Student Staff Course Linking

Use this page to associate students with secondary staff members responsible for services that require a student to be pulled out of class or for the staff member to be pushed into the class to work with students. These push-in/pull-out teachers are identified in the Master Schedule's Staff Date Tracking page with an un-checked Co-Teacher box. You do not have access to the Student Staff Course Linking page for secondary staff identified with the Co-Teacher box checked in Staff Date Tracking.

The page displays a listing of the students scheduled in the course-section. Individual columns then display for each secondary push-in/pull-out teacher associated with the section and session. Use the column for each staff member to indicate which students are the teacher's responsibility, to track relationship Start and End Dates if needed, to record the staff member's responsibility minutes or percentage for calculating the Linkage Duration Adjustment, and to record other district-defined information, if any. 

To update Student Staff Course Linking

  1. Each student in the course has a row with a checkbox for each secondary push-in/pull-out teacher. Check this box to associate a student with a staff member.
  2. Either leave the Start Date field blank to indicate the student is associated with the teacher beginning with the day the staff member started assignment to the course, or enter a specific Start Date when the student began instruction in the course-section with the specified teacher.
  3. Update the Minutes of Responsibility field (label changes based on building's Pull Out Minutes Format setting) to indicate the staff member's time spent with the student. This is used to calculate Linkage Duration Adjustment in the Staff Student Course record. Do not make entries at the individual student level if the teacher has the Push-In/Pull-Out Full-Time box checked on the Staff Date Tracking page. This sets the teacher's Linkage Duration Adjustment to 1 for each linked student.
  4. If there are additional district-defined fields set up for the Student Staff Course Linking page, a Show Detail box displays in the column header for each push-in/pull-out teacher associated with the course. Check the Show Detail box to display the additional fields, and fill them out as needed.
  5. Update students for each staff member as described in Steps 1 through 4.
  6. Click Save.

To add multiple rows of Start and End Dates for a single student

  1. Make sure the student has an End Date for the last vector of date information displayed.
  2. Click the Add button to the right of the appropriate student name, under the column for the appropriate staff member.
  3. Add the Start Date when the student reestablished instruction with the push-in/pull-out teacher.
  4. Update Minutes of Responsibility as long as the teacher does not have the Push-In/Pull-Out Full-Time box checked on the Staff Date Tracking page. When checked, this setting makes the teacher's Linkage Duration Adjustment a 1 for each linked student. You can enter Minutes of Responsibility for a student even if the staff member has a Push In/Pull Out Time Override defined on the Staff Date Tracking page. The student value takes priority in this case. 
  5. If the Show Detail box displays in the staff member column header, you can check the box to display additional district-defined fields. Complete these fields as needed.
  6. Click Save.

Minutes of Responsibility for Linkage Duration Adjustment 

The Minutes of Responsibility field displays next to the Start and End Date fields for each student. The field label displays based on the course building's Pull Out Minutes Format field (Administration > Registration Setup > Building District Defined > NY State Information).

Minutes of Responsibility tracks the amount or percentage of course time a push-in/pull-out teacher instructs a specific student. It is used to calculate Linkage Duration Adjustment in the Staff Student Course record. Note that if the staff member has the Push In/Pull Out Full Time box checked on Staff Date Tracking, entries in the Minutes of Responsibility fields do not apply for the linked students.

For this calculation, a cycle is determined by first finding the Cycle Day associated with the first membership attendance day in the appropriate Calendar (student's Entry/Withdrawal calendar). A cycle is then the span of membership attendance days from the first occurrence of that Cycle Day to the next one. If a student-teacher association begins in the middle of a cycle, the download considers the first cycle to be the span from the Relationship Start Date to the next occurrence of the cycle start identified in the calendar. 

A week is any calendar week the course meets and the student-teacher relationship exists which also contains at least one membership attendance day.

Show Detail for District-Defined Fields

If the Show Detail box displays in the header area for the push-in/pull-out teachers, it means your district set up additional fields for tracking information on the link between students and secondary staff. The fields are set up through Administration > System Setup > District-Defined Setup > Student Staff Course.
