Processing OCR Reports for Parent-Child Buildings

If you have a case where totals for multiple buildings get included in the OCR counts for a master or "parent" building, you must run the CRDC School Form report for the child or subsidiary buildings before you run for the parent. For instance, suppose you have a freshman center (building 88) and high school (building 99) that need to be reported as a single school. You want to report OCR counts for buildings 88 as part of the totals for building 99. In this case, you would use Run OCR Reports for buildings 88 first, then process a separate run for building 99.

In general, follow these steps to create the OCR School Form for buildings using a parent-child relationship in OCR Building Setup:

  1. Select the menu path Regulatory > Civil Rights Data Collection > Reports > Run OCR Reports.
  2. For the Building List prompt, select the child buildings.
  3. Make the following additional prompt selections:
    • Select to generate CRDC School Form and/or CRDC School Flat File.
    • Clear the Generate Report/Flat File Only checkbox.
  4. Click Run. OCR building-level counts are calculated and stored for the child buildings.
  5. After processing completes, review the following information:
    • OCR School Form counts for the child buildings (use the menu path Regulatory > Civil Rights Data Collection > Reports > OCR Summary).
    • Students belonging to the OCR categories (Record Types) processed in the report run (use the menu path Regulatory > Civil Rights Data Collection > Reports > OCR Student Search).
  6. If any students are reported incorrectly, you can make changes as required. Then repeat Steps 1 through 6 until counts are correct for the child buildings.
  7. Return to the Run OCR Reports page, and make the following prompt selections:
    • Choose the parent building in the Building List field.
    • Select to generate the CRDC School Form and/or CRDC School Flat File.
  8. Click Run to generate the OCR School Form report you selected.
  9. When the report task completes, review results as follows:
    • Use the OCR Summary option to view OCR counts for the parent building (use the menu path Regulatory > Civil Rights Data Collection > Reports > OCR Summary). You can override the calculated counts on the OCR Summary page only for the parent building.
    • Use the OCR Student Search option to view the students processed for the various OCR categories (use the menu path Regulatory > Civil Rights Data Collection > Reports > OCR Student Search).
