IL State Reporting Setup

Illinois State Validation Tables

Menu path: Select Administration from the main menu, select General Setup submenu, select District, and then select Validation Tables. You must select Illinois State Reporting for Applications and <Validation table name> for Validation Table.

You can click on any Illinois validation table and it will open a list of all existing codes. The following list of tables will be pre-populated by PowerSchool with the State Defined codes. Tables that are new for school year 2010 are listed with their State Equivalency Codes for your information.

Course Grade Crosswalk

The Course Grade Crosswalk pane requires a record for each Mark you could potentially use as a Final course grade.

The Course Grade Crosswalk needs a record for each Mark you could potentially use as a Final course grade, either alpha or numeric. Define the mark value in the Code field, then associate this mark with the appropriate Final Grade Equiv and Course Grade Equiv values. Final Grade Equiv is reported in the ISCS file's Course Final Letter Grade/Completion Status field. Course Grade Equiv is reported in the Course Numeric Grade field.

ISCS Term to ELL Screener Semester List

Use this table to map ISCS Term codes to the appropriate Semester code for reporting in the ELL Screener file. To determine the ELL Screener file's Semester code, the ISBE download needs a way of translating State Equivalency Codes from the Registration Center's Marking Periods setup to its corresponding Semester code. The Marking Periods State Equivalency Codes align with Term codes for the Student Course Assignment collection.

ISCS Term code you are translating into an ELL Screener Semester code. You need a record for each Term code you use in Registration Center's Marking Periods State Equivalency Code field.

Sem Equiv

ELL Screener Semester code equivalent for the associated ISCS Term code. This needs to be either 01 for First Semester or 02 for Second Semester.

For example, if the ISCS Code is T2 for Second Trimester, use Sem Equiv to indicate whether the Semester equivalent should be 01 or 02 in the ELL Screener file.

When creating an ELL Screener record, the ISBE Download goes through these steps to determine the Semester field value:

  1. Begin with the Reporting Date you used when running the ISBE Download for ELL Screener.
  2. Determine which Marking Period includes the Reporting Date.  Use the processed Building's Marking Periods setup in Registration Center.
  3. Find the State Equivalency Code tied to the Marking Period.
  4. Use the ISCS Term to ELL Screener Semester validation table to convert the Marking Periods setup's State Equivalency Code into a Semester code acceptable for the ELL Screener file.

PARCC Test Selection Overrides Reasons

Use this table to define reasons why a student's PARCC test assignments would need to be entered on the student-level ISBE PARCC Student Overrides page instead of getting handled through the student's scheduled courses. Examples of reasons could include Out-of-District student or Outplaced Course student.

This is an optional setup, but we recommend you use it so you can categorize students who are exceptions to the standard PARCC test assignment method, using State Course Codes tied to students' scheduled courses.
For this validation table, you can define State Code Equiv values however you choose. There are not ISBE-defined rules or eSchoolPlus system expectations. You could simply use the same value in the Code and State Code Equiv fields for each record.
