Use the Academic page to maintain student academic, graduation, eligibility, exclusion, ranking, and report card hold information used by the district and Oregon state reporting processes.

This page provides a centralized location for managing graduation planning, diploma information, career pathway assignments, eligibility tracking, and student academic classifications.

On the Graduation panel, enter the Cohort Graduation Year in the Federal Graduation Rate Year field.

If a student has graduated, the Oregon Transcript will look for the Graduation Date on this page. If the Graduation Date has not been populated, then the system will use the Withdrawal Date.

General Academic panel

The General Academic section stores student academic classifications and instructional program information.

Validation Tips

Diploma Type

Identifies the diploma pathway assigned to the student. Valid values:

  • CA - Certificate of Attendance

  • EX - Extended Diploma

  • HND - Honorary Diploma

  • HD - Honors Diploma

  • MD - Modified Diploma

  • OD - Oregon Diploma

  • WD - Workforce Diploma

Select a diploma type that aligns with district graduation requirements. Verify diploma assignments before state reporting submissions.

Advisor

Identifies the staff member assigned as the student's academic advisor.

Ensure the advisor record exists and remains current.

Disciplinarian

Identifies the administrator or staff member responsible for disciplinary oversight.

Verify assigned staff records are active.

Promotion

Indicates whether the student is eligible for grade-level promotion.

Review promotion status prior to year-end processing.

VoTec

Indicates whether the student participates in a vocational or technical education program.

Verify participation status with district career and technical education records.

Curriculum

Identifies the curriculum or instructional track assigned to the student.

Ensure curriculum selections match district program definitions.

Scheduling Priority

Determines scheduling precedence when building student schedules. Higher priorities may receive scheduling preference.

Use district-defined values consistently.

Biliteracy/Multiliteracy Seal Code

Identifies a student who has qualified for a biliteracy or multiliteracy recognition program. Valid values:

  • B - Biliteracy

  • M - Multiliteracy

  • N - Not Applicable

Ensure supporting assessment and district eligibility requirements have been met before assigning a code.

The Graduation section tracks the student's graduation cohort, graduation requirements, and graduation planning information.

Verify the year matches the student's grade progression and cohort assignment.

Requirement Group

Identifies the graduation requirement group used to evaluate graduation completion requirements. Valid values:

  • CA - Certificate of Attendance

  • EX - Extended Diploma

  • HD - Honors Diploma

  • MS - Master Record

  • MRD - Mazama Regular Diploma

  • MD - Modified Diploma

  • OD - Oregon Diploma

  • RD - Regular Diploma

  • SD - Standard State Diploma

  • WD - Workforce Diploma

Ensure the appropriate requirement group is assigned based on the student's graduation cohort.

Supplemental Requirement Groups

Allows assignment of additional graduation requirement groups that may apply to the student.

Review supplemental assignments to avoid duplicate or conflicting requirements.

Graduation Date

Records the student's actual graduation date.

Enter only after graduation has been officially awarded.

Expected Graduation Plan

Identifies the student's anticipated graduation pathway or plan. Valid values:

  • 2YR - 2-year College

  • 4YR - 4-year College

  • EMP - Employment

  • MIL - Military

Ensure the plan aligns with graduation tracking and academic advising records.

Actual Graduation Plan

Identifies the graduation pathway ultimately completed by the student. Valid values:

  • 2YR - 2-year College

  • 4YR - 4-year College

  • EMP - Employment

  • MIL - Military

Update when graduation requirements have been finalized.

Federal Graduation Rate Year

Specifies the federal graduation cohort year used for graduation rate calculations.

Verify cohort assignments carefully because they affect graduation accountability reporting.

Eligibility panel

The Eligibility section displays eligibility calculation information used by district-defined eligibility processes.

Birthdate

Displays the student's birth date from demographic records.

Verify against official enrollment documentation.

Age

Displays the student's calculated age.

System-calculated value; no manual maintenance required.

Calculated Status

Displays the student's current eligibility calculation status.

Review after eligibility calculations are processed.

Reason

Displays the reason associated with the student's eligibility status.

Review when eligibility results indicate restrictions or exceptions.

Effective Date

Indicates when the current eligibility status takes effect.

Confirm dates align with district policies.

Restriction Expiration

Indicates when an eligibility restriction expires.

Ensure expiration dates are accurate before applying restrictions.

Exclusions panel

The Exclusions section identifies students who should be excluded from specific academic calculations or processes.

Honor Roll

Excludes the student from honor roll calculations when specified. Valid values:

  • GHR - Grand Honor Roll

  • HR - Honor Roll

  • PHR - Principal’s Honor Roll

Verify exclusion is supported by district policy.

Report Card Eligibility

Excludes the student from report card eligibility processing. Valid values:

  • RC - Athletic - # of courses

  • ATH - OSAA Athletic Eligibility

Use only when directed by district procedures.

Progress Eligibility

Excludes the student from progress reporting eligibility calculations. Valid values:

  • IPR - IPR Eligibility

Review periodically to ensure exclusions remain appropriate.

Rank

The Rank section allows assignment of rank calculation methods.

Include in Class Size

Indicates whether the student should be included when calculating class size and rank statistics.

Review carefully to maintain accurate class ranking calculations.

Report Card on Hold

The Report Card on Hold section allows districts to prevent report card generation or distribution for specific students.

Select a reason that accurately reflects the hold condition.
