IL Legal/Preferred Reportable Name and Gender

Use this page to define legal or preferred reportable name and gender values to process configurations for the Illinois state reporting.

For most students, the district should enter the student's name and gender as it appears on the student's birth certificate. However, for students identifying as transgender, districts may choose to enter the gender with which the student identifies rather than the student's biological gender. If necessary, the district may also enter the first name the student uses if it differs from the birth certificate.

Districts must be careful to include the student's SID number on the record so that a duplicate ID number is not created for the student.

All IL downloads are listed and allows each district to set if Legal (from the Personal page) or Preferred (what student identifies with) Name and Gender (Legal from the Registration page or Preferred as the student identifies the gender) are reported in each download, on a per download basis. The fields on this page are non-editable except the Name and Gender fields for each Preview (View Download Name) as a drop-down menu to select LEGAL - Legal or PREF - Preferred.
For example, the IL Student EL [STUEL] download will have the Preview (View Download Name) as STUEL. Here, each Preview is mandatory and you select a value, LEGAL or PREF.

The Previews defined in the page for each download are STUEL, STUASSCRCT, STU_BIRTHTOTHREE, DEMOEARLY, STUEARLYOUTCOME, STUELLSCREEN, STUEXIT, STUHOMELESS, STUPREK, STUADJCOYR, STUDEMO, STUDISC, STUEARLY, STUPARTDEMO, STUPREID, STURSSP, STUATTEND, STU_COLLEGE, Phy Fitness Assessment, PREK_STU_COURSE, STU_SERVPRO, STU504, STU_ADDRESS, STUBILIT, STUCCRI, STU_COURSE, STUDLM, STUIMG, SAT Pre-Id, STU_OUTCOURSE, IAR, IAR Pre-Id, GIFTED, RESTRAINT, EC Programs, BT Programs, and BT Indicators.

To complete the operation through SQL:

1. Create the view IL_V_REPORTS_LEGAL_PREF from the user defined fields, using Preview (View Download Name) appending _NAME or _GENDER.
2. Open the view IL_V_REPORTS_LEGAL_PREF. Initially, this will not have any data.
3. Navigate to the menu path: Administration > General Setup > District > District Defined > IL Legal/Preferred Reportable Name and Gender.
4. Select LEGAL or PREF for all the Previews as it is mandatory.
5. Rerun the view IL_V_REPORTS_LEGAL_PREF.
6. Confirm the view is now populated and the fields are correct.

Navigate to Validation Tables in the application. Select Illinois State Reporting in Applications and confirm the Validation Table ILTB_REPORT_LEGAL_PREF does NOT display in the UI. This validation table will be accessible only through an SQL query because there are only two valid values (LEGAL - Legal and PREF - Preferred) and no requirement to edit values.
