Teacher Course Student (TCS) Checklist

The following procedure provides an overview to complete the TCS submission. This submission captures data for staff, course, and student data. For detailed information about an option, refer to the appropriate section of this guide.

1.

Verify setup data on the CT Building Setup (Regulatory > Setup > Building Setup) page. Verify the correct Mark Types are added for inclusion in TCS Reporting.

To exclude a building from processing, verify the Exclude From State Reporting box is checked.

2.

Verify setup data on the Level Table (Administration > Mark Reporting Setup > Setup > Level Table) page. All marks should have a Completion Status code and State Code Equiv value assigned.

3.

On-going maintenance should be done to maintain student information in Registration, Personal, and Entry/Withdrawal pages.

Follow district policies for entry/withdrawal so students are correctly reported in each submission window.

4.

If a student should be excluded from state reporting, verify the Exclude From State Reporting box is checked on the PSIS (Registration > Entry & Reports > Student District Defined > PSIS Screen) page for the selected student.

5.

Verify all staff members have assigned Teacher Roles on the CT Staff Info page (Administration > Registration Setup > Building > Staff > District-Defined panel > CT Staff Info).

6.

Verify that all staff members are assigned to appropriate courses using the Staff Date Tracking feature on the Master Schedule screen (Scheduling > Courses > Course Sections > Master Schedule).

You may enter overrides for staff member Teacher Roles for a course section using the Staff Date tracking feature.

7.

For each course, verify NCES, Facility, and Dual Enrollment codes are entered on the CT Course Info page.

These may be entered at the district, building, or course section level.

8.

Run Populate Download Tables (Regulatory > Reports > Reports > Populate Download Tables). Check the box for Teacher Course to run TCS records.

9.

Use the Course Download Summary (Regulatory > Reports > Download Summaries > Course Download Summary) to spot check course data in CT Teacher Course records, and make corrections to data.

We recommend that you correct the source data, not the download records.

10.

Use the Staff Download Summary (Regulatory > Reports > Download Summaries > Staff Download Summary) to spot check staff data in CT Teacher Course records, and make corrections to data.

11.

Use the Student Download Search (Regulatory > Reports > Download Search > Student Download Search) to spot check student data in CT Teacher Course records, and make corrections to data.

We recommend that you correct the source data, not the download records.

12.

Make corrections to staff, course, or student data and repeat steps as needed.

13.

After all download information is ready, run Create Extract Files (Regulatory > Reports > Reports > Create Extract Files). Check the box for Teacher Course to create TCS files.

14.

Move files from the eSchoolPlus server to your PC. Right-click on a file and select Save Target As. In the Save As window, select the directory where you want to move the file.
