Viewing PIMS Submission Data

Use the PIMS Student Download Summary option to review the download records for a student. You can select the submission for which you want to view data and then click the tab for the download record to view.  Additionally, you can select to display history for the student to see download records for all submissions for which the student has data.

You can edit the non-key fields in download records by clicking the Edit button for the appropriate field's column heading. Note that you must verify that you are entering data as required by the state when you edit the download records. This page does not validate the data you enter.  We recommend that you make changes to the source data and run the Download option if you need to correct data.

Use the Student Download Search option to list download records for a specific submission period and record type. You can further limit results based on student download table fields. The search results list provides access to source student data for some fields. It allows you to edit download table data directly for a select number of fields. You may also export search results to an Excel file.

The following sections provide procedures for the Student Download Search and PIMS Student Download Summary pages.

Student Downloads Search Tasks

Regulatory > Pennsylvania > Summary > Student Download Search

Search for student download records

  1. Select Regulatory > Pennsylvania > Summary > Student Download Search.
  2. On the Search page, select the Record Type you want to view.
  3. You may further define your search by using the Search Criteria panel.
    • The available Simple search criteria will vary depending on the Record Type.
    • The Advanced search lets you search based on download table fields for the selected Record Type. This includes submission Period.
  4. Click Load.
  5. On the Search Results panel, review data.

Edit source fields using Student Downloads Search

  1. Select Regulatory > Pennsylvania > Summary > Student Download Search .
  2. On the Student Download Search page, select the code for the Record Type you want to view. The search will return records where the fiscal year matches the year of the eSchoolPlus environment.
  3. In the Criteria fields, specify the filter you want to use to display records.
  4. Click Load.
  5. In the Search Results, click on the hyperlink of the field you wish to edit to open a pop up window for the appropriate screen. Note that not all fields will be hyperlinked. The screen that opens is dependent upon where the field is located in eSchoolPlus. For example, the Birth Date field will open the Registration page.
  6. Make edits to the desired fields and click Save
  7. After editing the source data, you will need to re-run the affected download for the change to show in the download table.

Edit download table data using Student Downloads Search

  1. Select Regulatory > Pennsylvania > Summary > Student Download Search.
  2. On the Student Download Search page, select the code for the Record Type you want to view. The search will return records where the fiscal year matches the year of the eSchoolPlus environment.
  3. In the Criteria fields, specify the filter you want to use to display records.
  4. Click Load.
  5. To enable manual override editing, click the Edit button located on the field column headers. NOTE: We recommend you always change source data when editing download records.

  6. Enter the override changes for the selected field. To cancel changes, click the Cancel button on the field column header.

  7. Click Save.
  8. After saving, the following columns are automatically updated:
    • Override Download = 'Yes'
    • Record Edited = 'Yes'
    • Change Date Time = current date and time when change was made
    • Change UID = user who made the change

Create a CSV file with search results

  1. Click Export to Excel located at the top right corner of the Search Results panel.
  2. On the Report Options pop up window, use the Column Setup fields to indicate how you want to arrange specified columns within the report. The applicable columns available to set up will vary by each selected record type. Enter the name you wish to use for the report. A default name will populate.
  3. Click OK to create the file.

Student Download Summary Tasks

View a student's download table records

  1. Select Regulatory > Pennsylvania > Summary > Student Download Search > Student Download Summary.
  2. Search for the students for whom you want to review download records. Click on a student link to display data.
  3. Choose the download record you want to display from the Record Type drop-down menu.
  4. On the Student Summary page, select the submission you want to view from View Type field. To view all download data for the student, select View History. Note that the list of possible submissions includes submissions for which this student may not have data.
  5. In your listed search results, click the Detail column's Open in New Window to view the selected record in a pop up window. This option is available for each record for the student.
  6. To display other students from your search, click the left (Next) and right (Previous) arrows next to the student's name in the Student Information bar. After you have clicked the right arrow (Next), the left arrow (Previous) button will be enabled so you can navigate forward and backward through the list of students.

Edit download table data using Student Download Summary

  1. Display the student, submission, and download record you want to edit. Refer to the To View student download records procedure for more information.
  2. Click the Select Edit Mode button.
  3. Change data as needed. Make sure that the data you enter is valid as defined in the PIMS Manual. This page does not validate data.
  4. Click Save.

Add a record directly into a download table

  1. You must be in View Mode to add a new record. This is the default view. If you are in Edit Mode, click the Select View Mode button. Add the new record for the student. Note that new records are added in View Mode and existing records are edited and deleted using Edit Mode.
  2. Enter a check in the Override box if the PIMS Download should not rebuild the record. No fields in this record will be updated by the PIMS Download option.
  3. Click Save.

Delete a record from a download table

  1. Click the Select Edit Mode button.
  2. Enter a check in the Delete box for the row.
  3. Click Save. If you added or changed a record, the Record Edited box is set to checked by the system.
