Staff-Course (L) Submission Checklist

The following procedure provides an overview to complete the Staff-Course submission. This submission captures data for staff and student course data. For detailed information about an option, refer to the appropriate section of this documentation.

Step

 

1.

Verify that all staff members are assigned to appropriate courses using the Staff Date Tracking feature on the Master Schedule page (Scheduling > Courses > Course Sections > Master Schedule). 

Note: The Generate Course-Staff Date Tracking Data utility can be run to mass add the staff records.

2.

Verify all applicable data is entered for each course section on the EMIS Course page (Scheduling > Courses > Course Sections > EMIS Course).

3.

Verify all students are scheduled into courses. This includes all elementary school students.

4.

Verify HQT data has been run for all staff members and courses using 1 of 2 options:

  1. Turn on HQT Entry in Teacher Access Center. Courses can be updated from here.
  2. Import the updated HQT values by creating a .csv file using the HQT Toolkit.

5.

Verify that all appropriate Correlated Courses are set up (Regulatory > Setup > EMIS Setup > Correlated Courses).

6.

Verify that all appropriate Mapped Courses are set up (Regulatory > Setup > EMIS Setup > Mapped Courses ).

7.

Run the Student/Course Downloads (Regulatory > EMIS Submissions > EMIS Downloads > Student/Course Downloads).  Click Select All to select all the appropriate records for the Staff-Course submission. You may also select individual records.

8.

Use the EMIS Course Master Summary (Regulatory > EMIS Submissions > EMIS Downloads Search > Course Download Summary) to spot check staff and course data in CN and CU records, and make corrections to data.

We recommend that you correct the source data, not the download records.

9.

Use the EMIS District Download Summary (Regulatory >EMIS Submissions > EMIS Downloads Search > District Download Summary) to spot check course data in CV and CM records, and make corrections to data.

10.

Use the Student Download Summary (Regulatory > EMIS Submissions > EMIS Downloads Search > Student Download Summary) to spot check student and course data in GN records, and make corrections to data.

We recommend that you correct the source data, not the download records.

11.

Make corrections to staff or course data and repeat steps as needed.

12.

After all download information is ready, run EMIS Submission Files (Regulatory > EMIS Submissions > EMIS Submission File). Click Select All to select all the appropriate records for the Staff-Course submission.

13.

Move files from the eSchoolPlus server to your PC. Right-click on a file and select Save Target As. In the Save As window, select the directory where you want to move the file.
