About Student Notes and Security

Security resources determine the options available when a user accesses the Student Notes options. User security determines whether a user can view and edit notes created by other users, notes designated as Personal by other users, and notes designated as Sensitive.
View Notes
- If your security only allows you to access notes you have entered, the Student Notes page will list only those notes.
- If you have security to view but not edit other people's notes, then the Student Notes page will display the note text, but you will not be able to edit it.
Personal Notes
- Other users with the appropriate security resources can view, edit, and delete notes you created, even notes you marked as Personal.
Sensitive Notes
- Only users with the security to view Sensitive notes can access Sensitive note records. If the user does not have this security, Sensitive records will not display in the Student Notes list page.
- Your security resources determine whether you can create Sensitive notes.
- If you have security to create Sensitive notes and your district has set up certain Note Types to default as Sensitive, the Sensitive box will be checked automatically when you add a new note.
- If you do not have security for creating Sensitive notes, the Sensitive box on the Student Note page will be inaccessible, and you will not be able to select a Note Type that has been designated as Sensitive. For example, if your district has set up a Sensitive Note Type for Police Correspondence and you do not have security to create Sensitive notes, this Note Type will not be available for selection in the Note Type Search window.
