How Mark Reporting Absence Totals are Calculated for Courses that Meet in Multiple Periods

Report cards and progress reports include the ability to print absence totals for courses. The Absence Types option is used to define the absence totals to print. The Transfer Class Attendance to RC and Transfer Class Attendance to PR options calculate student absence totals based on the attendance codes selected for an absence type and student attendance information. For more information on absence types, refer to Absence Types Page.

For each absence type, you can specify how to calculate absence totals for course-sections that meet over multiple periods in the Multi-Period Handling field on the Absence Types page. This rule applies when calculating totals for course-sections that meet one of the following criteria:

  • course-section has multiple sessions where only some sessions are graded.
  • course-section has a single session where the start period and end period span more than one scheduling period.

Note

If a course is defined with multiple sessions and the sessions are graded, then each session will have a separate MR Student Absences record. The absence total for a session will be equal to the absences for the session regardless of the option selected for the Multi-Period Handling field.

The following chart defines how the Multi-Period Handling field will affect the absence totals and uses examples to illustrate the results.

Course 100 session 1 starts in period 1 and ends in period 2. The student has the following attendance records:

Sum of the number of periods that the student is absent for the course. If the student is absent 2 periods on a date, then count 2 for the day.

Only the graded session will have an MR Student Absences record. Sum of the number of periods that the student is absent for the graded session.

Count ungraded sessions

Sum of the number of periods that the student is absent for the course. If the student is absent 2 periods on a date, then count 2 for the day.

Only the graded session will have an MR Student Absences record. Sum of the number of periods that the student is absent for any session of the course. If the student is absent 2 periods on a date, then count 2 for the day.

Count only if absent all periods for graded sessions

Sum of the number of days that the student is absent for the course. Count 1 for a day if the student is absent for all periods of the session. If the student is marked absent for only one period, the absence is not counted.

Only the graded session will have an MR Student Absences record. Sum of the number of days that the student is absent for the course as determined by the student being absent for all graded sessions on a day.
If the only session that meets on a day is ungraded, the absence for that day will not be included in the total for the class.

Sum of the number of days that the student is absent for the course. Count 1 for a day if the student is absent for all periods of the session. If the student is marked absent for only one period, the absence is not counted.

Only the graded session will have an MR Student Absences record. Sum of the number of days that the student is absent for all periods of the course on a day. Counts 1 for a day if the student is absent for all periods of both graded and ungraded sessions.

If the only session that meets on a day is ungraded, the absence for that day will be included in the total for the class.
