This report provides a total count of aggregate days of attendance (ADA) and aggregate days of membership (ADM) for students who were enrolled during a selected date range or interval, by gender. It also shows average daily attendance, average daily membership, and percentage of attendance.
Totals may be by grade, track, or calendar. Subtotals can be included for up to three of the following selected NCLB (No Child Left Behind) data fields: 504-Disabled, Classification, Curriculum, District of Residence, ESL, Federal Code, Hispanic, Meal Status, Migrant Status, Primary Homeroom, Race, or Residency.
The report's totals are based on the Student Day Totals table, rather than students' actual attendance. Therefore, you must run the Day Totals Calculation for the appropriate view type and interval before running the report.
The totals are calculated as follows:
- Aggregate Daily Membership (ADM) is equal to the value of all days the students were enrolled for the selected date range or attendance interval. The withdrawal rule for your state, as indicated in the State validation table, determines whether the withdrawal date is counted as a membership day.
- Aggregate Daily Attendance (ADA) is equal to the value of ADM - (minus) Total Absences, where absences are totaled from the Student Day Totals table, based on the absences and view selected in the prompts.
- Average Daily Attendance is equal to the value of ADA / (divided by) Max Days Taught (which is the maximum number of membership days for any student in the group).
- Average Daily Membership is equal to the value of ADM / (divided by) Max Days Taught (which is the maximum number of membership days for any student in the group).
- Percent of Attendance is equal to the value of the Average Daily Attendance / (divided by) Average Daily Membership.
Prerequisite
Verify that all attendance information you want to include in your report has been entered. If teachers enter attendance in Teacher Access Center, you can run Missing Submission (menu path: Select Attendance from the main menu, select All submenu, select Reports, and then select Missing Submission) to see who has not submitted data.
Run ADA/ADM Statistics Report
- Select Attendance from the main menu, select All submenu, select Reports, and then select ADA/ADM Statistics or select Registration from the main menu, select Entry & Reports submenu, select Reports, and then select ADA/ADM Statistics.
- Specify the report options.
- Click Run.
- Use the Tasks/Reports options on the Navigation bar to view task status and retrieve reports.
Fields
Prompts Panel
Field | Description |
---|---|
Building List | Buildings to include in the report. Select codes from the field's drop-down list, or click (asterisk) to select all codes, then remove any that do not apply. |
Dates | Select: Interval - to enter the interval to be totaled on. This option is useful if you schedule the report to run periodically. Date Range - to enter a start and end date for the totals. |
Print Code | Determines whether the district code or state equivalency code for grade is used for totaling and printing on the report. This may also affect how items total. For example, for kindergarten, you may have two district codes, KA and KP, but one state equivalency code of K. Select: District Codes - to print the district code that displays in Student Demographics. |
Attendance Views | Determines the view type used to total attendance for the report. The system checks the Student Day Totals table (att_stu_day_totals) for entries with this view and the codes selected in the Absence Codes field. |
Absence Codes | The codes or groups to total in order to determine the absence total. The absence total is subtracted from the membership total to calculate the attendance total. This uses the converted data in the Student Day Totals table. For example, if a view converts the codes E, Med, DR to a code of, only E will be available as a code here. Select codes from the field's drop-down list, or click (asterisk) to select all codes, then remove any that do not apply. |
Primary Total | The primary grouping for students in the report. Totals will be provided by this group. Select: Calendar - to sort the report by calendar and include subtotals for each calendar. |
First NCLB Subtotal | The first grouping by NCLB data. Subtotals within the Primary Sort group will be provided by this group. If you select a field that is program tracked, the student's value during the selected interval or range of dates is used. If the student's value changes during the interval or date range, the student will be listed under both values, and the day total information will reflect the appropriate days based on the program-tracking dates. For example, if you include residency as a NCLB subtotal and a student was identified as R (for resident) for the first 5 days of the range and then identified as N (for non-resident) for the last 10 days, the student will be listed under R with a membership total of 5 days and under N with a membership total of 10 days. |
Second NCLB Subtotal | The second grouping by NCLB data. This breaks down subtotals within the Primary Sort group and First NCLB subtotal group. For information on the effect of selecting a field that is program tracked, refer to the First NCLB Subtotal field definition. |
Third NCLB Subtotal | The third grouping by NCLB data. This breaks down subtotals within the Primary Sort group and the first two NCLB subtotal groups. For information on the effect of selecting a field that is program tracked, refer to the First NCLB Subtotal field definition. |
Learning Location Type to Print | To print totals for a specified learning location type, select it. The report is filtered to include only the Day Totals records that match the selected learning location type.

Log Statistics | Select if you want to print the prompts in a log file. Otherwise, a log file will be created only if an error occurs. |
Calculate Day Totals | Select if you want to run the Day Totals Calculation automatically before generating the report. |
Exclude ADA 9 Students (for TX only) | Select to exclude students with ADA Program value 9 (non-membership students being educated remotely) from any membership totals displayed in the ADA/ADM Statistics report. ADA is program tracked for Texas (TX) so the ADA 9 students should only be excluded for the time periods they were active in the ADA Program with a value of 9. The student membership for other ADA values will be included in the ADA/ADM Statistics report. This prompt is only visible for TX districts. |
