How to Fix the Data

ERROR: Building Building Number is not a valid building.

You should not see this error.

ERROR: Building Building Number does not have a valid state building number.

This error indicates that a Building does not have a valid CDS/State Code Equivalency value. Go to Administration > Registration Setup > Building > Builidng Definition > Preferences panel.

No students were processed.

There are no students that are eligible for inclusion or the filter that you have selected does not select any students.

ERROR: Student Student ID is missing Student ID"

The software will not allow for a blank Student ID, so you should not see this error.

ERROR: Student Student ID is missing Grade."

This probably means that the Grade that the student is enrolled in does not have a valid State Code Equiv. Go to Administration > Registration Setup > Setup > Grades.

ERROR: Student Student ID is missing Gender

The software will not allow for no gender at time of New Student Entry, so you should not see this error.

ERROR: Student Student ID is missing First Name

The software will not allow for no first name at time of New Student Entry, so you should not see this error.

ERROR: Student Student ID is missing Last Name

The software will not allow for no last name at time of New Student Entry, so you should not see this error.

ERROR: Student Student ID is missing birth date

The software will force the entry user to enter a birth date at time of New Student Entry, so you should not see this error.

ERROR: Student Student ID does not have a Birth Country.

Go to Registration > Entry & Reports > Student Demographic > Personal and select the student's birth country from the list of valid values.

ERROR: Student Student ID is missing academic year

You should not get this error, but if you do, it indicates that the student does not have an Entry/Withdrawal record for the year that you selected for the Extract/State Files. Go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal to resolve the error.

WARNING: Student Student ID is missing State Report ID.

This warning appears when a student does not have a valid State ID on his/her Personal page (Registration > Entry & Reports > Student Demographic > Personal). If you are creating the SSID file in order to get a State ID, this warning can be ignored. If you are creating the SSID file to update enrollment information for a student or group of students, then you may need to act on the warning.

EROR: Student Student ID has an invalid Primary Language "Language XXX".

The software will not allow you to enter a new student without entering a Home Language (Registration > Entry & Reports > Student Demographic > Registration, Home Language field. If you get this error, it may indicate that the student has a Language that is not setup correctly in the Validation Table Languages (Administration > General Setup > District > Validation Tables > select Registration).

ERROR: Student Student ID has an Exit Reason Code as Graduated but does not have School Completion Status.

Update the Diploma Type field by going to Registration > Entry & Reports > Student Demographic > Academic. Or go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal and change the Withdrawal Code for the student.

Warning: Student Student ID has an Exit Reason Code as Graduated but School Completion Status is not equal to 100.

Update the Diploma Type field by going to Registration > Entry & Reports > Student Demographic > Academic. Or go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal and change the Withdrawal Code for the student.

ERROR: Student Student ID does not have a carec_inst Program configured.

Go to Registration > Entry & Reports > Student Demographic > Programs to update the value from the CAREC Program Receiver School field.

Warning: Student Student ID has School Start Date which must be greater than Student's Birth Date and less than or equal to current date plus 6 months.

Verify that the Entry Date for the student is correct. Go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal.

ERROR: Student Student ID does not have a School Start Date"

You should not see this error. If you do, go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal and update the appropriate Entry Date.

Warning: Student Student ID has a School Exit Date which must be greater than Student School Start Date and less than or equal to current date plus 30 days.

Verify that the Withdrawal Date for the student is correct. Go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal.

Student Student ID does not have a UC CSU Requirements Indicator.

Verify that the student has a value in the UC/CSU Requirements field. Go to Registration > Entry & Reports > Student District Defined > CA Graduation.

ERROR: Student Student ID has a School Completion Status as Graduated but has an invalid Student Exit Reason Code"

If a student has a Diploma Type with a State Code Equiv that means Graduated (100), then the Withdrawal Code must have a State Code Equiv of E230. Verify that the student has the correct Diploma Type by going to Registration > Entry & Reports > Student Demographic > Academic. To confirm that the Diploma Type validation table has the correct State Code Equiv values, go to Administration > General Setup > District > Validation Tables > select Registration and click on the Diploma Type. On this page you can also verify that the Withdrawals validation table has the correct values in the State Code Equiv field.

ERROR: Student Student ID - Age should be less than or equal to 22 Years

Verify that the student's birth date is correct. Go to Registration > Entry & Reports > Student Demographic > Registration and check the Birth Date field.

ERROR: Student Student ID - age should be greater than 18 and less than or equal to 80 Years.

Verify that the student's birth date is correct. Go to Registration > Entry & Reports > Student Demographic > Registration and check the Birth Date field.

ERROR: Student Student ID has Invalid Primary Language " & strLanguage & ".

Verify that the student has a valid entry in the Home Language field. Go to Registration > Entry & Reports > Student Demographic > Registration. If the Home Language is correct, check that the language has a valid State Code Equiv by going to Administration > General Setup > District > Validation Tables and clicking on the Languages link on the Registration tab.

ERROR: Student Student ID - Age should be less than or equal to 22 Years

The student's birth date may have been entered incorrectly (go to Registration > Entry & Reports > Student Demographic > Registration to update the birth date) or the student is not in a grade that the State considers valid for his/her age (go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal if you need to change the student's age).

ERROR: Student Student ID - age should be greater than 18 and less than or equal to 80 Years

The student's birth date may have been entered incorrectly (go to Registration > Entry & Reports > Student Demographic > Registration to update the birth date) or the student is not in a grade that the State considers valid for his/her age (go to Registration > Entry & Reports > Student Demographic > Entry/Withdrawal if you need to change the student's age).

Warning: Student Student ID did not have a record created for Building Building Number.

This is an informational message letting you know that this student did not have a record inserted into the download table—the extract process was not successful.
