Medical Rollover Page

Use this page to delete medical records for students whose records were deleted by the registration rollover process. This page can also purge additional medical information that no longer needs to be stored. You can select what information to purge and indicate the school year for which you want to purge records.

Run Medical Rollover

  1. Select Administration > Utilities > Year End > Medical Rollover.
  2. To run the rollover to complete only base processing, leave the remaining fields blank, and skip to Step 4.
  3. Specify the purge options, and enter the school year to purge records.
  4. On the Run panel, select when to run the rollover.
  5. Click Run.
  6. Use the Tasks/Reports options on the Navigation bar to view task status and retrieve reports. Review the log file and spot check data to confirm that the rollover was successful. Make sure users know not to change data until you have verified that data does not need to be restored.
  7. If you are satisfied with your results, you are done, and you can continue to the next rollover.
  8. If the log file has errors, or if you are not satisfied with the results of the rollover, click Restore to change the page to its Restore mode, and select the rollover run(s) you want to restore. The restore will load data for the backup files created for all rollover runs that were run on and after the rollover run selected.
  9. On the Run panel, select when to run the restore.
  10. Click Run.
  11. Once data is restored, you can correct data errors and re-run the rollover.

Rollover Mode

These panels display when Rollover is selected at the top of the page. When you run the rollover, all student medical records are purged for students whose records were deleted during the registration rollover process. If you do not want to purge any other information, run this page and leave all purge options unchecked.

Description

Purge Medical Information for Students Graduated On or Befor

Select to delete all medical information for students who graduated in a specified year or earlier. For example, if you retain medical information for students for one year after they graduate and you were rolling the 2017 school year, enter 2016.

Purge Medical Letters Calculated on or before Date

Select if you do not want to keep immunization letter records that were calculated on or before the specified date.

Restore Mode

These panels display when Restore is selected at the top of the page. The Restore mode lists each rollover run, the run date, its status, and the rollover options used for that run. If you need to restore a rollover, select the appropriate row in the Restore column, and then click Run. The restore will delete all data and re-load the backup files made at the time of the rollover. If multiple rollovers have been performed, any rollovers done after the run you selected will also be restored to maintain data integrity.
