Mass Update Days Page

Use this page to mass update attendance or membership day information across calendars and buildings. For example, you could use this page to designate two days as snow days for all calendars and buildings in your district.

Teacher Access Center requires all calendars in a building to be on the same cycle day on a date. This rule also applies to alternate cycle days. If you need to change a day to a different cycle day or an alternate cycle day, you must change the day in all calendars in the building.

The processing for updating learning location types has changed in the eSchoolPlus March Major release.

Release 20.4.12.0 and higher:

When you update the learning location types (In School, Virtual/Synchronous, Virtual/Asynchronous, Unassigned, Mixed Days), the utility will insert selected values in the list of existing learning locations for a location type and remove the location from its previous location type. It is no longer necessary to select all learning locations associated with a location type.

Prior Releases:

The following notes apply if the Mass Update Days page does not include the Date Range field:

  • When you update the learning location types (In School, Virtual/Synchronous, Virtual/Asynchronous), the utility replaces all existing values for the selected dates. It does not insert a learning location code or move it from one learning location to another. If a learning location code is already selected for another location for the day, the mass update will log an error.
  • As a learning location code can be designated in only one of the In School, Virtual/Synchronous, Virtual/Asynchronous fields on a date to represent where students will be learning, consider how learning location codes were previously selected before you mass update this information.
  • If you are changing a learning location code from one location to another, you must update both locations. For example, if you are changing Hybrid A from In School to Virtual/Synchronous, select to update both the In School and Virtual/Synchronous fields. Then, for each location, select all the learning location codes that will use that location for the selected dates.

Update Multiple Days

  1. Select Administration > Registration Setup > Calendars > Mass Update Days.
  2. On the Prompts panel, select the buildings and calendars to update.
  3. In the Dates fields,
    • To update a set of dates, choose Selected Dates. Then, select multiple dates in the date help window.
    • To update a range of dates, choose Date Range. Then, select the start and end dates for the range.
      • To only update days set as an attendance day, select the Update Only Attendance Days. Otherwise, non-attendance days, including weekends, will be updated.
      • Select the Cycle Days to update within the selected date range. Only dates assigned to one of the selected cycle days will be updated.
  4. On the Update Calendar Day Information panel, select the Update checkbox for the information to update and then specify values as needed. For detailed information on calendar day fields, refer to the Calendar Day Page.

    Description

    Include in Cycle

    Select how the selected dates should be included within the calendar's cycle.

    I - Include day in cycle - to include the day in the cycle code pattern. If the day was previously excluded, the system assigns the next day's cycle code to the current day, moving the cycle back one day for all the following days. For example, if the next day was cycle day 3, the current day would be set to 3 and the next day would be changed to 4, and so on.
    E - Exclude day in cycle - to exclude the day from the cycle code pattern and adjust the cycle day on subsequent calendar days defined with I - Include day in cycle. If the day was previously included, the system assigns this day's cycle code to the next day, shifting the cycle ahead one for all the following days. If you use Exclude, you can also change the cycle code for the day. For example, if the cycle day for the date excluded is day 3, the next day included in the cycle will be set to day 3, and other days in the cycle will be updated accordingly.
    S - Skip day in cycle - to skip the date's cycle day without affecting other days in the cycle. This option is typically used if you need to change the cycle day from the standard cycle day pattern for a make up day. For example, if school was closed on cycle day 3 and you wanted to make up the day, you can use the S -Skip day in cycle option to change a day 4 to day 3. The cycle pattern of subsequent days would not be adjusted.

    Cycle

    If you select to Exclude or Skip in the Include in Cycle field, select the appropriate cycle day. Resetting the cycle day for a membership day that is excluded or skipped effects other cycle days. You cannot change a date's cycle day if you selected Include. For more information, refer to About Cycle Days.

    Membership

    Indicate how the membership and attendance fields should be updated.

    If you set Day in Membership to No, then Membership Value is set to zero, Is Attendance Day is set to No, and Include in Totals is set to No.

    The Membership option is not available when the Update Only Attendance Days option is selected.

    In SchoolSelect the learning locations that represent the students who will be in school on the days. If the code was previously assigned to another location type, it will be removed from that location.
    Virtual/SynchronousSelect the learning locations that represent the students who will be using virtual synchronous learning on the days. If the code was previously assigned to another location type, it will be removed from that location.
    Virtual/AsynchronousSelect the learning locations that represent the students who will be using virtual asynchronous learning on the days. If the code was previously assigned to another location type, it will be removed from that location.
    UnassignedSelect learning locations that should not be assigned to any learning location type for the days. The code will be removed from the location type where it was previously assigned.
    Mixed DayDefine rows for learning locations where students mix their days across more than one location type. Select the appropriate attendance periods to indicate the location type for the day.
  5. Click Run.
  6. Use the Tasks/Reports options on the Navigation bar to view task status and retrieve reports.
