Activity Setup Page

Use this page to add or change an activity record. You can change the activity advisor, change the prerequisites, and maintain the list of students for the activity.

View activity information

  1. Select Registration > Entry & Reports > Office > Activity Setup.
  2. Click Add at the top right of the page to open the Activity Detail page.
  3. View activity information.

Generate participant list

  1. Select Registration > Entry & Reports > Office > Activity Setup to display the Activities Search page.
  2. On the Activities Search page, search for the activity, then click its link.
  3. Enter search values in criteria rows of the Prerequisites panel to filter for the desired list of participants. 
  4. Click Load at the top right of the page to create the list in the Participants panel based on the criteria in the Prerequisites panel.
  5. Use other procedures in this help topic to individually add or delete students on the Participants panel.
  6. Click Save.

Add a new activity

  1. Select Registration > Entry & Reports > Office > Activity Setup.
  2. Click Add at the top right of the page to open the Activity Detail page.
  3. Enter values in the fields of the Activity panel.
  4. Click Save.

Add individual participants

  1. Select Registration > Entry & Reports > Office > Activity Setup.
  2. On the Activities Search page, search for the activity, then click its link.
  3. At the bottom of the Participants panel, select a student by Student ID or Name, and click Search to display the Student Search dialog.
  4. If the student does not display in the Students section of the Student Search dialog, use the Selections section to refine your search, and click Load at the top right of the Students section.
  5. Select the student from the Students section, and click OK.
  6. If the student will not meet the prerequisites, check the Ignore Prerequisites box.
  7. Repeat steps 3-6 to add more students.
  8. Click Save.

Add activity prerequisites

  1. Select Registration > Entry & Reports > Office > Activity Setup to display the Activities Search page.
  2. On the Activities Search page, search for the activity, then click its link.
  3. Complete fields in the blank row at the bottom.
  4. Repeat step 3 to add more prerequisite rows.
  5. Click Save.

Change an activity's information

  1. Select Registration > Entry & Reports > Office > Activity Setup to display the Activities Search page.
  2. On the Activities Search page, search for the activity, then click its link.
  3. Change values as needed
  4. Click Save.

Delete participants

  1. Select Registration > Entry & Reports > Office > Activity Setup to display the Activities Search page.
  2. On the Activities Search page, search for the activity, then click its link.
  3. In the Participants panel, select the delete box for each student to be removed.
    Note
    You may need to scroll the table to the right to display the 
     (Delete) column. You can also us the Right Arrow and Left Arrow keys to scroll.
  4. Click Save.

Delete a prerequisite row

  1. Select Registration > Entry & Reports > Office > Activity Setup to display the Activities Search page.
  2. On the Activities Search page, search for the activity, then click its link.
  3. In the Prerequisites panel, check 
     (Delete) for each row you wish to delete.
  4. Click Save.

Description

Building

The building for the activity.

Activity Code

Code identifying the activity.

Description

Activity description.

Advisor

Staff member in charge of the activity.

If the staff member has a Teacher Access Center (TAC) login ID, the advisor will be able to display a list of students in the activity in TAC. From the list of students, the teacher will be able to click a student link to display summary information including the student's contact information, attendance, schedule, report card, and transcript. A building administrator has selected the options that are available for teachers.

Secondary Advisor

Additional staff members responsible for students for this activity.

If the staff member has a Teacher Access Center (TAC) login ID, the advisor will be able to display a list of students in the activity in TAC. From the list of students, the teacher will be able to click a student link to display summary information including the student's contact information, attendance, schedule, report card, and transcript. A building administrator has selected the options that are available for teachers.

State Code Equivalent

Indicate the state-defined code that corresponds to the activity. Refer to your state reporting requirements for more information.

Max Enrollment

Maximum number of participants for the activity.

Current Enrollment

Displays the current number of participating students. Total reflects the students in the activity with an active status for the activity.

Exceed Max Enrollment

Checked if the student enrollment can exceed the Max Enrollment value.

Eligibility Meet Marking Periods

Marking periods that the activity meets for which eligibility needs to be checked.

Prerequisites Panel

Rows of criteria that define the prerequisites for enrollment in the activity. To generate a list of students from these criteria rows, click Load at the top right of the page. The student list displays in the Participants panel. Click a title to display the associated fields.

Participants Panel

The fields that display in this section depend on the panel option(s) selected. To change display settings, click

 (Additional options) at the top right of the panel and select:

Show All Students or Show Active Students Only - to toggle between showing and hiding inactive students.
View Eligibility Data or Hide Eligibility Data - to toggle between displaying and hiding eligibility data.
View Start-End Dates or Hide Start-End Dates - to toggle between displaying and hiding start-end dates.

Field

Description

Student ID

Student's ID number.

Name

Student's full name. You can add a student to the activity by clicking Search. The Student Search dialog displays, and you can search for students, select a displayed student in the Students section of the dialog, and click OK to add the student to the Selected Students panel.

Comments

Comments about the student related to the activity, for example, Captain. Comments can be printed on Transcripts, if desired.

Ignore Prerequisites

Checked if the student is enrolled in the activity but does not meet the prerequisites. When you save the activity information, the system will not check to see if this student meets prerequisites.

Active

The student's status for the activity. Checked if the student is actively-participating in the activity. Unchecked if the student is enrolled in the activity, but is not participating in the activity.

Eligibility fields

These fields only display if View Eligibility Data is selected from the

(Additional options) menu at the top right of the Participants panel.

Eligibility Status

To view the reason(s) why the student may be ineligible, click the Eligibility Status link. The student's Activity Summary page displays, listing all the student's activities information.

Ineligibility Reason

Indicates if the student is considered potentially ineligible for participation based on attendance, mark reporting, or discipline information.

To view the reason(s) why the student may be ineligible, click the Eligibility Status link. The student's Activity Summary page displays, listing all the notification dates and reasons for the student.

Effective Date

Effective date of the eligibility status.

Expiration Date

Expiration date of the Ineligibility Reason.

Start Date

Start date for this activity (for informational purposes). Displays only if View Start-End Dates is selected from the

(Additional options) menu at the top right of the Participants panel.

End Date

End date for this activity (for informational purposes). Displays only if View Start-End Dates is selected from the

(Additional options) menu at the top right of the Participants panel.

Hours

Indicates the number of hours for the activity (for informational purposes). Displays only if View Start-End Dates is selected from the

(Additional options) menu at the top right of the Participants panel.

(Delete)

Select to exclude a student's record from this update.

You can click

(Delete) in the column header to alternately select or deselect all students.
