Next Year Preparation List
In eSchoolPlus, some setup options are defined by school year to allow you to change how you process students from one year to the next. Setups that are defined by year need to be created each school year. For most setups that are stored by school year, you can copy the current year options to the next school year using the Copy Setups page. If a setup record does not store school year, changing records will impact current year processing as well.
When setting up scheduling for next year, you may need to define or modify setups for Registration, Scheduling, and Mark Reporting. You may want to set up additional options for other packages at the same time so the building is fully configured for the next school year.
This chart explains the options for the Registration, Scheduling, and Mark Reporting packages that you need to consider when setting up the next year database.

Marking Periods | Stored by year. You can copy from the current year. You must enter marking period dates in the Next Year environment so Scheduling options can check for conflicts. |
*Calendars | Stored by year. You must create calendars in the Next Year environment before you run year-end rollover options. |
Room | Not stored by year. If no room information has changed, you do not need to modify rooms. |
Staff | Not stored by year. You may need to add new staff members or change staff members based on staffing changes. If you know that you will need to hire new staff members, but have not yet filled the position, you can add a staff record with a generic name, such as New Hire Eng Dept. Then, you can assign this staff member to the courses that the new hire will teach. |

Many Mark Reporting options are not stored by year. This chart lists only options that are stored by school year or options that should be updated prior to creating the Master Schedule. | |
Average Setup | Stored by year. You can copy from the current year. If your building uses average IDs other than the default main average, you should make sure that the average setups are defined. |

Mark Types | Not stored by year. If you want to add new mark types for the coming school year, you should add the mark types before creating the Master Schedule records. You should not change the marking periods when the existing marks are issued because it will affect current year Mark Reporting records. |
