Registration Setup

There are several Maryland specific validation tables that will be pre-populated for you in order for your successful state reporting. Additionally, there are some baseline eSchoolPlus validation tables that you will need to update to have the correct State Equivalency Codes.

Registration Validation Tables

Administration > General Setup > District > Validation Tables > select Registration

The following baseline eSchoolPlus validation tables must be updated by your District to have the correct State Equivalency Codes.

Withdrawals

Note: If you do not want to send a Withdrawal to the State, do not enter a value in the State Code Equiv field.

Departments Table

Administration > General Setup > District > Validation Tables > select Registration in Applications and Departments in Validation Table.

The Departments validation table needs to have the State Code Equivalency values set up so the Subject field in the Schedule portion of the SR7 form prints correctly. The State Code Equivalency values are as follows and should be assigned to the appropriate departments.

State Table 

Administration > General Setup > District > Validation Tables > select Registration in Applications and State in Validation Table.

MSDE State Requirements:  "For withdrawals occurring during the school year, the date of withdrawal is the date of the first school day after the last day of attendance. " (Page C-11, Maryland Student Records System Manual 2008) This means that if a student attends a building through Wednesday; he should have a withdraw date on Thursday which would be the same entry date if he attends another school.  

The MD entry in the State table should be set to F – First Day student is not in school.  This will ensure that attendance numbers are correct for State Reporting purposes.

Withdrawals Table 

Administration > General Setup > District > Validation Tables > select Registration in Applications and Withdrawals in Validation Table.

For the Exit Student Enrollment file, if the dropout code is checked for that code, then the Enrollment Exist status is set to 01=Permanent; otherwise set to 02 (Temporary).

Enter a State Code Equiv for all exit reasons that you would want to be reported to the state in the Exit Student Enrollment File.

Gender Identity Validation Table

Administration > General Setup > District > Validation Tables > select Registration in Applications and Gender Identity in Validation Table.

The MD state reporting requires the Gender Identity field values to be reported instead of the Gender field values. State valid gender identities are Male, Female, and Non-Binary. Maryland state reports contain Male and Female codes as either M/F or 1/2 values so you must set up the appropriate values in the State Code Equiv 01 and State Code Equiv 02 fields as shown in the table. Add the Non-Binary code to this validation table.
