SEBT Submission

The SEBT Submission option assists in generating two reports: the District Enrollment File and the SEBT Student Data Report. Students are included if their Entry and Withdrawal dates fall within the specified date range, and students without a Withdrawal Date are included if their Entry Date is within the range.

The District Enrollment File contains 26 data elements as defined in the 2025-Enrollment-District-Template. The first field is Data Collection followed by 25 defined fields. Includes all students in the selected date or building range.

The SEBT Student Data Report shares layout with the District Enrollment File, excluding the Data Collection field. Includes only students eligible for Summer EBT benefits. Students must be:

  • Migrant (OH617)

  • Homeless codes: C, A, I, B (no end date)

  • Foster/Court Placed: How Received in P, C, G, D, J (no end date)

  • Meal Status: DC (Direct Certification), FR (Free), RE (Reduced) (no end date)

  • Graduated Students (Withdrawal Code: 99 in the current year)

Prerequisite

  • Make sure all relevant student program records are up to date before running reports.

  • Use the Filter section to fine-tune the data scope.

  • If no students meet the eligibility for SEBT, the SEBT Student Data Report will return empty.

SEBT Submission Report Prompts

Menu path: Select Regulatory menu, Reports, EMIS Reports, and then choose SEBT Submission.

To generate a SEBT Submission report:

  1. Select the Start Date to use the student's most recent entry date, or enter the start date to use.

  2. Enter the End Date to use to close the open records.

  3. Use the Building List prompt to select which buildings you want to process.

  4. Select which report options you want to run as described in the Report Prompts.

  5. Enter a Task/Report Name for the download.

  6. Enter the desired search criteria in the Filter panel and click Load.

  7. In the Run panel, select when you want to start the task.

  8. Click Run.

  9. Click Tasks/Reports. Refer to the Report Prompts section for the file name associated with each report option.
