Calendar Day Page

Use the Calendar Day page to view and update calendar information for specific days. The Year at a Glance panel displays three months of the selected calendar's school year at a time. The Calendar Day panel displays the details for the calendar day.

If teachers in the building use Teacher Access Center to take attendance, all calendars in the building must have the same cycle day and alternate cycle day designated for a calendar day. For example, it would be invalid for the date 1/4/2021 to be defined as cycle day 1 in calendar R and cycle day 2 in calendar S.

Changes to the Cycle Flag field could affect the cycle days assigned to all subsequent days in the calendar.

Examples:

Exclude: For a six-day cycle, if you exclude cycle day 3 for a holiday, then day 4 would become 3, day 5 would become day 4, and so forth.

Skip: If one cycle day has been missed consistently, due to holidays, you can use the Skip option to adjust the cycle pattern. For example, you could set a Wednesday to be a Monday, by setting the Skip flag for the day and changing the cycle code to M.

Change information for a single calendar day

  1. Select Administration > Registration Setup > Calendars > Calendar.
  2. Click
    (View detail) in the calendar's Month View column.
  3. Locate and click the day in the Year at a Glance panel.
  4. In the Calendar Day panel, change values as needed.

  5. Click Save.

Fields

The following descriptions are only for fields that require special considerations.

Field

Description

Cycle Flag

Indicate how this calendar day is used in the normal pattern of the scheduling cycle days in the calendar.

Select:

E - Exclude day in cycle - to exclude the day from the cycle code pattern. If the day was previously included, the system assigns this day's cycle code to the next day, shifting the cycle ahead one for all the following days. If you use Exclude, you can also change the cycle code for the day.
I - Include day in cycle - to include the day in the cycle code pattern. This is the usual setting. If the day was previously excluded, the system assigns the next day's cycle code to the current day, moving the cycle back one day for all the following days.
S - Skip day in cycle - to skip the day in the cycle, but this does not shift the cycle codes for the following days. Future rebuilds of calendars will not change cycle day for this calendar day. If you use Skip, you can also change the cycle code for the day.

Cycle Code

If you selected the cycle flag of Exclude day in cycle or Skip day in cycle, you can select the cycle day for the date.

If you set this code and set the Cycle Flag to Skip, future changes to the calendar will not affect this date.

Day Type

If the day is not following the typical pattern of the calendar, select a day type to specify what type of day it is. Day types do not affect how days are processed for attendance.

Alternate Cycle

If the day is using an alternate cycle day schedule, select the alternate cycle day code. Alternate cycles are typically used for days that are shorter than normal, for example, early dismissal days or weather delay days.

Day Information

Indicate if the day is a membership day and the membership value for the day, if attendance is taken on the date, and if the day should be included in attendance totals. If it is not a membership day, then Value is set to zero, and Attendance Day and Included in Totals checkboxes are not selected.

Instructional Time

Indicate the amount of instructional time for the day. For most sites, this field is used only for informational purposes.

State reporting requirements for your state may require that you enter instructional time for days. Typically, you only need to enter the time for days that are the exception to a normal day. For more information on reporting instructional time, refer to your state reporting procedures.

Learning Locations

Use these fields to indicate where students will be learning on the day. For example, select the Learning Location codes that represent students who will be in school.

  • In School
  • Virtual/Synchronous
  • Virtual/Asynchronous
  • Mixed Day
    If students switch where they learn within a day, use the fields in the Mixed Day row to specify the day's pattern. For example, complete these fields if students are in school for the first half of the day and then complete the subsequent attendance periods as virtual/asynchronous. For each of the day's patterns, select the learning locations and then define where the student is learning by attendance period.
