PIMS Student and Student Snapshot

Prerequisites For All Students

  1. All students need an Entry/Withdrawal Grade that has a valid State Code Equiv other than SUG or EUG. All students with a Grade code of SUG or EUG will be excluded from the download.

  2. Disabilities need to be date-tracked. Make sure the District Definition has the Display Start/End Dates & Require for Disabilities box checked (menu path: select Administration from the main menu, select General Setup submenu, select District, and then select District).

Prerequisites

  1. Refer to Special Ed Notes section for verifying Special Ed data.

  2. Current Special Ed students must have a valid Disability Code with a State Code Equiv as of the snapshot date (menu path: select Registration from the main menu, select Entry & Reports submenu, select Student Demographic, and then select Emergency. You must select the Disability panel).

  3. On the student's Contacts List (menu path: select Registration from the main menu, select Entry & Reports submenu, select Student Demographic, and then select Contacts), the highest priority Guardian needs the Registration Labels box checked. This is required to find the appropriate mailing address for the special education student's guardian.

Additional Information

The Economic Status fields in the Student Templates will be set to N if the student is a Virtual Student, and the following warning message will be logged in the log file. A student is considered a fully virtual or remote student if enrolled in a full-time virtual academy in the Mode of Instruction Program or assigned to Learning Location Code 061 in the Learning Location Program.
Warning message: Student xxxx has MOI/Learning Location as Fully Remote/061, so Economic Status is set to N.

The BID School Number, BID AUN, and PASA Testing Agency fields will be populated in the Student and Student Snapshot templates for students who have values entered for the BID School Number, BID AUN, and PASA Testing Agency fields on the PIMS Student page.

The Student (STU) and Student Snapshot (SS) will include a custom code, PAIU, to identify Intermediate Units. If a district has a custom code PAIU, the system validates each student's Enrolled Building State Code Equivalent against the Building Code in the Charter School/Intermediate Unit Building District Information validation table. If a matching record is found, the StateDistrict is set to the corresponding AUN Code in the Student Template. If no matching record exists, the student record is processed as usual.

The Title III EL Eligibility program (field #95) will also include a warning message for students with an ELL Program value of 06.
Warning message: Student reported as Title III, but the LEP/ELL status is not set to 01 or 06 for Student XXXXXXX.

The Home Language Code (field #123) will be populated for all students except for EL Status values of 05 or 99. The Home Language code will be used if the Native Language code is not filled. The Home Language and Native Language codes will be displayed on the Student Summary page.

The Years in US Schools field calculation will use the As of Run Date as the end date for determining a student’s duration in the US, replacing the previous reliance on the As of October 1 date.
