March (D) Submission Checklist

The following procedure provides an overview to complete the March submission. This submission captures data for a student who was reported as a CTE Concentrator and the student left school during the previous school year. The records for these students will be extracted from the ODE database and your district will not be able to add additional students for the March (D) reporting. For detailed information about an option, refer to the appropriate section of this documentation.

1.

Upload the CTE Workforce extract file provided by ODE to the eSchoolPlus server using the Upload File option. Use the filename GV.txt.

2.

Upload the data for CTE Workforce by running Administration > Utilities > Download & Upload > Run Upload for the OH-GV upload.

3.

Run the Career Technical Follow Up report (Regulatory > Reports > Career Technical Follow Up) to either create the survey files to send to the CTE students or to create a CSV file of the CTE students with phone numbers.

As you receive survey results information, update the EMIS CTE Follow Up Survey page (Registration > Entry and Reports > Student District Defined > EMIS CTE Follow Up Survey (GV)). As you enter follow up data, make sure you enter a date in the Survey Completed field.

For CTE students who took industry assessments after the end of the year submission, enter test using the Student Test History Summary (Test Scores > All > Reports > Test History).

You only need to enter industry assessments for students who have a CTE Follow Up Survey record where the School Year ODE Req. Survey field is equal to the fiscal year.

On an ongoing basis, you can confirm whether students have follow up information entered by running the Career Technical Follow Up report (Regulatory > Reports > Career Technical Follow Up) again. The report will list students who do not have a date entered in the Survey Completed field.

Run the Student/Course Downloads (Regulatory > EMIS Submissions > EMIS Downloads > Student/Course Downloads). Click Select All to select all the appropriate records for the March submission. You may also select individual records.

Use the Student Download Summary (Regulatory > EMIS Submissions > EMIS Downloads Search > Student Download Summary) and OH EMIS Downloads Search (Regulatory > EMIS Submissions > OH EMIS Downloads Search) to spot check student data and make corrections to data. Make sure all credits have been assigned correctly.

We recommend that you correct the source data, not the download records.

Make corrections to student data and repeat steps as needed

After all download information is ready, run EMIS Submission Files (Regulatory > EMIS Submissions > EMIS Submission File).

11.

Move files from the eSchoolPlus server to your PC. Right-click on a file and select Save Target As. In the Save As window, select the directory where you want to move the file.
