Calculating Shared and Transferred Attendance

When the Attendance Criteria Calculation runs with Create/Update HB410 Records selected, it performs additional processing to see if a student has shared attendance and/or transferred attendance to count toward HB410 absence thresholds. If it finds attendance records of either type, the calculation adds the time to the student's Day Totals absence minutes. Following are the processing steps for shared and transferred attendance.

Shared Attendance Processing

To process a student's shared attendance information for HB410 absence thresholds, the calculation goes through these steps:

  1. Check the Attendance Criteria Setup getting processed to see if the Include Shared Attendance setting applies. The setting tells the calculation whether to count excused absence time only, unexcused absence time only, or both excused and unexcused absences. The calculation skips shared attendance processing for the criteria record if the setting is N - Neither Absences Only.
  2. Determine which shared attendance records to add for a given date by comparing the date range from the calculation prompts to the Shared Attendance Date of Absence entries on the student's HB410 page. Refer to HB 410 Student Entry for field descriptions.
  3. Exclude any shared attendance record that has its Exclude from HB410 Truancy/Chronic Absenteeism box selected.
  4. Add the shared attendance time, converted into minutes, according to the Criteria Setup's Include Shared Attendance selection.
  5. Assign codes for excused absences and unexcused absences according to the shared attendance fields on the district-level OH HB410 Shared/Transferred Attendance page. These codes let you see which absence times come from shared or transferred attendance when you review communication reports.

Transferred Attendance Processing

To process a student's transferred attendance information for HB410 absence thresholds, the calculation goes through these steps:

  1. Check the Attendance Criteria Setup getting processed to see if the Include Transferred Attendance setting applies. The setting tells the calculation whether to count excused absence time only, unexcused absence time only, or both excused and unexcused absences. The calculation skips transferred attendance processing for the criteria record if the setting is N - Neither Absences Only.
  2. Determine when to add transferred attendance for a given date based on each record's Prior District Exit Date from the student HB410 page. The calculation compares the transferred attendance record's Prior District Exit Date to the student's Entry/Withdrawal records. Transferred attendance applies to a date as long as the Prior District Exit Date is before the Entry Date for the Entry/Withdrawal record containing the date the calculation is processing. For example, suppose the calculation finds a transferred attendance record for a student with Prior District Exit Date 03/19/2019. The student has an Entry/Withdrawal record with Entry Date 04/01/2019. The calculation can start adding the transferred attendance time beginning 04/01/2019.
  3. Check the transferred attendance record's Total Hours Excluded from Truancy Calculations, and subtract excluded time based on the OH HB410 Shared/Transferred Attendance page's First Absence Hours Excluded field.
  4. Add the remaining attendance time, converted into minutes, according to the Criteria Setup's Include Transferred Attendance selection.
  5. Assign codes for excused and unexcused absences according to the transferred attendance fields on the district-level OH HB410 Shared/Transferred Attendance page. These codes let you see which absence times come from shared or transferred attendance when you review communication reports.
