For more information, refer to the Fields section below.
  3. On the Filter panel, enter criteria to identify the courses for which students will be taking an EOC.
    • Course Buildings: Select the buildings for the students you want to report.
    • Course Information fields: Enter multiple rows to select the state course codes for the EOC. For each course, enter the appropriate End of Course Code for the assessment as specified by the testing company.
    • Course Sequences: Select Course Sequence codes that apply to the student courses being processed.
    • As of Date: Select the date to use to select student data.
  4. In the Filter section, you can further limit the students to return based on information from the student record or based on settings from the Master Schedule.
  5. Click Search to display the list of students in the courses.
  6. To remove students who should not be included:
    • Select their Remove checkboxes.
    • Click Remove.
    • Click yes on the confirmation dialog.
  7. Click Run.
  8. Review the log file for errors.
  9. To transfer the file from the server to your PC, right-click on the file name on the My Home page and select Save Target As.

Because information on this report comes from Mark Reporting, you may need to run the Mark Reporting > Utilities > Build Report Card Data > Scheduling/RC Synchronization prior to creating the End of Course file/report. If a student's schedule was modified or entered after the last time you ran the Scheduling/RC Synchronization, the student will not be included.

Course Buildings

Select the codes of the buildings to include in the extract.

Select codes from the field's drop-down list, or click Asterisk to select all codes, then remove any that do not apply.

Task/Report Name If you want to rename the task and report file, change the text that displays in this field. If you use the / (slash) character, _ (underscore) will be used in the task and report name.
School Year Select the current school year.
Administration Date Code Enter the code to report for the administrative date.
Course Sequences

Select codes for Course Sequences that apply to the courses you want to process. For example, if you want to limit based on all courses that are both halves of a two-semester course, select 12.

To select students without limiting based on Course Sequence, leave this field blank.

As of Date

Date for selecting the students to include in the data file.

Select:

  • Today - to include students who were in the class today.
  • Selected Date - to include students who were in the class on the date selected in the adjacent field.

A student is considered to be in the course on the date if:

  • The student is scheduled for the course on this date. If the course is dropped before the as of date or added after the date, the student will not be included.
  • The student has mark reporting records with a status of Non-Scheduled for the marking period associated with the as of date.

Note that this date is also used to select values to print for program-tracked fields.

Course Number Select the state course code for which you want to include students for the EOC.
End of Course Code Enter the two character End of Course Code to specify the assessment for the state course. Refer to the Data File Format for End-of-Course Assessments for a list of the codes.
Delete To delete a record, select the row's Delete checkbox, then click Save.
Student ID ID number of the student who is in one of the selected state courses.
Student Name Name of the student.
Course Building Building where the student is taking the state course.
State Course State course code.
Course-Section Local course-section of the state course that the student is taking.
Course Description Description of the local course-section.
Add Date Add date for student for the local course-section. This field will be blank for students who have mark reporting records with Non-Scheduled status.
Drop Date Drop date for student for the local course-section. This field will be blank for students who have not dropped the course and for students who have mark reporting records with Non-Scheduled status.
Class Group Code that will be reported as the Class Group for the local course-section. The class group will be created using the following convention:
  • Characters 1-6: 'Per'
  • Character 7: space
  • Characters 8-12: First 5 characters of course description
  • Character 13:space
  • Characters 14-20: First 7 characters of Staff Last Name

For example, an Algebra I course that meets period 2 and is taught by Allentown, A would have a class group code of Per 2 Algeb Allento

EOC Code End of Course Code that you entered for the state course.
Test Version Test version designated for the student on the TELPAS/TAKS/STAAR Information page.
Test Format Test format (administration mode) designated for the student on the TELPAS/TAKS/STAAR Information page.
