Staff Data

To accurately submit the Staff Assignment and IUID files there are some data elements you need to populate for staff. The staff member's USID number needs to exist in the Oregon USID Download table (or_usid_download). To update this table with staff information from ODE, follow the procedure Updating Staff USIDs Using a File. This procedure loads the staff information needed for the Staff Assignment and Class Roster files. The upload also moves USIDs to the Staff Information page's Staff State ID field.

Note that for the Staff Assignment and Class Roster files, eSchoolPlus uses the Oregon USID Download table. It does not reference USIDs in the Staff Information page's Staff State ID field.

Updating Staff USIDs Using a File

 
 Follow this procedure to load staff USIDs and demographic information into or_usid_download (Oregon USID Download table). The procedure also updates Staff Information page's Staff State ID field with USIDs for the appropriate staff members.
  1. Save the file from the State in an easy to find directory (Desktop; My Documents; etc.). Rename the file you got from the State to USID.csv
  2. Display the eSchoolPlus Upload File page (Administration > Utilities > Download & Upload > Upload File).
  3. Click Choose File and go to the location of the USID.csv file. Highlight the USID.csv file from Step 1 and click open to select the file.
  4. Click the Upload records icon at the top right of the page. A changes Saved message confirms the upload.
  5. Click the Tasks/Reports button on the Navigation bar to display the Tasks and Reports page. The USID.csv file will display along with your list of other reports.
  6. Display the Run Upload page (Administration > Utilities > Download & Upload > Run Upload) to load the USIDs for the staff members contained in the file.
  7. Make the following selections on the Run Upload page:
    • Interface ID: Your selection depends on whether the USID.csv file contains Staff IDs matching your local eSchoolPlus Staff IDs or employee numbers from your Financials Management System.
    • Select USIDS if the csv file has Staff IDs matching the local IDs you define the Staff ID field of the Staff Dstrict Information page (Scheduling > Courses > Resources > Staff) 
    • Select USIDF if the csv file has employee numbers from your Financials Management System which you also track on the Staff District Information page's Financials Employee Number field. 
    • For more detail on these upload definitions, refer to the USID Upload Definitions section. 
    • Import Directory: Select User's Report Directory. This is where you originally loaded the csv file.
    • Refer to the eSchoolPlus online help for information on the remaining prompts.
  8. Click the Run icon at the top right of the page.
  9. Upon completion, open the Interface Upload Log file and review any error information encountered during processing. This file is available on the Tasks and Reports page and displays information with respect to the upload executed.
