Overview
The Data Reconciliation page displays school records that are found in the destination system but are not found in PowerSchool. Use this page to identify and manage records that exist in the state Operational Data Store (ODS) but are missing from PowerSchool.
This process provides districts with the ability to review and delete extra records from the state ODS when appropriate. Refer to your state documentation for any additional reconciliation requirements or instructions before deleting records.
Run Data Reconciliation at the School Level

Navigate to DEX Dashboard > Settings > Reconciliation.

Click Reconcile Resources.

Select the school, student or staff IDs, and resources that you want to reconcile.

Click Download.

Wait for the download process to complete. The amount of time required depends on the quantity of data being downloaded. On the Summary tab, review the Status column to determine whether downloads are still being processed.

Click the refresh icon in the upper-right corner to refresh the page and check the latest status.

To view downloaded records, click the hyperlink in the Total records column or open the Details tab.
Summary Tab
The Summary tab provides an overview of each reconciliation request and the results for each resource.

Info |
Displays details about who initiated the request and the data included in the request. |

Total records |
Shows the total number of records downloaded. |

Not in ODS |
Identifies records that are present in PowerSchool or ESP published data but are missing from the state ODS. |

Not in DEX |
Identifies records that are present in the state ODS but are missing from PowerSchool or ESP published data. These records are usually missing in PowerSchool or ESP. In some cases, the records may exist in PowerSchool or ESP but were not published because of an inconsistency or other issue. |

Mismatch |
Identifies records that exist in both systems but have conflicting key data. |
|
State-owned |
Identifies records downloaded by the reconciliation process that were not originally published by DEX. These records should never be deleted. |

Status |
Displays whether the reconciliation process is in progress or complete. |
|
Differences |
Shows records with differences, such as records missing in DEX or missing in the ODS. |
|
Message |
Currently blank. This column is intended to display error messages during the reconciliation process. |
Resource Actions
Each resource includes an actions menu, represented by three dots. Use this menu to perform reconciliation actions for the selected resource.

Republish Missing Records |
Republishes records that are marked as missing in the ODS. |

Delete Extra ODS Records |
Deletes invalid records from the state ODS. |

Removes the current reconciliation data and results. |
Details Tab
The Details tab includes filters similar to the columns on the Summary tab. Use these filters to view specific types of reconciliation data, such as records that are missing in DEX, missing in the ODS, mismatched, or state-owned.
Do not delete state-owned records. These records were not originally published by DEX and should remain in the state ODS.
